The imports listed under Schedule on the Import Data page upload a season's scheduling data from CSV files: game schedules for a division or a whole league, practices, field and gym availability, teams, coach contacts, officials and team schedule conflicts. Roster Import, listed under Customer, loads rosters for the same teams. Set up your leagues, divisions and locations first, because these imports match names you've already entered.
Applies to: Admins and schedulers whose role includes Import Data · All plans (League Schedules, Coach Data and Schedule Conflict Imports: Enhanced, Elite and Enterprise; Location Availability Import: Elite and Enterprise; Officials Import: Officials module) · Leagues and divisions in Schedules
Where: Administration > Import Data > Start Import > Schedule
Before you start
- Create the league and its divisions on Schedules > Leagues & Divisions. The League Schedules Import can create divisions for you.
- Add each field or gym on Schedules > Locations > Manage Locations. Files name a location by its Schedule Name (up to 15 characters), not its full name.
- For games and practices, use the team names exactly as they appear on each division's 2 Teams page. A game import creates a new team for any name it can't match.
How to run a schedule import
- Go to Administration > Import Data. Under Schedule, download the import's sample file from the Sample File column; the Instructions column has its column rules.
- Fill in the file, one row per game, practice, team or record, and save it as CSV with no commas inside values.
- Click the import's name. On Step 1 of 3: Upload File, choose your file in File Name and leave Includes Headers checked if the first row holds column names. Choose what the import asks for, such as the League and Division, the Schedule Type or the Sport Type, and click Next Step.
- On Step 2 of 3: Map the Fields, choose the matching column for each TeamSideline Field, or No Mapping, Leave Blank for an optional one. Click Next Step.
- On Step 3 of 3: Review and Confirm, fix any errors in your file and start again. When there are none, click Queue Import.
What each import needs and does
Division Schedule Import
- Loads one division's Regular or 2nd Half games: Date, Time, Schedule Name, Home Team Name and Away Team Name, with optional Home Associated Org and Away Associated Org. In Import Mode, Create New makes the schedule and Add to Existing adds games to it.
- The division needs that schedule checked and a Day of First Game on its 1 Configuration page, and every game must be on or after that date. Games with a TBD date, time or location can't be imported.
- See How to import a game schedule into a division (Division Schedule Import).
League Schedules Import
- Loads games for many divisions of one league from one file, with a Division Name column. It creates divisions that don't exist, sets each division's Day of First Game from its earliest game, and accepts TBD when Date, Time and Schedule Name are all TBD.
- It only creates schedules: a division that already has one is skipped. See How to import schedules for a whole league (League Schedules Import).
Practice Schedule Import
- Loads one division's practices: Date, Start Time, End Time, Schedule Name and Team Name, plus optional Comments (up to 255 characters). Choose the League and Division on Step 1.
- It turns on the division's practice schedule if it isn't on yet. Every row adds a practice, so importing the same file twice adds the practices twice.
Location Availability Import
- Adds open or blocked times to your locations: Location Schedule Name, Type (A for available or B for blocked), Start Time and End Time, then either a One Time Date or a Recurring Start Date and Recurring End Date with Y or N under Mo, Tu, We, Th, Fr, Sa and Su. Note is optional (up to 50 characters).
- It only adds records. It never changes or removes the availability you already have.
Team Import
- Creates teams in existing divisions: Team Name, Coach First Name and Coach Last Name, with League Name and Division Name to place the team. Optional: coach phones and emails, Division Age Group, Division Gender, Associated Org Name, Preferred Location (a Schedule Name), Preferred Time, Special Requests and Team Id.
- If the division already has a team with that name, the import updates that team's coach contact and preferences instead. A row whose Team Id was imported before is skipped.
Roster Import (listed under Customer)
- Loads players and coaches onto the rosters of teams on a division's 2 Teams page, for organizations that don't register in TeamSideline or that use the Team Registration type. It doesn't work for Team Registration plus Youth Roster Registration or Team Registration plus Adult Roster Registration. Players who registered in a TeamSideline program go on teams with Assign To Roster instead.
- Choose the League and Division, and up to three roster custom fields, on Step 1. Required: Team Name, First Name, Last Name, Role, Street Address, City, State, Zip and Phone 1, plus an Email column, which can be blank.
- A Role of Player gives the player role. Any other value, including Coach and Assistant Coach, is saved as Other, so set coaches' roles on the roster afterward.
- Every row adds a roster member, so importing a file twice adds everyone twice.
Coach Data Import
- Saves coach contacts for the Sport Type you choose: Team Name, Coach Last Name and Coach First Name, plus optional phones and emails. When you add or edit a team on 2 Teams, choose the coach in Returning Contact to fill in the team's contact.
- It creates no teams, rosters or enrollments. To put coaches on a program's rosters, use the Volunteer Registration Import. See How to use the Coach Data Import.
Officials Import
- Adds game officials. First Name and Last Name are required; Status, Id, Profile Name, Email, Alternate Email, Street Address, City, State, Zip Code, Phone 1, Phone 2, Date of Birth and Affiliation are optional.
- Status must match one of your official statuses, or your default status is used. Profile Name must match one of your Approved For profiles, and Affiliation an associated organization's short name. A multi-organization officials site requires Affiliation.
- Every row adds a new official, even one who is already in your list, so import only new officials.
Schedule Conflict Import
- Adds team schedule conflicts for the League you choose on Step 1. Every row needs Division Name, Team Name and Conflict Type: Specific (or 2) with Conflict Date, Conflict Start Time and Conflict End Time; Recurring (or 3) with Conflict Day, Conflict Start Time and Conflict End Time; or Team/Player (or 1) with Conflict Team Name, from the same division, and Conflict Travel Time in minutes (blank counts as 0).
- Avoid Team conflicts can't be imported, so add them on the 2 Teams page. A conflict that already exists is skipped with "Schedule Conflict is a duplicate." See How to add team schedule conflicts.
What you'll see
On Status, the expanded import shows "Processed … records: … imported, … skipped." and a message for each skipped row. Games appear on the division's 4 Create Schedule page; teams, rosters and conflicts on its 2 Teams page; and availability on each location's Availability page.
If it doesn't work
- "The location '…' can not be matched to any known locations." The value isn't a location's Schedule Name, or your columns are shifted. Compare your headers with the sample file, then fix the name or the location.
- "The team name '…' can not be matched to any known teams within the league and division you selected." (Practice Schedule Import) Use the team's name from 2 Teams, in the division you chose.
- "Invalid division configuration. On the Division | 1 Configuration page, validate regular schedule is checked and the first game start date is entered." Check the schedule and enter the Day of First Game on 1 Configuration, then import again.
- "Team Name not found in division." (Roster Import) The team isn't in the division you chose on Step 1.
- "Value must be A for Availability or B for Blocked." (Location Availability Import) Fix the Type column.
- "No default status. Official not imported." (Officials Import) Put one of your official statuses in Status, or set a default status.
- For the other messages, see Import error messages and how to fix them.
Good to know
- Schedule imports can't be reverted. To redo a division's games, delete its schedule on 4 Create Schedule (not possible once a game has been played), fix the file and import again.
- There's no import for locations or for Team Site events.
