Import Data checks your file three times: when you upload it, when you map and review it, and while the import runs. Find the message you see below to learn what it means and how to fix it. Messages from the first two checks appear on the page. Messages from the run appear on the Status page and in the "Data Import Status" email.
Applies to: Admins whose role includes Import Data · All plans · Every import on the Import Data page
Where: Administration > Import Data > Start Import (upload, mapping and review messages) and Administration > Import Data > Status (results)
Read an import's results
- Go to Administration > Import Data and click Status.
- Find the import by its Queued Date and Import Name, and check its Status.
- Click the arrow next to the Queued Date. The summary reads "Processed … records: … imported, … skipped.", and each skipped row is listed by Row with its Message. Here Row 1 is the first row under your header.
- Click the download icon to get back the file you uploaded. Fix the listed rows and import just those rows again.
What each status means
| Status | What it means |
|---|---|
| Incomplete Import | The import was never queued, so nothing was imported. To use the file, start again from Start Import. |
| Import In Process | The system is processing your import. |
| Import Complete | The import finished. Rows with problems were skipped, so read the summary and row messages. |
| Import Failed | The import stopped before the end. Rows before the problem may already be in TeamSideline, so check before you import the file again, or contact support@teamsideline.com with the import's name and Queued Date. |
| Import Reverted | TeamSideline Support reverted the import. |
Messages when you upload the file
| Message | What to do |
|---|---|
| "To upload a file, you must supply a file name from your local computer to upload." | Click Select next to File Name and choose your file. |
| "The file type you have chosen is not allowed. You must select a CSV file." | Save or export the file as CSV from your spreadsheet program. Renaming a file to .csv doesn't convert it. |
| "The file you have chosen to upload exceeds 10 MB, which is the maximum file size we handle." | Split it into smaller files. |
| "The file you have chosen to upload does not contain the same number of columns in every line (failed on line: …)." | That line has a comma inside a value (quotes don't help), a line break inside a cell, or extra cells. Remove them and upload again. |
| "The following required headers are missing: …" | USA Softball imports: add each listed column, such as Volunteer Type, to the header row, spelled as in the sample file. |
| "You do not have permission to access this import." | Your admin role doesn't include this import. Ask an admin who manages users. |
Messages when you map the fields
| Message | What to do |
|---|---|
| "'…' is a required field. You must select an Import Field before you can proceed." | Choose your file's column for that field. If your file doesn't have it, add the column and start again. |
| "You cannot leave '…' blank. Either select 'No Mapping, Leave Blank' or select an Import Field." | Choose a column, or No Mapping, Leave Blank for an optional field you don't use. |
| "You have mapped '…' more then once. You can only map each of your fields one time." | Each column of your file can fill only one field. |
| "'…' requires that the '…' field be mapped." | Map the second field too. |
With Includes Headers unchecked, these messages say "a Column Number" instead of "an Import Field".
Messages on Review and Confirm
Errors are listed by Row, Field and Message. Here Row is the line of your file, so the header is line 1. Queue Import appears only when there are no errors, and the list stops after about 500 messages, so fix the first ones and upload the file again.
