How to set volunteer registration dates (and why coaches can't see the Volunteer option)

To let coaches and other volunteers register on different dates from players, edit each offering on the program's 2 Configuration page and set the Volunteer Reg. Starts and Ends dates. Coaches see the Volunteer option only when the program has volunteer roles in its Volunteers section, the program is visible and open, and at least one offering is open to volunteers.

How volunteer dates work

Each offering has its own optional Volunteer Reg. dates. They apply only to volunteers; players always use the offering's registration dates.
When an offering has no Volunteer Reg. dates, volunteers can choose it only while it's open for player registration, from the start of its early (or regular) registration to the end of its late (or regular) registration.
When an offering has Volunteer Reg. dates, volunteers can choose it only between those dates, whether player registration is open or not. The volunteer dates replace the player dates for volunteers; they don't add to them.
Volunteer Reg. is on Edit Offering only in Youth Registration programs with Standard Pricing. In Youth & Adult Registration and Tiered Pricing programs, volunteers register while the offering is open for registration.

Before you start: add volunteer roles to the program

Volunteers register for a role, such as Coach. If the program has no roles, your website shows no Volunteer button for it, and volunteers have no role to choose when they register.

Go to Programs > Manage Programs and click the program's name.
Click 2 Configuration and scroll to Volunteers.
Click Add Volunteer, choose the role in Volunteer Type, and choose a Background Check if you use one.
Click Add. Repeat for each role.

What you'll see: each role in the Volunteers list. Only Coach, Assistant Coach, Team Parent and Manager volunteers can be placed on teams; see the related article on adding coaches.

Set volunteer dates for an offering

On the program's 2 Configuration page, under Offerings, click the Edit icon (pencil) on the offering.
Under Volunteer Reg., choose the Starts date and time when volunteers can begin registering.
Choose the Ends date and time when volunteer registration closes. Both times must be on the hour.
Click Save.

What you'll see: "Program offering updated." Back on 2 Configuration, the offering shows its dates after Volunteer:, for example "Volunteer: 08/01/26 12:00 AM - 09/15/26 11:00 PM".

To remove an offering's volunteer dates, clear both fields and click Save. Volunteers then follow the player registration dates again.

Set the same dates on several offerings

On 2 Configuration, click Update Multiple Offerings.
Under Step 1: Select Offerings to update, check the offerings, or All Offerings.
Under Step 2: Update, enter the Volunteer Reg. Starts and Ends. Leave the other fields as they are: only fields you fill in are changed.
Click Update.

What you'll see: "Multiple offerings have been updated." This page doesn't show the offerings' current settings and can't clear dates. Check or clear them on each offering's Edit page.

Reopen volunteer sign-up after player registration closes

Edit the offering, or use Update Multiple Offerings for several.
Set Volunteer Reg. Starts to now or earlier, and Ends to the last date volunteers can sign up.
Click Save (or Update).
On Programs > Manage Programs, check that the program's eye icon is green, which means it's visible.

What you'll see: the program's Reg Status on Manage Programs is Open. On your website the program has a Volunteer button but no enroll button, because player registration is still closed. Program lists on legacy-editor websites show its status as "Open for Volunteers".

If coaches can't see the Volunteer option

There's no Volunteer button for the program on your website. The button shows only when the program has at least one role in its Volunteers section, its Reg Status is Open, and at least one offering is open to volunteers: it has no Volunteer Reg. dates, or today is between them. Add the roles, or fix the offering's dates.
Volunteer isn't in the Enrollment Type list. The coach chose a child as the Enrollee. Volunteers register themselves, so they choose their own name. If Volunteer still isn't listed, no visible, open program has volunteer roles.
The program isn't in the Program list. It's hidden (red eye icon on Manage Programs) or its Reg Status isn't Open. A hidden program can be reached only through its Program Access link.
"There are no available offerings to enroll in for the enrollment type and program selected." No offering is open to volunteers right now: today is outside the offerings' Volunteer Reg. dates, or the offerings without them are closed for player registration. Set or move the Volunteer Reg. dates.
"Please select an Enrollment Selection." The coach didn't choose a role. If the Enrollment Selection list is empty, the program they chose has no volunteer roles; add them on 2 Configuration.
"Both Volunteer Registration Duration dates must be entered." Enter both Starts and Ends, or clear both.
"Volunteer Registration End date must be after start date." Move Ends after Starts.
"Volunteer Start and End times must be on the hour." Choose times such as 6:00 PM, not 6:30 PM.
There's no Volunteer Reg. field on Edit Offering. The program isn't a Youth Registration program with Standard Pricing. Volunteers can register while the offering is open for registration, or you can register them yourself.
There's no Volunteers section on 2 Configuration. Adult Registration, Youth Camp Registration and Team Registration programs don't have one; in Team Registration plus Roster programs, roles are on 2b Roster Configuration. Otherwise your admin role doesn't include the Volunteers section.

Good to know

Volunteer dates and times are in your organization's time zone.
A program's Reg Status counts volunteer dates: it's Open from the earliest player or volunteer start to the latest player or volunteer end. So a Volunteer Reg. end after player registration closes keeps the program Open, even before volunteer sign-up starts. Clear volunteer dates you don't need.
While player registration is still open, volunteers can choose an offering for up to 24 hours after its Volunteer Reg. Ends time. If your deadline is firm, set Ends a day earlier.
To hold off volunteers while players register, give every offering Volunteer Reg. dates. An offering without them is open to volunteers whenever it's open to players.
The dates don't limit admins: you can still register a coach with Place Order, or with Volunteer Quick Add on the Enhanced plan and higher.
