Member passes are a convenient way to manage access and privileges for your organization. This guide will walk you through the steps to activate and configure member passes, ensuring your members enjoy seamless access while you efficiently manage their benefits.
If your site uses the Workflow, Membership Module, or Card Tracking features, you’ll see a colored status bar at the top of the Member Pass. This bar will show either green or red, green indicates all steps are complete, while red highlights incomplete requirements for easy at-a-glance status.
Important: To utilize the Member Passes feature, it must first be enabled on your site. Please contact our support team at support@teamsideline.com to request activation. Our team will assist you in getting this feature set up and ready for use.
1. Create the Member Passes on your site.
- Go to Programs > Configurations > Member Passes.
- Click the Add Member Pass button.
- Type in the Member Pass Name you want your Member Pass to be called and click the Add button.
- Select the Participant Type from the dropdown list. If you want this pass for Volunteers, select the Volunteer Type which you configured on the 2 Configuration page of your Program.
- For the Subheader Field, select which field you want to use as the subheader on your Member Pass and click the Save button.
- Note: there can only be one subheader at a time.
- Note: You can now enter custom text in the Sub Header field for Member Passes when the “Custom Text” option is selected.
- To add fields to the Member Pass, click the Add Field button to select which fields you want to include on your Member Pass.
- Click the Save button after each addition.
- Note: there can be up to six Member Pass fields.
- Note: If using Card Tracking functionality, you will be able to select Card Tracking data to show on the Member Pass such as "Card Count" and "Card Expires." In addition, a Suspended Player will automatically show a red header with the text "Suspended" in white on their Member Pass.
- Note: The Card Tracking functionality is a separate upgrade, If you are interested in adding the Card Tracking functionality email us at support@teamsideline.com.
- If you go back to the Programs > Configurations > Member Passes page, you can click the
icon to edit/add Standard Fields and Enrollment Field Items you want included on your Member Pass
- Note: When adding Enrollment Field's to your Member Pass, make sure these Enrollment Fields are also added to the desired Program so this data can be collected.
2. To use the Member Pass for a Program.
- Go to Programs > Manage Programs and click on the name of the Program.
- Go to the 1 Setup page.
- Select Enrollment Image = Yes, Required, New.
- Select Enable Member Pass = Yes.
- Set Select Member Pass = the Member Pass name you want to use for this program.
- Click the Save button.
- Note: When using Enrollment Field's for your Member Pass, make sure these Enrollment Fields are also added to the desired Program so this data can be collected.
3. View a Member Pass for one Player/Volunteer.
- Go to Customers > Account Management > Search and find a customer.
- Click on a customer's name to go to their Account Overview page.
- Click on the Enrollments tab.
- Click on the magnify glass icon
for the player you want the Member Pass for.
4. View the Member Pass for entire Team.
- Go to Programs > Manage Programs and select the desired Program.
- Go to the 4 Rosters tab
- Select a Team
- Click the Print Member Passes button
- Now you will be able to print out the Member Passes for all the rostered players
- See below for an example of the Member Pass
- Note: If using the Card Tracking functionality, a Suspended Player will automatically show a red header with the text "Suspended" in white. The Card Tracking functionality is a separate upgrade, If you are interested in adding the Card Tracking functionality email us at support@teamsideline.com.
5. Print the Member Pass for a Program
- Go to Reports > Report Viewer
- Use the drop down to select Member Passes
- Select the desired Member Pass
- Select the desired Program
- Click the Preview button
- Now you will be able to print out the Member Passes for all the rostered players
