To give one family a discount or a scholarship, create an Account Assigned coupon and add it to the family's account before they register. At checkout the family picks it from their own Assigned Coupon list, and the discount comes off the registration fee.
Applies to: Org admins with the Multi-Program Coupons and Assigned Coupons permissions · Enhanced, Elite and Enterprise plans · Registration programs (player and adult registration fees)
Where: Programs > Configurations > Multi-Program Coupons, then Customers > Account Management > Search > (account) > Account Overview > Assigned Coupons
TeamSideline has no scholarship application or approval step. Families ask your organization, you decide who qualifies, and you give each family an assigned coupon, or an account credit (see Good to know).
Step 1: Create the Account Assigned coupon
- Go to Programs > Configurations > Multi-Program Coupons and click Add Coupon.
- In Programs, check the program the discount is for, or several programs. Checking a program checks all its offerings; expand it to check only some offerings.
- In Description, enter a name the family will recognize, such as Fall Scholarship 50%. Families see it at checkout, and the Assigned Coupon Import finds the coupon by it, so give each coupon its own Description.
- In Discount, enter a percent (100% for a full scholarship) or a dollar amount, not both.
- Optional: choose an Expires date. The coupon leaves every account on that date (see Good to know).
- In Account Assigned, choose Yes. Single Use Codes, Multiple Use Code and Usage disappear: the coupon gets one code of its own.
- Click Add. You'll see "Account Assigned coupon created."
What you'll see: a coupon for one program is listed in the Coupons section of that program's 2 Configuration page, where you can delete it. A coupon for several programs is also listed on Multi-Program Coupons, where you can edit or delete it.
Step 2: Add the coupon to the family's account
- Go to Customers > Account Management > Search, enter the family's last name or email address and click Search.
- Click the account holder's name to open Account Overview.
- Scroll down to Assigned Coupons and click Add.
- In Coupon, choose the coupon and click Add. You'll see "The coupon has been created." and the coupon in the list.
- Tell the family the coupon is on their account. TeamSideline doesn't email them about it, and they see it only at checkout.
To give a coupon to many families at once, use the Assigned Coupon Import under Administration > Import Data (Customer imports): one row per account, with Account Id and Coupon Name, which is the coupon's Description (capital letters don't matter). The customer imports article under Related articles has the steps.
What the family does at checkout
- The family signs in to the account you added the coupon to, puts the registration in the cart and goes to Checkout.
- Under Have a Coupon Code?, they choose Assigned Coupon in Coupon Type, pick the coupon in the Assigned Coupon list (it shows the Description and the code) and click Apply.
- They see "The coupon code "(code)" has been applied to your order." and the lower fee. If the coupon covers the whole order, Checkout no longer asks for payment.
- When they click Place Order, the coupon is used and leaves their account.
Apply it when you register the family yourself
- On the family's Account Overview, click Place Order, add the registration with Add Enrollment and go to Checkout, as in the admin Place Order article under Related articles.
- On the Checkout page, click Apply Coupon.
- In Coupon Type, choose Assigned Coupon, choose the coupon in Assigned Coupon and click Apply.
- Enter the payment as usual and click Place Order.
Here the coupon is used as soon as you click Apply. If you leave without placing the order, add the coupon to the account again.
If it doesn't work
- There's no Account Assigned field on Add Coupon, or no Assigned Coupons section on Account Overview. Your role doesn't have the Assigned Coupons permission, or your plan doesn't include it (Enhanced, Elite and Enterprise).
- "Offering selection is required." Check at least one program or offering.
- "You can only select a single discount." or "Discount is required." Enter a percent or a dollar amount, not both.
- "Coupon is required." Choose a coupon in Coupon before you click Add on Account Overview.
- The coupon isn't in the Coupon list on Account Overview. It wasn't created with Account Assigned set to Yes, it was deleted, or its Expires date has arrived.
- The family doesn't see Assigned Coupon at checkout. The account they're signed in to has no unused coupon: it was added to another account, it has been used, or its Expires date has arrived.
- "The coupon code "(code)" is not valid for any of the items in your order." Nothing in the cart is a registration in the coupon's programs and offerings. For example, it's another program, a volunteer registration or an add-on, or the registration already has a coupon.
- "The coupon code "(code)" is already applied to your order." An assigned coupon discounts one registration per order (see Good to know).
- The family already registered without it. A coupon can't be added to an order that has been placed. Give the family a Misc - Credit, or refund part of what they paid.
Good to know
- Each use discounts one registration: the first one in the cart that the coupon covers. To cover two players, add the coupon to the account twice and have the family register each player in a separate checkout, or give a Misc - Credit for the second player.
- The discount comes off registration fees only, never add-ons, volunteer or sponsorship registrations, or Store items. A percent is figured on the offering's fee, and a fee never goes below $0. A coupon and a sibling discount can both apply to one registration.
- An assigned coupon leaves the accounts that hold it, and the Coupon list, on its Expires date. To let families use it through a certain day, set Expires to the day after, or leave Expires empty.
- Deleting the coupon removes it from every account that hasn't used it. To take it off one account, click the red X next to it under Assigned Coupons and click OK on "Are you sure you want to delete the Assigned Coupon "(name)"?". You'll see "The coupon has been deleted."
- A Misc - Credit can be any amount and pays for anything in an order, add-ons included. Families use it at checkout when Apply Credit is set to Yes on Programs > Configurations > General.
- To see who used a coupon, add Coupon Offer Desc (the coupon's Description) or Coupon Code to the Enrollment Information report under Reports > Report Exports.
