An admin can add a player to a team in a Team Registration plus Roster program in two ways: enroll the player yourself with Place Order > Add to Roster on the customer's account, or invite the family from the team's roster page so they register and pay themselves.
Applies to: Admins · Enhanced, Elite and Enterprise plans · Team Registration plus Youth Roster Registration and Team Registration plus Adult Roster Registration programs
Where: Customers > Account Management > Search > (customer) > Place Order > Add to Roster, or Programs > Manage Programs > (program) > 4 Rosters > (team)
Before you start
- The team must already be registered in the program. If it isn't, place the team registration order for the team manager first; see How to Place an Order for a Customer below.
- For Place Order, the player (youth roster) or the adult (adult roster) must be a member of the customer's account. Create the account or add the member first if needed.
Option 1: Enroll the player yourself (Place Order)
- 1. Go to Customers > Account Management > Search and find the customer.
- 2. Click the customer's name, then click Place Order.
- 3. Click Add to Roster.
- 4. Choose the Enrollee: the player for a youth roster, or the adult for an adult roster. The Program list shows only the roster programs that fit that member.
- 5. Choose the Program, then the team under Team/Offering.
- 6. Choose the Registration Period (Regular, or Early or Late if the roster offering has them). It's filled in when there's only one choice.
- 7. Optional: tick Pre-Paid ("Zeros out cost") if the player has already paid.
- 8. Click Add, then Checkout.
- 9. If the program asks for a photo, upload it and click Next. Complete each enrollment information page (for example personal and emergency information and the terms) and click Next. The pages depend on how the program is set up.
- 10. On the checkout page, record the payment. To skip the email to the family, untick Send Confirmation Email to Customer.
- 11. Click Place Order.
What you'll see: the cart lists the enrollment with the team name and "(Player Registration)". After you place the order, the player is enrolled on the team and shows a check mark under Enrolled on the team's roster.
In variable pay programs, where the team manager sets each player's fee, step 6 is replaced by Roster Member (New Player, or someone already invited who hasn't enrolled) and Roster Cost.
Option 2: Invite the player from the team's roster
- 1. Go to Programs > Manage Programs, open the program and click 4 Rosters.
- 2. Click the team's name.
- 3. Click Add to Roster.
- 4. Enter the First Name and Last Name, choose the Role (Player) and enter the Email. For a youth roster, that's the parent or guardian who will register the player. Enter the Date of Birth if it's asked for.
- 5. Click Add.
What you'll see: an invitation is emailed to that address. When the family signs in and completes the enrollment, a check mark appears under Enrolled. Use the green Reinvite icon on a row, or Reinvite All, to resend invitations to members who haven't enrolled. The pencil edits a member's name and email.
The Role list always has Player. Coach, Assistant Coach, Site Coordinator and Team Parent appear only when those volunteer types are set up for the roster program on 2b Roster Configuration.
If the program uses a Master Roster
For master programs, the team's name on 4 Rosters opens the Master Roster instead. There, Add to Roster offers only Player and Coach (Coach appears when the Coach volunteer type is set up on 2b Roster Configuration), and the email is again the parent or guardian who will register. Members who have enrolled can't be deleted. Under Additional Program Enrollments, the View icon (magnifying glass) opens the team's roster for another program, where Add to Roster adds Master Roster members, Delete All clears that roster and the red X removes one member. The Master Roster Log lists the changes.
If it doesn't work
- There's no Add to Roster button on Place Order. It appears only for organizations with Team Registration plus Roster programs. For an individual registration program, use Add Enrollment on Place Order, then assign the player to a team with Assign To Roster on the program's 4 Rosters page.
- The team isn't in the Team/Offering list. The team's registration hasn't been placed or accepted yet.
- "A player is already on the roster with the same name and email address as the enrollee." The player is already on that team. Check the team you picked.
- "The enrollment selected cannot be combined with the other items in your cart. Continue with your current order and then place another order with this enrollment afterwards." Finish the current order, then add this enrollment in a new one.
- Add to Roster is missing on the team's roster page. The roster is locked. On 4 Rosters, click the team's lock icon ("Click to unlock roster"), add the player, and lock it again.
- "The date of birth is not within age requirements for this Offering." The player is outside the program's age range, so the invitation can't be added.
- The red X is grayed out. The member has enrolled or the roster is locked. To remove an enrolled player, cancel their enrollment instead.
- An email has a red flag next to it. The address is invalid or isn't accepting TeamSideline emails, so the invitation may not arrive. Fix the email via Communications > Email Filters by removing the block.
Good to know
- Publishing a schedule or Team Sites doesn't lock rosters. A roster is locked only with its lock icon on 4 Rosters (dependent programs also have Lock All Rosters).
- Admins can add players through Place Order even after the roster's registration period has closed.
- When the roster has reached its maximum, you'll see "The maximum number of players for this roster has been met." Admins can still add players.
- Adding a member to a Submitted roster sets it back to Open, so the team manager needs to submit it again.
- Pre-Paid sets the cost to $0. It doesn't record a payment.
