Choose the payment methods families can use at checkout on Programs > Configurations > General, under Checkout. Enable Credit Cards? takes card payments through your Payrix payment gateway, Enable Checks? lets families mail you a check, and Enable Other? adds another way they pay you outside TeamSideline, such as Venmo or cash.
Applies to: Org admins who can edit Programs > Configurations > General · All plans · Every checkout on your website (registrations, Store and Donations, facility reservations); credit cards need a Payrix payment gateway
Where: Programs > Configurations > General (the Checkout, Payment Information and Mailing Address Defaults sections)
Turn payment methods on or off
- Go to Programs > Configurations > General.
- Under Checkout, set Enable Credit Cards? to Yes or No. Yes works only once TeamSideline has set up card processing for your site.
- Set Enable Checks? to Yes or No. With Yes, enter in Check Payable To the name families should make checks out to (up to 50 characters).
- Set Enable Other? to Yes or No. With Yes, enter the method's name in Other Label (up to 50 characters), such as Venmo.
- Under Mailing Address Defaults, fill in or confirm Mailing Street Address, Mailing City, Mailing State and Mailing Zip. Families who pay by check are told to mail it there, and these fields are required even when checks are off.
- Click Save.
What you'll see: "Registration Configurations updated." At least one of the three methods has to stay on.
What families see
- At checkout: with more than one method on, Payment Type asks "Choose your payment type:" and lists "Pay by Check", "Pay by" followed by your Other Label (for example "Pay by Venmo", or "Pay by Other" when Other Label is blank) and "Pay by Credit Card". When cards are the only method there's no choice, just the card form.
- Paying by check: checkout notes "After you click the Place Order button, the Order Summary page will give you the address to send your check to." Unless you use Checks Override (below), the Order Confirmation page and the confirmation email then show Mail Your Check To (your organization's name and mailing address), Check Payable To, Amount Of Check, and Info to Include, which asks the family to put the order number on the check.
- Paying by Other: the Order Confirmation page and the email show Payment Type with your Other Label, plus your instructions if you turn on Other Override (below).
- Check or Other: TeamSideline doesn't collect the money. The order is placed with nothing paid, the amount stays on the family's balance, and you record the payment when it arrives. No processing fee is added, and Partial Pay is offered only with a card.
Add your own payment instructions (Checks Override and Other Override)
The Payment Information section changes what order confirmations say when a family chooses a check or Other.
- For Other, check Other Override and type your instructions in the Help Text box marked For Other (up to 250 characters), such as where to send the payment and what to write in its note.
- For checks, check Checks Override and type your instructions in the Help Text box marked For Checks (up to 250 characters). In the confirmation email your text replaces the standard check details, so say where to mail the check, who to make it out to, and to write the order number on it.
- Click Save.
What you'll see: orders paid by Other show your text as Instructions on the Order Confirmation page and under Payment Information in the confirmation email.
Remove Other (for example Venmo)
Other is only an instruction to families: TeamSideline doesn't connect to the other service or check that anyone paid. To stop offering it:
- If a program requires Other, open the program's 1 Setup page and change its Req Payment Type to Not Applicable or another method.
- Go to Programs > Configurations > General and set Enable Other? to No.
- If you use Other Override, uncheck it.
- Click Save.
Clearing Other Label alone doesn't remove the option: checkout then shows "Pay by Other". Orders already placed with Other stay as they are, and you still record their payments.
Require one method for a program or the Store
- One program: on the program's 1 Setup page, Req Payment Type ("Use only for requiring a particular payment type.") can be Not Applicable, Credit Card, Check or Other. Families checking out with that program see only that method, so turn the method on here first.
- Store and Donations: on Programs > Configurations > Store/Donations, Req Payment Type can be Not Applicable or Credit Card.
- Items that require different methods can't share an order. Families see "The required payment type is different than other cart items. Please place a separate order for this item."
- A cart holding items paid to different payment gateways, such as two associated organizations' gateways, can be paid only by card.
If it doesn't work
- "At least one checkout payment method needs to be selected (Check, Credit Card, or Other)." Turn at least one method on.
- "Credit Card processing is not approved for this account." Card processing isn't set up for your site yet. TeamSideline turns it on once your Payrix merchant account is approved; contact TeamSideline Support. See How to complete the Payrix merchant application.
- "Credit Card processing must be enabled for Balance Payments." Set Enable Pay Balance to No before you turn cards off.
- "Credit Card processing must be enabled because one or more current programs require Credit Card payment." or "Checks must be enabled because one or more current programs require Check payment." A program that isn't archived has that method in Req Payment Type. Change it on the program's 1 Setup page first.
- "Check Payable To Required when Enabled Checks is Yes." Enter who checks are made out to.
- "Help Text Required when Checks Override is checked." or "Help Text Required when Other Override is checked." Type the instructions, or uncheck the override.
- "Mailing Street Address is Required." (or Mailing City, Mailing State or Mailing Zip) Fill in the whole mailing address.
- On a program's 1 Setup page: "Other payment type must be enabled for checkout before requiring it for a program (see Programs/Configurations/General)." Credit Cards and Checks have matching messages. Turn that method on here first.
- A family doesn't see Pay by Check or Other when paying a balance. Paying a balance online takes cards only. Record a check or other payment yourself with Add Transaction.
Good to know
- These settings are shared with Facility Reservation > Configurations > General, which has the same Enable Credit Cards?, Enable Checks?, Check Payable To, Enable Other?, Other Label and mailing address. A change on either page changes both.
- Which cards are accepted (Visa and Mastercard, plus American Express and Discover where they're turned on) is set on your payment gateway by TeamSideline. Administration > Subscription > Payment Gateways shows the card logos to admins with the Billing role.
- Checkout can't send families to another website to pay. Other only tells them how to pay you.
- Admin Place Order isn't affected: its Payment Method list always offers Check, Cash and Other, plus Credit Card when your site has a card payment gateway, and Terminal where a card reader is set up.
- When an order costs $0, checkout asks for no payment.
- To record a check, cash or Other payment when it arrives, see How to record a cash, check or other offline payment.
