Multi Edit lists everyone registered in one offering of a program, with up to four of your custom fields as columns you can type in. Use it to fill in or change a field such as a jersey number, a school or a skill rating for the whole list, then save once. It changes custom field values only, not names, birth dates or registration answers.
Applies to: Org admins whose role includes Multi-Edit · All plans · Player custom fields on youth registrations, and Parent custom fields on adult (General) registrations
Where: Customers > Account Management > Multi Edit
Before you start
- Create the field first: go to Administration > Configurations > Custom Fields and click Add Custom Field. Choose the Player category for players, or Parent for adults who register themselves.
- Give it the Text, Date or Drop Down List field type. Multi Edit lists only those three types: Multi-line Text, Check Box, Email, Time, Phone and File fields aren't in its Fields list.
- For a Drop Down List field, add every choice to the field's list values first.
Fill in a field for many people at once
- Go to Customers > Account Management > Multi Edit.
- In Enrollment Type, leave Player to work on youth players, or choose General to work on adults who registered themselves.
- In Program, choose the program. Archived programs aren't listed.
- In Offering, check the offering. Multi Edit selects the program's first offering for you, so choose another one if you need it.
- In Fields, check the fields you want to fill in, up to four. If you check more than four, only the first four in the list are used.
- Click Update. The list shows each person's First Name and Last Name and a column for each field you checked, with the values saved now.
- Type or choose the new values: a box to type in for a Text field, a date picker for a Date field and a drop-down list for a Drop Down List field. Change only the rows you need.
- Click Save. There's a Save button above the list and another below it, and either one saves every row.
What you'll see: a message such as "Successfully updated 12 enrollees.", counting the people whose values changed, or "No enrollees updated." when nothing changed. The list then shows the saved values. To work on another offering or other fields, change them and click Update again.
Sort and filter the list
- Click a column heading to sort by that column.
- Type in the box under a heading to show only the rows that contain what you type, such as part of a last name.
- Drag a heading to move its column, or drag the edge of a heading to make the column wider.
- Save before you sort or filter. Sorting and filtering reload the list from what's saved, so values you typed but didn't save are lost.
What Multi Edit can and can't change
| Information | Can Multi Edit change it? |
|---|---|
| Player custom fields of the Text, Date and Drop Down List types | Yes, with Enrollment Type Player, whether the field's Public Access is Hidden, Read Only or Editable. |
| Parent custom fields of those types, for adults who registered themselves | Yes, with Enrollment Type General. |
| Multi-line Text, Check Box, Email, Time, Phone and File custom fields | No. Change them on each person's Edit Member page. Multi-line Text, Email and Time values can also be loaded from a file with the Player Custom Field Import. |
| Account, Roster and other custom field categories | No. Only Player and Parent fields are listed. |
| First Name and Last Name | No. They're shown so you can find people. Change a name, birth date, gender or grade on the person's Edit Member page. |
| Answers to a program's enrollment fields (its registration questions) | No. They belong to each registration: change them with Edit Enrollment. |
| Volunteer, coach and sponsor registrations | No. Enrollment Type offers Player and General only. |
If it doesn't work
- "Please select at least one field to update." You clicked Save before choosing fields. Check one or more fields in Fields, click Update, then click Save.
- "Please enter a value for "(field name)"." The field is required (Is Required), and a row has no value in it. Every row in the list is checked, including rows you didn't change. Fill in that row's value and click Save again. A row with an error isn't saved, but the other rows are, and you see "Updated (number) enrollee(s), but (number) row(s) had validation errors." or "No enrollees updated, but (number) row(s) had validation errors."
- "Invalid entry for "(field name)" field." The text is longer than the field's Max Length, or a date or drop-down value isn't valid. Shorten the text, or raise Max Length in the field's settings, and click Save again.
- A field isn't in the Fields list. Choose the Program first: the list fills once a program is chosen. Then check the field's Category (Player fields show for Player, Parent fields for General) and its Field Type (Text, Date or Drop Down List only).
- A field's boxes are grayed out. Only admins with a particular role can change that field (its Restrict Editing to Role setting), and your role isn't it. Ask an admin who has that role.
- Someone isn't in the list. Their registration is in another offering, so choose it in Offering. Canceled registrations and archived programs aren't listed. Waitlisted registrations are.
- Values you typed disappeared. You sorted or filtered before saving. Type them again and click Save.
- There's no Multi Edit under Customers > Account Management. Your admin role doesn't include Multi-Edit. Ask an admin who manages users and roles.
Good to know
- A custom field belongs to the person, not to one registration. A value you save here stays on that person's record in every program and in reports, and families see it on their account when the field's Public Access is Read Only or Editable.
- Each person is listed once, even with more than one registration in the program.
- Player evaluations: TeamSideline has no separate evaluation page. Add a Player custom field for your rating, for example a Drop Down List with your rating scale and Public Access set to Hidden so families don't see it, and fill it in here after evaluations. To then place players on teams, see How to run a live player draft with Assign To Roster.
- To load values from a spreadsheet instead, use the Player Custom Field Import on Administration > Import Data, one field per file.
- To check or share the values, add the field as a column in a report export, such as Account Information. Custom fields are listed with "(c) " before their name.
- Answers to a program's own questions belong to each registration. Admins change them with Edit Enrollment, and families can change some of them themselves: see How to update your Enrollment Information and Enrollment Photo.