| Message | What to do |
|---|---|
| "Value is invalid (blank when required, too short, too long, invalid format, etc)." | A required cell is blank, or the value is too long or in the wrong format. Check the import's instructions for that column. |
| "Value too long. Maximum length allowed is … characters." | Shorten the value. |
| "Invalid date format. Dates must be formatted MM/DD/YYYY or M/D/YY …" or "The date '…' is not a valid date." | Enter a real date, such as 03/15/2027 or 3/15/27. |
| "Invalid time format. Time must be formatted either as …" | Enter one time, such as 8:00 PM or 20:00, not a range. |
| "Invalid telephone number format. See import instructions for valid formats." | Use a 10-digit number, such as 555-555-0123 or (555) 555-0123. |
| "The email address '…' has an invalid format." or "The email address is required." | Fix or add the email address. |
| "The location '…' can not be matched to any known locations." | Use a location's Schedule Name from Schedules > Locations > Manage Locations. If the value isn't a location at all, your columns are shifted: compare your headers with the sample file and look for commas inside values. |
| "The organization '…' can not be matched to any known organizations." | Use an associated organization's name or short name, or leave the cell blank. |
| "The team name '…' can not be matched to any known teams within the league and division you selected." | Use the team's name from the division's 2 Teams page. |
| "The league '…' can not be matched to any known league within your organization." or "The division '…' can not be found. …" | Use the league and division names exactly as they are on Schedules > Leagues & Divisions. |
| "Value must be A for Availability or B for Blocked.", "Value must be Y for Yes or N for No. …" or "Invalid value. Must be set to …" | Use one of the values the message lists. |
| "This field is not contained within your file. Please re-upload your file." or "The intial field mappings not longer match. Please re-upload your file." | A row is shorter than the others, or the mapping no longer fits the file. Fix the file and start again from Start Import. |
Messages on the Status page
| Message | What to do |
|---|---|
| "Invalid division configuration. On the Division | 1 Configuration page, validate regular schedule is checked and the first game start date is entered." (or "2nd half schedule") | Nothing was imported. On the division's 1 Configuration page, check the schedule, enter the Day of First Game and save, then import again. |
| "Invalid division configuration. You are attempting to load one or more games with dates earlier than the division start date configuration." | A game is before the Day of First Game. Fix the date, or move the Day of First Game earlier, and import again. |
| "Division schedule already exists." or "Division schedule does not exists." | Division Schedule Import: choose Add to Existing for a division that has a schedule, or Create New for one that doesn't. |
| "Division … schedule already exists." | League Schedules Import: that division's games weren't imported. Delete its schedule and import its rows again. |
| "Row skipped: TBD mismatch …" | Enter TBD in all of Date, Time and Schedule Name, or in none of them. |
| "No Update: More than one account for … found." or "No update: more than one account for … found." | Several accounts match the person. Merge the duplicates, then import the row again. |
| "No Enrollment Created: …" | The registration or background check wasn't added. The rest of the message says why, such as an offering name that doesn't match or an enrollment that already exists. |
| "Record not loaded due to invalid Account Id: …" | Transaction or Assigned Coupon Import: use the Account Id from the Account Information report, not a Customer Id. |
| "Record not loaded due to invalid Coupon Name: …" or "Record not loaded due to invalid Transaction Type: …" | Use an existing assigned coupon's name, or Credit or Debit. |
| "Record not loaded due to duplicate email address: …" or "Record not loaded due to invalid email address: …" | Contact Import: that email is already on the list, or isn't a valid address. |
| "No update: … not found.", "No update: more than one … found." or "No update: ParentId - … not found." | Parent Custom Field Imports: check the parent's name, or use the By Id import with a Customer Id from a report. |
| "Team Name not found in division." or "Team Name was not found." | Roster or Schedule Conflict Import: use the team's name from 2 Teams, in the division you chose or named. |
| "Schedule Conflict is a duplicate." | That conflict already exists, so nothing was added. |
| "The Recurring Start Date is missing.", "The Start Time cannot be greater or equal to the End Time." and similar | Location Availability Import: give each row either a One Time Date or recurring dates with Y or N for each day, and an end time after the start time. |
| "No default status. Official not imported." or "Multi-Organization Officials Module configuration requires Affiliation. Official not imported." | Officials Import: put one of your statuses in Status or set a default status, and put an associated organization's short name in Affiliation. |
| "Invalid profile.", "Invalid affiliation." or "Invalid date of birth." | The official was added without that value; fix it on the official's profile. On a multi-organization officials site, a row with an invalid affiliation isn't added. |
Good to know
- Skipped rows don't stop an import, so read the row messages even when the status is Import Complete.
- When you import the failed rows again, leave out the rows that already came in, or some imports add them twice.
- Only TeamSideline Support can revert an import, and only the Enrollee Registration, Volunteer Registration and USA Softball registration imports. When you contact support, include the import's name and Queued Date.
- Each import is also explained in Customer and registration imports: accounts, enrollments, custom fields, transactions, coupons and background checks and in Schedule imports: upload games, practices, location availability, teams, rosters, coaches, officials and conflicts.
