If your organization has more than one payment gateway (a second Payrix merchant account that deposits into a different bank account), each program, offering, add-on and membership has a Payment Gateway setting that decides which account its card payments go to. Anything left at "Not Applicable/Default" is paid into your default gateway, except an offering, which then follows its program.
Applies to: Org admins · Enhanced, Elite and Enterprise plans · Programs, offerings, add-ons, Store and Donations items, and memberships
Where: Programs > Manage Programs > (program) > 1 Setup > Multi-Organization Settings > Payment Gateway; the program's 2 Configuration page (offerings); Programs > Configurations > Buy Items/Add-Ons; Programs > Configurations > Memberships
Before you start
- Plan: using more than one payment gateway is part of the Enhanced, Elite and Enterprise plans. On the Core plan the Payment Gateway settings don't appear, and every card payment goes to your one gateway. If your organization is on an older package, contact TeamSideline Support.
- Getting another gateway: contact TeamSideline Support. Each additional gateway is its own Payrix merchant account with its own bank account, so the organization that owns that bank account completes its own merchant application, using the link Support sends. A Payrix account opened outside TeamSideline can't be connected. Support tells you about any fee for the additional gateway before it's set up.
- When it appears: after Payrix approves the application, TeamSideline Support connects the account to your site as the payment gateway of an associated organization (Administration > Associated Organizations). It's then listed in every Payment Gateway setting under that associated organization's name.
- Your gateways: admins with the Billing role see each gateway under Administration > Subscription > Payment Gateways. Your site's own gateway shows Default as its Organization, and an additional gateway shows its associated organization's name. Admins with Organization Filters see only the default gateway and their associated organizations' gateways.
Route a program to a gateway
- Go to Programs > Manage Programs and open the program.
- Click 1 Setup and scroll to Multi-Organization Settings.
- In Payment Gateway, choose the gateway. Choose "Not Applicable/Default" to use your default gateway.
- Click Save.
What you'll see: "Program has been saved." The program's offerings use this gateway unless an offering has its own.
Route one offering to a different gateway
- On the program's 2 Configuration page, click the Edit icon next to the offering.
- In Payment Gateway ("Override program payment gateway for this offering."), choose the gateway. "Not Applicable/Default" makes the offering follow its program's gateway.
- Click Save.
What you'll see: "Program offering updated." The Add Offering panel has the same Payment Gateway setting. To change several offerings at once, click Update Multiple Offerings, choose the Offerings and the Payment Gateway, and click Update; leaving Payment Gateway at Select keeps each offering's own setting.
Route an add-on, Store item or donation
Add-ons, Store items and donations are all buy items, and each one follows its own Payment Gateway setting, not its program's.
- Go to Programs > Configurations > Buy Items/Add-Ons.
- Click the Edit icon next to the item, or click Add Buy Item.
- In Payment Gateway, choose the gateway. "Not Applicable/Default" pays into your default gateway, even when the item is an add-on on a program that uses another gateway.
- Click Save.
What you'll see: "The Buy Item has been updated." (or "The Buy Item has been added."). The gateway applies wherever the item is sold: as an add-on, in your Store or on your Donations page. If programs on different gateways sell the same add-on, make a copy of the item for each gateway with Copy Buy Item.
Route a membership
- Go to Programs > Configurations > Memberships and click the Edit icon next to the membership.
- In Payment Gateway ("Enables specific payment gateway for this membership."), choose the gateway.
- Click Save.
What families see
- Each gateway is a separate merchant account, so a family who pays for items on two gateways sees two charges on their card statement, each under that account's name.
- Families can check out items for different gateways together only when TeamSideline has turned on split checkout for your site; it's usually turned on when an additional gateway is set up. Checkout then lists one order per gateway, each headed with the name that will show on the card statement, and the button reads Place Orders. The family enters one credit card, which is charged once per order, and each order gets its own order number and confirmation email.
- Without split checkout, families place a separate order for each gateway. They see "The enrollment selected cannot be combined with the other items in your cart. Continue with your current order, and then place another order with this enrollment afterwards." when they add a registration, or "There are items that cannot be placed together on the same order in the cart. Place separate orders for items." at checkout.
- Guest checkout, and orders you place for a family with Place Order, are never split: they take items for one gateway at a time.
If it doesn't work
- There's no Payment Gateway setting. Your plan doesn't include multiple payment gateways. Contact TeamSideline Support.
- The gateway isn't in the list. It isn't connected yet: TeamSideline Support adds it after Payrix approves its application. If it is connected, your admin user may have Organization Filters that don't include its associated organization. Ask an admin who manages users.
- Payment Gateway is grayed out on 1 Setup. Your admin user has Organization Filters. An admin without them can change a program's gateway.
- Families see "There are items that cannot be placed together on the same order in the cart. Place separate orders for items." The cart holds items for different gateways and your site doesn't use split checkout. Often it's an add-on still set to "Not Applicable/Default" on a program that uses another gateway: set the add-on's Payment Gateway to the program's. Otherwise the family checks out each item separately, or ask TeamSideline Support about split checkout.
- "You cannot make a single balance payment for this group of items. Pay each item individually." The balances a family picked belong to different gateways. They pay each balance on its own.
- "Credit Card Type selection is invalid." at split checkout. One of the gateways doesn't accept that type of card, for example when American Express is turned on for only one gateway. The family uses another card, or ask TeamSideline Support to turn on the same card types for every gateway.
Good to know
- A change of gateway applies to new orders. Orders already placed stay with the gateway that charged them, and refunds of those orders go back through it.
- Payment plans that families already have keep charging the gateway they started on. Changing the program's or offering's gateway doesn't move them; only families who register afterward use the new gateway.
- Each gateway pays out to its own bank account on its own Payrix payout schedule. In Reports > Report Viewer, Settlements By Associated Org - Payrix (Enhanced plan and up) lists a payout's payments grouped by associated organization; see Payrix payouts: when deposits arrive and why refunds can debit your bank.
- Your processing fee settings apply to every gateway. With split checkout, each order adds its own processing fee.
- Raise campaigns don't use these settings: each campaign has its own Payment gateway. See How to set up TeamSideline Raise.
