How to Create Rosters with Jersey Numbers and Jersey Sizes

Jersey numbers and sizes print on Report Viewer rosters and scoresheets when they're saved in a field your organization sets up: a Player custom field named "Jersey #" that admins fill in, or an enrollment field that families answer when they register. Numbers that coaches type on a Team Site or in the TeamSideline app stay there and don't reach these reports.

Which report reads which field

Each report looks for the number in its own place, so check this table before you choose a method. Field names must match exactly, including the space before the #.

The Detailed Roster Print Out and the Flag Football, Softball and Volleyball scoresheets don't print jersey numbers. The Picture Roster has its own rule, explained in How to print a Picture Roster (admins and coaches).

Option 1: Ask families for the number when they register

Go to Programs > Configurations > Enrollment Fields and click Add Enrollment Field.
Enter Jersey # as the Field Name, choose Text as the Field Type, enter 3 as the Max Length and click Add.
For sizes, add a second field named Jersey Size, as Text or as a Drop Down List of your sizes.
Add the fields to each program on its 2 Configuration page (2b Roster Configuration in Team Registration plus Roster programs), under Enrollment Fields. Choose Yes for Use Previous to fill in the answer a returning player gave last time.

What you'll see: "The Enrollment Field has been added." and the field in the Active Fields list. Families answer it when they register, and you can change one answer later on that registration's Edit Enrollment page. For every setting, see How to create an enrollment field and add it to a program.

Option 2: Enter the numbers yourself in a Player custom field

Use a custom field when you assign numbers after registration. It belongs to the player, so the number stays with the player from season to season.

Create the field

Go to Administration > Configurations > Custom Fields and click Add Custom Field.
Enter Jersey # as the Field Name and choose Player as the Category.
Choose Text as the Field Type and enter 3 as the Max Length.
Choose the Public Access: Hidden keeps the field off parents' account pages, Read Only shows it to them, and Editable lets them change it.
Click Save. You'll see "You have successfully saved the 'Jersey #' Custom Field."

For sizes, create a second Player field named Jersey Size the same way. The Category and Field Type can't be changed after you save.

Fill in the numbers

One player: find the account in Customers > Account Management > Search, edit the player, type the number under Additional Information and click Save.
A program at a time: go to Customers > Account Management > Multi Edit. Choose Player as the Enrollment Type, then the Program and Offering, check Jersey # under Fields (up to four fields at once) and click Update. Type the numbers in the grid and click Save. A message tells you how many enrollees were updated.
From a spreadsheet: use the Player Custom Field Import, below.

Import numbers from a spreadsheet

Get each player's ID: in Reports > Report Exports, export Enrollment Information with the Player Id - TeamSideline field.
Go to Administration > Import Data and click the Sample File icon for Player Custom Field Import. Fill in one row per player, with the Player Id - TeamSideline and the number as the Custom Field Value, and save it as a CSV file.
Click Player Custom Field Import. On Step 1 of 3: Upload File, choose your file, choose Jersey # as the Custom Field, check Overwrite Existing Data to replace numbers already saved, and click Next Step.
On Step 2 of 3: Map the Fields, choose your column for each TeamSideline Field and click Next Step.
On Step 3 of 3: Review and Confirm, click Queue Import. You'll see "Your import has been successfully uploaded and will be processed shortly." Check the result under Status.

Each run fills in one custom field, so run it again for Jersey Size. More detail: How to do a Player Custom Field Import.

Print the report

Go to Reports > Report Viewer.
In Report, choose the report, for example Basic Roster Print Out, and click Go.
Choose the League, Division and Team, and click Preview.

What you'll see: the Basic Roster Print Out lists players with #, Name, Jersey Size, Guardian, Email Address and Phone. Players are sorted by first or last name, as set in Sort Order under Rosters on Programs > Configurations > General; this roster can't be sorted by jersey number. Scoresheets list players by jersey number.

Adult players

For adult registrations, the Basic Roster Print Out reads only the enrollment field, so use Option 1. Scoresheets also read a Parent-category custom field named Jersey #, but the Basic Roster Print Out doesn't.

Can coaches enter jersey numbers?

On a Team Site or in the TeamSideline app: yes. Coaches and other team staff can type a Jersey # on a member's profile when Roster Edit is Limited or Everything (Programs > Configurations > Team Sites). That number shows on the Team Site and in the app only. It doesn't print on Report Viewer reports, and numbers from your custom field or enrollment field don't show on the Team Site.
For Report Viewer reports: the numbers come from fields that admins and families fill in. Parents can change the Player custom field from their account when its Public Access is Editable. On rosters that coaches manage on your website (Manage Rosters in their account), a coach can fill in a Roster custom field whose Public Access is Editable; that's the field the TeamSideline Game Card reads.

If it doesn't work

The # column is blank on the Basic Roster Print Out. The field name doesn't match a name in the table, the custom field's Category isn't Player, or the player has no value. Families who registered before you added the enrollment field to the program weren't asked; fill those in on Edit Enrollment or use the Player custom field.
Numbers print on the Basic Roster Print Out but not on the Safe Roster Print Out or the TeamSideline Game Card. Those two read only one custom field named Jersey # (see the table).
"The Field Name you entered is already in use with another custom field. Please pick a different Field Name." Custom field names are unique across all categories. Edit the field you already have.
"Please enter a value for "Custom Field"." on the import, or the Custom Field list is empty. Create the Player custom field first.
Status shows "Record not loaded due to custom field exceeding the maximum length:" and a number. The number is longer than the field's Max Length. Raise the Max Length on the custom field and import again.
Numbers already saved didn't change after an import. Overwrite Existing Data wasn't checked, so players who already had a value were skipped.
Multi Edit says "Invalid entry for "Jersey #" field." The value is longer than the field's Max Length.
A player is listed twice on a scoresheet. Two different numbers are saved for that player, for example in an enrollment field and a custom field. Keep one.

Good to know

Keep one jersey-number field and one jersey-size field. When several fields use the names above, a report can pick any of them.
When a player has both, the Player custom field wins over the enrollment answer on the Basic Roster Print Out and scoresheets.
A custom field name can be used only once, so Jersey # is either a Player field (Basic Roster Print Out, Safe Roster Print Out and scoresheets) or a Roster field (TeamSideline Game Card and scoresheets).
Scoresheets print two characters: 7 prints as 07, and a three-digit number prints only its last two digits.
With Show Jersey Number set to Yes on a division's 1 Configuration > Display page, the stats entry page shows the same number, or the Team Site's number when there's none.
