This training page is for new admins who email and text their members from TeamSideline. Watch the five short videos below in order: send an email to your lists, reuse a message with a template, copy an admin on every email, get members to opt in to texts, and load your own contact lists. Each video has a line on what it covers and a link to the step-by-step article, which matches the current screens.
Applies to: New admins · All plans · Emails and texts sent from Communications > Send Communication
Where: Communications > Send Communication, Communication Templates, Custom Contact Lists and Configurations > General; more videos under Help > Online Training in the admin side menu
Tip: click the Full Screen icon in the lower right corner of a video to watch it full size. If a screen in a video looks different from yours, follow the step-by-step article linked under it.
Training videos, in order
- How to use the Communication Module for email blasts (video): on Communications > Send Communication, check the lists you want to email, such as a program's registrations, your team rosters or your own contact lists, and click Next. On Create Your Message, check From, Friendly Name and Reply To, enter the Email Subject and your message, then click Send Now, or click Next to choose send options such as an attachment or a later send time. Step by step: Who do our emails come from? (From, Friendly Name, Reply To, Send As, custom sending domains) and How to add attachments, links and videos to a communication.
- How to use Communication Templates (video): save a message you send often, such as a registration reminder or a rain-out notice, with Save As Template on Create Your Message, or on Communications > Communication Templates. Next time, click Retrieve Template, choose it and click Apply to fill in the subject and message. A template keeps only the subject and message, so you choose the recipients each time. Step by step, with sending an email later: Can I schedule an email to send later? (Delay Sending Until and templates).
- How to add Admin email as a BCC on communications (video): you don't get a copy of what you send unless you're on one of the lists. To copy an address on every email sent from Send Communication, add it with Add Communication BCC on Communications > Configurations > General. That address then gets its own copy of each email.
- How to get Members opted in for Text Messages - so you can send Alerts (video): texts reach only members who have opted in themselves, with the consent box under their cell phone number when they create their account or edit their profile, or, on legacy websites, from a Text Sign Up link in one of your emails. Admins can't opt anyone in. To send a text, type it in Text Message when you send an email. Step by step: How to get members to opt in to text messages and How do members stop (or restart) TeamSideline text messages?
- How to import Custom Contact List (video): for people who aren't in your registrations or rosters, such as board members or sponsors, create a list on Communications > Custom Contact Lists, then load a CSV file of names, email addresses and phone numbers with Contact Import on Administration > Import Data. Check the list on Send Communication to email everyone on it. Step by step: How to create and manage a Custom Contact List (add, import, remove, export).
After you send
- Every email you send is listed on Communications > Communication Logs, where you can see each address it went to and when it was delivered or opened: How to check whether an email was delivered or opened (Communication Logs).
- Each email and text uses your plan's communication credits, and the credits left are shown at the top of Send Communication: How many emails and texts can we send? (communication credits by plan).
Good to know
- Each recipient gets a separate copy of your email, so recipients can't see who else got it.
- More Communications videos are under Help > Online Training, for example how to send a text, create a survey or remove an email filter. You see the videos for the features your plan and role include.
- If a page or option in a video isn't on your screen, your plan or your admin role doesn't include it. Ask an admin who manages users to check your role.
