Families see a payment plan choice only when the program's Multiple Payments setting is Payment Plans and the offering has a payment plan for the current registration period whose payments add up to the current fee. Admins can choose Payment Plans only on the Enhanced, Elite and Enterprise plans, with a card payment gateway that allows recurring payments.
Applies to: Org admins · Enhanced, Elite and Enterprise plans · Registration programs paid by card
Where: Programs > Manage Programs > (program) > 1 Setup > Multiple Payments; 2 Configuration > Payment Plan Setup
Payment Plans isn't in the Multiple Payments list
Check these on the program's 1 Setup page:
- Your plan doesn't include payment plans. They're part of the Enhanced, Elite and Enterprise plans, not Core. If your organization is on an older package, contact TeamSideline Support to add them.
- Your admin user doesn't have payment plan permission. Ask an admin who manages users to check your roles.
- The program uses Tiered Pricing, chosen when the program was added. Payment plans aren't offered with tiered pricing; Partial Pay still is.
- Req Payment Type is Check. Multiple Payments is then set to None and grayed out. Choose Not Applicable or Credit Card instead.
After TeamSideline adds payment plans to your site, reload the page. If the option still doesn't appear, sign out and back in.
Set up a payment plan for an offering
- Go to Programs > Manage Programs, open the program and click 1 Setup.
- In Multiple Payments, choose Payment Plans and click Save.
- Click 2 Configuration, then Payment Plan Setup.
- Under Step 1: Select Offering, choose the Offering.
- Under Add Payment Plan, choose the Total # of Payments, enter the 1st Payment (at least $5, paid at registration), choose the Frequency (Weekly, Every 2 Weeks, Every 3 Weeks, Monthly or Custom) and click Add.
- In the table, check the Early, Regular and Late amounts so each column adds up to that registration period's fee. For Custom, enter each Payment Date.
- Click Save, and repeat for each offering.
What you'll see: "Payment plan updated for this offering. Existing Customer payment plans will remain active using previous payment plan options."
Families don't see a payment plan
When a family picks an offering that has a plan, the cart shows Payment Options with "1st Payment of" and "Full Cost of" choices. If it's missing:
- No plan for the current registration period. Plans are saved separately for Early, Regular and Late. If the offering is now in its Late period, it needs a Late amount.
- The fee changed after you set up the plan. The payments no longer add up to the fee, so the plan is hidden. Open Payment Plan Setup, fix the amounts and click Save.
- A Custom plan's payment dates have all passed, so the whole fee would be due now. Choose later dates.
- The offering costs $0, or it's a volunteer or sponsorship registration. Payment plans are for player and adult (general) registrations with a fee.
- Req Payment Type is Check.
- You're placing the order for the family. Place Order doesn't offer payment plans. After the order, click Add Payment Plan under Payment Plans on the customer's Account Overview to spread the balance; it's available while the account has a balance.
If it doesn't work
- "Regular Payment Plan Option payment total does not equal regular offering cost." (or the Early or Late version) Change the amounts in that column so they add up to the fee for that registration period.
- "Missing Payment Date." A Custom plan needs a date for every payment after the first.
- "Total # of Payments selection is required." or "Frequency selection is required." Choose both before you click Add.
- Payment Plan Setup isn't on 2 Configuration. Multiple Payments isn't saved as Payment Plans on 1 Setup.
- Multiple Payments is grayed out at Payment Plans. Offerings already have payment plans. Delete them in Payment Plan Setup before you change the setting.
Good to know
- Changing or deleting a plan doesn't affect families already on it. Deleting shows "Payment plan deleted for this offering. Customer payment plans using this option will remain active."
- Payment plans charge the card on file on each scheduled date, and never more than the account balance.
- Partial Pay is the other Multiple Payments choice: families pay a deposit at registration and the rest later.
