Program Terms & Conditions are your organization's own agreements, such as a liability waiver or a code of conduct, that families accept during checkout. Create each document once at Programs > Configurations > Terms and Conditions and add it to each program on its 2 Configuration page; editing it later creates a new revision, and earlier registrations keep the version they accepted.
Applies to: Org admins · All plans (eSignature and add-on terms: Enhanced, Elite and Enterprise) · All registration programs
Where: Programs > Configurations > Terms and Conditions, and Programs > Manage Programs > (program) > 2 Configuration > Terms & Conditions
These aren't TeamSideline's own Terms of Use, which everyone accepts when they sign in. See the related articles for those.
Create the Terms & Conditions
- Go to Programs > Configurations > Terms and Conditions and click Add T's & C's.
- In T & C Name, enter the name families see as its heading (up to 50 characters), such as 2026 Liability Waiver.
- Enhanced, Elite and Enterprise: set Enable eSignature to Yes if families should sign in a box instead of checking a box.
- In Optional, choose No if families must accept to register, or Yes to let them answer Yes or No.
- In T & C Text, type or paste the wording. The editor can't attach a file: to share a PDF, upload it at Content > Downloads, then insert a link to it with Links > Downloads in the editor's toolbar.
- Optional: in Agreement Text, enter your own sentence to replace the default one shown with the checkbox, list or signature (up to 250 characters).
- Click Save. You see "The Terms and Conditions have been updated."
| Setting | Families see | To register |
|---|---|---|
| Optional No (no eSignature) | A checkbox: "Click here to verify that you have read and agree to the terms and conditions that govern your involvement with (your organization)." | They must check it. |
| Optional Yes (no eSignature) | A Yes or No list: "Select "Yes" to agree to these terms and conditions that govern your involvement with (your organization)." | They must choose Yes or No. No still registers them, recorded as not accepted. |
| Enable eSignature Yes | A signature box with "By signing below, participants agree to all above terms and conditions." and the signer's name and the date. | They must sign, unless Optional is Yes. |
Add them to a program
- Go to Programs > Manage Programs, click the program's name, then click 2 Configuration.
- Under Terms & Conditions, click Add T's & C's.
- In Terms & Conditions, choose the document. A signature icon marks eSignature documents.
- In Enrollment Type, choose who must accept it: Player, Sponsorship or Volunteer in Youth Registration programs; General/Adult, Player/Youth, Sponsorship or Volunteer in Youth & Adult Registration programs. Adult, Team and Youth Camp programs have no list: the terms apply to every registration.
- Click Add. The document is listed with its Enrollment Type.
- To add more, repeat. A program can have several documents for the same Enrollment Type. Drag the rows to set the order families see them in.
In a Team Registration plus Roster program, terms for the players are added on the roster program's 2b Roster Configuration page (Player or General, and Volunteer). Terms on the team program's page are for the team registration.
Update the wording (revisions)
- On Programs > Configurations > Terms and Conditions, click the Edit icon on the document, change it and click Save. Saving creates a new revision with a new Revision Id.
- Every program that uses the document switches to the new revision at once. New registrations accept it; earlier registrations keep the revision they accepted.
- To see older versions, expand the document's row: each revision is listed with its Date and Updated By. Click View Revision (the magnifying glass) to read one, and use your browser's Print to save it as a PDF.
- To change the wording for new programs only (for example next season's) while current programs keep theirs, add a new document instead and add it to the new programs.
Terms added after families registered
Terms apply from the next registration. People who already registered aren't asked to accept them: the family's own Edit Enrollment page doesn't show terms, and an admin can't record an acceptance on Edit Enrollment. To get agreement from them, collect it another way, such as an enrollment field they can answer from My Account (Can Be Edited) or a separate form.
See what a family accepted
On the family's account, click Enrollments, then the Edit Enrollment icon (pencil) on the registration. The Terms table lists each document with its Revision Id, Accepted (Yes or No) and Updated By (who accepted). Click View Revision to read that version with "Agreed to by" and the order date, and the signature for eSignature terms.
Remove terms
- From one program: on its 2 Configuration page, click the red X on the row. New registrations no longer see it; earlier registrations keep their record. Archived programs can't be changed.
- From your organization: on Programs > Configurations > Terms and Conditions, click the red X (Delete) and confirm. It's grayed out while any program still has the document, archived programs included. Deleting it doesn't change what earlier registrations accepted.
Terms for add-ons (Buy Item Terms)
- On Enhanced, Elite and Enterprise, open the Buy Item Terms tab on Programs > Configurations > Terms and Conditions and add a document the same way. Add-on terms have no eSignature option, and each name must be unique.
- Open the add-on (Programs > Configurations > Buy Items/Add-Ons, then the item), click its Terms and Conditions tab and click Add T's & C's.
- Choose the document and click Add. You see "Terms & Conditions "(name)" added."
Families who add that add-on see "Accept Terms & Conditions" with a link to the document, and must check it unless the document is optional.
If it doesn't work
- "Duplicate Terms for Enrollment Type selected." That document is already on the program for that Enrollment Type.
- "Enrollment Type selection is required." or "Terms & Conditions Name selection is required." Choose both before clicking Add. In a Youth & Adult Registration program, a row whose Enrollment Type is blank applies to no one: remove it with the red X and add it again with an Enrollment Type.
- "To add Terms and Conditions, you need to complete the T & C Name field." (or "…the T & C content.") Fill in the name and the text.
- "T & C Name already exists." An add-on terms document already has that name.
- Enable eSignature isn't on the page. Your plan doesn't include eSignature (Enhanced, Elite and Enterprise).
- The Delete icon is grayed out. A program still has the document. Remove it from each program first.
- A family didn't see the terms. They're set for another Enrollment Type, the family registered before you added them, or an admin placed the order. Admin orders show terms only when Show T&Cs is Yes on Programs > Configurations > General, and an admin isn't required to accept them.
Good to know
- When a family registers the same person in two programs that use the same required document, the second checkbox is already checked.
- Facility reservations and memberships have their own terms: Facility Reservation > Configurations > Terms and Conditions, and each membership's Terms tab.
