Import Data loads records into TeamSideline from a CSV file, so you don't have to enter them one at a time: registrations taken in another system, schedules built in a spreadsheet, teams and rosters, custom field values, account credits and more. Find what you want to do in the table, then run that import from the Import Data page.
Applies to: Admins whose role includes Import Data · All plans (some imports need a higher plan or a module, as the table shows) · All program types
Where: Administration > Import Data > Start Import (results on Administration > Import Data > Status)

Detailed articles
- Customer and registration imports: accounts, enrollments, custom fields, transactions, coupons and background checks: what each Customer import needs and creates, and how it finds existing accounts.
- Schedule imports: upload games, practices, location availability, teams, rosters, coaches, officials and conflicts: what to set up first, and how each Schedule import matches divisions, teams and locations.
- Import error messages and how to fix them: the messages from each step and from the Status page, with their fixes.
How every import works
- Go to Administration > Import Data. Start Import lists each import's Import Name and Import Description.
- Click the icon in the Instructions column for the import's column rules (a PDF), and the icon in the Sample File column for a sample CSV file. Do any setup the instructions ask for first, such as creating the program, custom field, division or location.
- Fill in the sample file, one row per record, and save it as CSV, up to 10 MB.
- Click the import's name. On Step 1 of 3: Upload File, click Select next to File Name and choose your file. Leave Includes Headers checked if the first row holds column names, choose the options the import asks for, such as the Program, League or Division, and click Next Step.
- On Step 2 of 3: Map the Fields, choose the column from your file for each TeamSideline Field. Columns whose header matches a field's name are chosen for you. For an optional field you don't have, choose No Mapping, Leave Blank. Click Next Step.
- On Step 3 of 3: Review and Confirm, read the messages. Queue Import appears only when there are no errors, so if there are, fix your file and start again. Then click Queue Import.
The USA Softball imports have no mapping step (Step 1 of 2: Upload File, then Step 2 of 2: Review and Confirm), so the file's header row must include every required column name.
What you'll see
"Your import has been successfully uploaded and will be processed shortly." The Status page opens, and the import runs in the background, a few rows a second. When it finishes, you get a "Data Import Status" email, and Status shows its Queued Date, Import Name and Status. Click the arrow next to the Queued Date for its messages by Row, including "Processed … records: … imported, … skipped." The download icon returns the file you uploaded.
What imports can't do
- Update addresses on existing family accounts. Edit them on the account (Customers > Account Management > Search), or ask families to update My Profile. The one exception: the Adult Player Import updates an adult's address and phones when the row's email is the one on that adult.
- Send welcome emails or passwords. When an import creates a sign-in, the person sets a password with "Forgot your password?" on the sign-in page.
- Be undone by an admin. TeamSideline Support can revert a completed Enrollee Registration Import, Volunteer Registration Import or USA Softball registration import: that voids the enrollments it created and hides their orders, but the accounts it created stay. Other imports can't be reverted.
- Create locations. Add them on Schedules > Locations > Manage Locations before you import schedules or availability.
If it doesn't work
- Import Data isn't in your Administration menu: your admin role doesn't include the Import Data permission. Ask an admin who manages users to add it.
- An import from the table isn't listed: your plan or your role doesn't include it. Ask an admin who manages users to check your role, or contact support@teamsideline.com about your plan. If a change doesn't show right away, sign out and back in.
- "You do not have permission to access this import." Your role doesn't include that import.
- For any other message, see Import error messages and how to fix them.
Good to know
- Most failed imports are file problems: extra columns, placeholder text such as UNK, dates in the wrong format, or a comma inside a value. The upload counts columns by commas, even inside quotes, so remove every comma from your data. Start from a fresh sample file and keep only the columns you need.
- "Import Complete" means the import ran, not that every row was imported. Expand it and read the row messages.
- Importing the same file twice can add records twice, for example roster members and officials. Import only the rows that failed.
- If your admin role is limited to an associated organization, Status lists only the imports you queued.
- Running an import for the first time? Email support@teamsideline.com: support can review your file before you import it.
