To print a Picture Roster, open the team from the program's 4 Rosters page and click Picture Roster: it downloads a PDF with each player's registration photo, jersey number and date of birth. The button comes with the Enhanced, Elite and Enterprise plans, and coaches can print the same roster from Team Information on your website.
Applies to: Admins with the Administrator or Registrar role, and coaches · Enhanced, Elite and Enterprise plans (Core and older packages: on request) · Youth, Adult, Youth & Adult Registration and Team Registration plus Roster programs
Where: Programs > Manage Programs > (program) > 4 Rosters > (team) > Picture Roster. Coaches: your organization's website > Sign In > Team Information > (team) > Roster
Before you print
- Photos come from registrations, not from accounts or team sites. Set Enrollment Image (players) and Volunteer Image (coaches and other volunteers) on the program's 1 Setup page before registration opens, or add a photo on a registration's Photo tab.
- Jersey numbers come from the registration's answer to an enrollment field named exactly Shirt #. If there's no Shirt # answer, the roster uses the player's custom field named exactly Jersey #. Numbers typed on a team site's roster or in the TeamSideline app aren't used.
- Players and staff come from the team's roster. Assign them to the team first (Assign To Roster for individual registration). Coaches and other staff are listed when they're on the team through their volunteer registration.
Print a Picture Roster (admins)
- Go to Programs > Manage Programs and click the program's name.
- Click 4 Rosters.
- Click the team's name.
- Click Picture Roster at the top of the team's roster page.
- Open the PDF that downloads, then print it or save it.
The screenshot below shows the Picture Roster button at the top of a team's roster page.
Print a Picture Roster (coaches)
- Sign in on your organization's website with the email address the organization has as your team's contact.
- Under Team Information, click your team.
- Scroll down to Roster.
- Click Picture Roster, then open the PDF that downloads.
The screenshot below shows the Roster section of a coach's team page, with the Picture Roster button.
What you'll see
- One team per PDF, titled "Picture Roster for" the sport and season, with your organization's name and logo, the program, the team and a QR code labeled "Scan to view member info".
- Staff: photo, name and role.
- Players: photo, name, DOB and Jersey #, in last-name order. A player with an active suspension in the program shows "Suspended" across the photo.
Team Registration plus Roster programs
Picture Roster works the same way on these teams' roster pages. If the program's Enable Member Pass is Yes on 1 Setup, the page also has Print Roster, which prints a photo roster in the standard layout: Shirt #, DOB, staff email addresses and the same QR code. Team managers and coaches who manage the roster get that printout from Player Cards on their team under Manage Rosters. In Team Registration plus Adult Roster Registration programs, scanning that printout's QR code also shows each player's yellow and red card counts, and "SUSPENDED" for a suspended player.
If it doesn't work
- There's no Picture Roster button. Your plan doesn't include Youth Picture Roster (it comes with Enhanced, Elite and Enterprise), or your admin role doesn't (it's in the Administrator and Registrar roles). On Core or an older package, contact TeamSideline Support to ask about adding it. Once it's added, the button appears on your next page; if it doesn't, sign out and back in.
- A coach doesn't see Team Information or the Roster section. Go to Schedules > Configurations > General. Under Coach Sign-In, Enable Coach Sign-In and Show Rosters must be Yes. The coach must sign in with the team's Primary Email or Alternate Email. The Picture Roster button also needs your plan to include Youth Picture Roster.
- Photos are blank. The registration has no photo: Enrollment Image was No when the family registered, the photo was optional and skipped, or the person joined without one. Add it on the registration's Photo tab, then print again. Coaches' photos need Volunteer Image.
- Jersey # is blank. The registration has no answer to a Shirt # enrollment field, and the player has no Jersey # custom field value. The field names must match exactly. The Basic Roster Print Out report also reads fields with other names, such as Jersey Number, so a number can print there and still be blank on the Picture Roster.
- The roster has no players or no coaches. No one is assigned to the team yet, or the coach isn't on the team through a volunteer registration. Assign them, then print again.
- Scanning the QR code shows "This roster is no longer viewable." The program has been archived or deleted.
Good to know
- The QR code opens the same roster on a web page. Anyone who scans it can see it, photos and birth dates included, without signing in, until the program is archived. Treat printed rosters as private.
- The logo is your Portal Badge (Content > Configurations > Site Images), or your Logo on Editor 2.0 websites (Content > Configurations > Logo, the same image).
- For a roster without photos in an individual registration program, use Print View on the team's roster page. On a team site, team staff can print the roster with Print View on the Roster page: it lists each member's role, email address and phone, with parents under their players, and has no photos.
