As the team manager, add your coach to the roster with the Coach role. Coaches get Roster Edit automatically, so once your coach accepts the roster invitation and completes enrollment, they can sign in and manage the roster with you.
Applies to: Team managers · Enhanced, Elite and Enterprise plans · Team Registration plus Youth Roster and Team Registration plus Adult Roster programs
Where: Your organization's site, signed in > Manage Rosters > (your team)
How to add your coach with roster access
- 1. Sign in to your organization's site with the account you used to register the team.
- 2. Under Manage Rosters, click your team's name.
- 3. Click Add to Roster.
- 4. Enter the coach's First Name and Last Name.
- 5. In Role, choose Coach.
- 6. In Email, enter the email address your coach uses, or will use, to sign in.
- 7. Click Add.
What you'll see
- Your coach appears on the roster with a blue people icon next to the role, which means "Has Roster Edit ability".
- Your coach gets an email invitation to join the team. They open the link (or sign in and look under Roster Invitation(s) in the cart), sign in with the email address you entered, and complete enrollment. A check mark then shows in the Enrolled column.
- After enrolling, your coach sees the team under Manage Rosters when signed in and can add, edit and invite team members.
How to turn Roster Edit off or back on
- 1. On your roster, click the Edit icon on the coach's row.
- 2. Set Roster Edit to No (or Yes). The note reads "Allow this staff member to sign in and manage the roster".
- 3. Click Save.
Only the Coach role has a Roster Edit setting.
If it doesn't work
- Coach isn't in the Role list. Your organization hasn't set up the Coach role for this program's roster. Use your organization's Contact Us page to ask them to add it.
- "The staff member must complete Enrollment before the "Roster Edit" feature is available." Your coach hasn't completed the roster invitation yet. Click the Reinvite icon on their row (or Reinvite All) to send it again.
- Your coach sees "This roster invitation is for a different user. Please click the roster invitation link again and sign in with the following email address:" and an email address. They signed in with a different account. They should sign in with the email shown, or you can correct the email on their row with Edit and reinvite them.
- Your coach sees "Your roster invitation is no longer valid. If you have questions, contact your Team Manager." The coach was removed from the roster, or your organization has locked the roster or hidden the program. Check that the coach is still on your roster, and contact your organization if the roster is locked.
- Your coach can't see the team under Manage Rosters. They haven't completed enrollment, Roster Edit is set to No, they signed in with another account, or the program has ended. Roster access ends after the program's end date.
- There's no Add to Roster button and your roster shows Locked. Your organization locked the roster. Contact them to make changes.
Good to know
- Roster Edit is set to Yes automatically for every coach you add.
- Copy Roster copies team members from other teams you registered yourself, so a coach with Roster Edit won't see it. Only you, as the manager who registered the team, can use it.
- You can add Players and Coaches. Other staff roles, such as Assistant Coach, Team Parent and Site Coordinator, can be added by your organization's admins when they've set them up for the program.
- Your own manager entry can't be edited or removed from the roster.
