To put a player or coach on more than one team, give them one enrollment for each team, then assign each enrollment to its team on Assign To Roster. An enrollment can only be on one team, and TeamSideline doesn't copy anyone onto a second team automatically.
Applies to: Admins, coaches and parents · All plans (Volunteer Quick Add needs the Enhanced plan or higher) · Individual registration programs and Team Registration plus Roster programs
Where: Customers > Account Management > Search > (account) > Place Order; Programs > Manage Programs > (program) > 4 Rosters > Assign To Roster
How it works
- A team assignment belongs to an enrollment. Assign To Roster puts each enrollment on one team, so a second team needs a second enrollment. This is also called double rostering or dual rostering.
- Each enrollment is its own registration record, with its own fee and roster assignment. The person then appears on both team rosters as separate enrollments.
- The enrollments can be in different offerings (for example, a coach coaching two age groups) or in the same offering (two teams in the same division).
Option 1: The coach or player registers for each team
- The coach, or the player's parent, signs in on your organization's website and starts a registration for the program.
- They choose the Enrollee, Enrollment Type, Program and the Offering for the first team, then click Add Enrollment.
- They do the same for the second team's offering. For example, a coach coaching two age groups adds one volunteer enrollment in each age group's offering.
- They click Proceed to Checkout, then Place Order.
If both enrollments are in the same offering, the cart shows "The enrollment added has been previously ordered. To view existing orders click the Home Icon, and then click the Order History link from the list of options." This is only a warning, and they can still check out.
Option 2: An admin adds the second enrollment (Place Order)
- Go to Customers > Account Management > Search and open the person's account.
- Click Place Order.
- Click Add Enrollment.
- Choose the Enrollee and the Enrollment Type (Volunteer for a coach).
- Choose the Program, the Offering for the second team, the Enrollment Selection (for a coach, the volunteer role, such as Coach) and the Registration Period.
- Click Add.
- Click Checkout, complete the enrollment and payment details, and click Place Order.
If the person already has an accepted enrollment in the same offering, you'll see "The enrollment added has been previously ordered. To view existing enrollments, click the Enrollments tab." You can continue. For more on admin orders, see How to Place an Order for a Customer.
Option 3: Volunteer Quick Add (coaches and other volunteers)
Volunteer Quick Add creates a volunteer enrollment straight from Assign To Roster, with no checkout and a $0 order.
- Go to Programs > Manage Programs and open the program.
- Click 4 Rosters.
- Click Assign To Roster.
- Click Volunteer Quick Add.
- Choose the Role (for example, Coach) and the Offering.
- Under Volunteer, choose Use Existing Adult and pick the person, or choose Or Add a New Volunteer and enter their First Name, Last Name and Email (Phone Number is optional).
- Click Add.
What you'll see: "The volunteer was added successfully." The new enrollment appears in the enrollee list, ready to assign. Use Existing Adult lists the parents of players in this program. For anyone else, use Or Add a New Volunteer: if the first name, last name and email match an adult already in your organization, TeamSideline uses that adult instead of creating a new account.
Assign each enrollment to its team
- Go to Programs > Manage Programs and open the program.
- Click 4 Rosters.
- Click Assign To Roster. It opens in drag-and-drop view unless you switched it before: click Toggle Mode for the checkbox steps below, or drag the enrollment onto the team. Organizations with Smart Auto Assign have no Toggle Mode and always drag and drop.
- In Step 2: Select Enrollees, tick the person's new enrollment. Each enrollment is listed on its own, and volunteers show their role after their name.
- In Step 3: Select Roster Assignment, choose the Division and the Team.
- Click Assign.
What you'll see: "Roster Assignments completed." On 4 Rosters, click each team name to check that the person is on both rosters. In drag-and-drop view, the page's default, you drag enrollees onto teams instead.
Team Registration plus Roster programs
In a Team Registration plus Roster program, each team's roster is filled separately, so a player on two teams needs a roster spot on each team. The team manager can add the player to each roster (see Team Registration plus Roster Roster Submission FAQ), or an admin can:
- Open the player's account and click Place Order.
- Click Add to Roster.
- Choose the Enrollee, Program, the second team in Team/Offering and the Registration Period, then click Add.
- Click Checkout and complete the order.
The same player can't be added twice to one team: "A player is already on the roster with the same name and email address as the enrollee."
If it doesn't work
- The second enrollment isn't listed on Assign To Roster. Only accepted enrollments that aren't on a team yet are listed. Accept a waitlisted enrollment first, and clear any filters in Step 1: Add Filters.
- "You must select at least one enrollee to assign.", "A Division assignment is required." or "A Team assignment is required." Tick at least one enrollee and choose both a Division and a Team.
- Volunteer isn't offered as an Enrollment Type in Place Order. The program has no volunteer roles. Add one (for example Coach) on the program's 2 Configuration page, in the Volunteers section, with Add Volunteer.
- The Volunteer Quick Add button isn't there. It needs the Volunteer Quick Add permission (Enhanced plan and up) and appears in Youth and Youth & Adult programs. Use Place Order instead.
- "Please select either the Use Existing Adult or Add a New Volunteer button." Choose one of the two Volunteer options before clicking Add.
Frequently asked questions
Can a player be on two teams in the same program?
Yes. Create a separate enrollment for each team and assign each one to its team.
Is double rostering automatic?
No. TeamSideline doesn't copy a player or coach onto another team. Each team assignment comes from its own enrollment.
Can I move a player from one team to another?
Yes. On Assign To Roster, drag an assigned enrollee from one team to another (drag and drop is the page's default view; if you see checkboxes, click Toggle Mode). If the player needs to stay on both teams, create a second enrollment instead of moving the existing one. For Team Registration plus Roster programs, see How To Move a Player From One Team to Another - For a Team/Roster Registration.
Will the family pay twice?
A second player enrollment is charged like any other enrollment in that offering. If your organization doesn't charge for a second team, an admin can use Apply Coupon at checkout or add a credit to the account afterward. Volunteer Quick Add enrollments cost $0.
Good to know
- A coach on teams in different divisions can have scheduling conflicts. Turn on Multi-Team Coach in Schedules > Configurations > General so that 4 Create Schedule flags games where the coach would be in two places (Multi-Team Coach Conflict), allowing for the Travel Time you set. See Multi-team coach conflicts and travel time.
- Each enrollment stays a separate registration: canceling or refunding one doesn't change the other.
