To correct a parent's or player's name, date of birth, gender or grade, go to Customers > Account Management > Search, open the family's account and click the Edit Member icon next to the person on Account Overview. Admins can make these changes at any time; families can't change a player's name, birth date or gender once the player has an enrollment.
Applies to: Org admins with the Edit Parent/Player permission · All plans · Customer accounts
Where: Customers > Account Management > Search > (account) > Account Overview > Edit Member
Edit a player's information
- Go to Customers > Account Management > Search.
- Enter the player's or a parent's First Name and Last Name, or another detail such as Email Address or Phone, and click Search.
- Click the customer's name in the results. The account opens on Account Overview.
- Under Account Members, click the Edit Member icon next to the player. It's the pencil icon shown here:
- Change the fields you need (see the table below).
- Click Save.
What you'll see: you're back on Account Overview with "Player updated." (the message uses your organization's word for participants), and the Account Members list shows the new name, gender and date of birth.
| Field | When you see it |
|---|---|
| First Name, Last Name | Always. Changing either one also updates the player's name in your stats. |
| Middle Name | When Middle Name is Yes on Customers > Configurations > General |
| Date of Birth | Always (month, day and year) |
| Gender | Always |
| Player Grade | When Player Grade is turned on in Customers > Configurations > General and your role includes Player Grade. It's required then. |
| Birthday Validation | When Birthday Validation is Yes on Programs > Configurations > General. Check Validated and enter the date you received proof of birth date; the date is required when the box is checked. |
| Player Id | When Player Id is Yes on Customers > Configurations > General |
| Profile Image and custom fields | When player profile images are turned on, and your player custom fields when your role can view them |
Edit a parent's information
- Open the account as in steps 1 to 3 above.
- Under Account Members, click the Edit Member icon next to the parent.
- Change the Email Address, First Name, Middle Name, Last Name, address, Date of Birth, Gender or phone numbers.
- Click Save. You'll see "Account updated."
Legal names: Legal First Name, Legal Middle Name and Legal Last Name show only for a parent who already has a legal name on file. It's collected on an enrollment form, for example for a background check, and the first and last legal names are required once they show.
Why families can't make these changes
Once a player has any enrollment, the family's Edit Member page (My Account > Members) locks the player's first, middle and last name, date of birth and gender, and shows "Some fields cannot be edited after an enrollment has been placed. To request a change, please select the Contact Us link under Help at the top of this page." A parent's own name locks the same way once that parent has an enrollment, for example in an adult program. So these corrections come to you, or to TeamSideline Support.
Edit After Enrollment on Customers > Configurations > General decides what else families can do for an enrolled player. With No, they can't open the player's Edit Member page at all. With Yes, they can update the picture, custom fields and other details, but never the name, birth date or gender.
If it doesn't work
- The Edit Member icon is a magnifying glass, or Save is grayed out. Your role can view members but not edit them. Ask an admin who manages users to give you a role with the Edit Parent/Player permission.
- The icon is grayed out with "You do not have permissions to edit members." Your role can't view members either. Ask an admin who manages users.
- A required field is missing. The message names it: "First Name is required.", "Last Name is required.", "Birth month is required.", "Birth day is required.", "Birth year is required.", "Gender is required." or "Player Grade is required." For a parent, "Legal First Name is required." or "Legal Last Name is required." can also appear.
- "The birth date appears to be invalid." The month, day and year don't make a real date, such as February 30. Fix the date and save again.
- "This email address is already in use by one of your existing account members. Please access the existing member instead of creating a new member or use a unique email address for this new member." Another member of this account already has that email address. Edit that member instead, or use a different address.
- "Phone 1 field appears to be incomplete." Phone numbers need all 10 digits.
- Player Grade or Birthday Validation isn't on the page. The setting is off (see the table above), or your role doesn't include Player Grade.
Good to know
- A parent's email address is their sign-in. Changing it connects the parent to the TeamSideline sign-in with the new address and disconnects the old one. If the new address has no TeamSideline sign-in yet, one is created and emailed a temporary password. Whoever signs in with the new address can use this family's account, so double-check it before you save. Families can change their own sign-in address: see How do I change my email address?
- Grades move up every year. If Player Grade is on, every player moves to the next grade on the Player Grade Update Date set on Customers > Configurations > General. Fix single players here. See How to set up Grade Validation using each player's grade (Auto Grade).
- Existing enrollments don't change. Registration checks age and grade when the family registers, so editing a birth date or grade later doesn't move an enrollment. Check the player's enrollments if they now belong in a different offering.
- Two accounts for one family? Merge them instead of editing both: see How to merge duplicate customer accounts (Merge Accounts).
