Officials Self-Registration lets officials create their own officials profile from a link you share, instead of you adding each one. Turn it on in Officials Management > Configurations, then email the link or put it on your website.
Applies to: Admins · Officials module (all plans) · Legacy content editor and Editor 2.0 websites
Where: Schedules > Officials Management > Configurations (Self Registration section)
Before you start
- Officials register with their own TeamSideline account. The link asks them to sign in, or to create an account if they don't have one, and their officials profile takes that account's name and email address.
- In the Statuses section of Configurations, make sure one status has Default ticked. Every self-registered official gets that status, so a status with Assignable ticked and Hide unticked lets you assign them and find them easily.
Turn on self-registration
- Go to Schedules > Officials Management > Configurations.
- In the Self Registration section, set Enable to Yes.
- Enter a Registration Code of up to 25 characters. The code is built into your registration link, and anyone with the link can create an officials profile, so choose one that's hard to guess.
- In Registration Copy Email, enter the email address that should hear about each new registration. Separate several addresses with commas.
- Click Save.
What you'll see: "Save Successful." From now on, the Officials Self-Registration link in your message and page editors' Links lists carries this code.
Invite officials by email
- Go to Communications > Send Communication, tick the lists or people to send to and click Next.
- On Create Your Message, click in Email Message where the link should go, open the Links list and choose Officials Self-Registration.
- Finish the message and send it.
This works on both kinds of website: on a live Editor 2.0 site, the message Links list includes Officials Self-Registration too.
Put the link on your website
The link never changes unless you change the Registration Code, so you can add it to a page or button once.
Legacy content editor website
- Go to Content > Page Edit and choose the page in Page to Edit.
- In the editor, click where the link should go, open the Links list and choose Officials Self-Registration.
- Click Save, then try the link on your public page.
Editor 2.0 website
The Editor 2.0 site editor doesn't have the Links list, so copy the link's address from a message first.
- Start a message in Communications > Send Communication: tick any list and click Next. You won't send it.
- In Email Message, choose Links > Officials Self-Registration.
- Select the inserted link, click the Hyperlink Manager button and copy its URL.
- In Content > Site Editor, add a button or text link to your page, paste the URL as its link and publish the change.
On both kinds of website the link opens TeamSideline's sign-in page for your organization, then the Officials Registration page.
Find new officials and get them ready to assign
- Watch for the "Official Self-Register Notice" email at your Registration Copy Email address. It names each new official.
- Go to Schedules > Officials Management > Officials and search by Last Name, First Name or Email. If they aren't listed, click "Show 3 more fields.", tick Include Hidden and search again.
- Click the View Official icon to open their Official Overview.
- Check Status. You can assign games only to officials whose status has Assignable ticked; to change it, click Edit Profile.
- In Approved For, click Add Approval, or in Approved For Profiles, click Add Profile, so their approvals match your games' sport, role, level of play, gender and age group.
What you'll see: the official in your Officials list. Until they have an Assignable status and a matching approval, they aren't offered games to request and don't appear when you assign games.
If it doesn't work
- "Please sign in or create a new account to access the officials registration page." That's expected: the official signs in, or clicks Create a new account, and then reaches the registration page.
- "Officials registration is not available at this time." Enable is No. Set it to Yes and click Save.
- "Officials registration is not available at this time. You may have an old registration link." The link carries an earlier Registration Code: the code was changed after the link was shared. If your officials work for several associated organizations, that organization's self-registration may be off. Insert the link again from Links and resend it or update your page.
- "Invalid Officials Registration access code. If you have a registration link, close this page, and try it again." The official reached the page without a code, for example from a link copied before a Registration Code was saved. Send a freshly inserted link.
- "This user account already has an officials profile." The account is already connected to an official in your organization because you added them, imported them or they registered before. They don't need to register: they sign in and use the Officials Management menu.
- No notice email arrives. Check Registration Copy Email for a typo, and separate several addresses with commas. A blank box sends no notice.
- There's no Self Registration section on Configurations. Your officials work for several associated organizations. Each organization has its own Officials Self Registration section under Administration > Associated Organizations (edit the organization), and the Links list shows Official Self-Registration with a link for each organization where it's enabled.
Good to know
- The Officials Self-Registration link is offered only with the Officials module. Changing the Registration Code stops every earlier link from working.
- Self-registered officials start with your Default status and no approvals. With several associated organizations, they're affiliated with the organization whose code they used.
- Officials you add with Add Official or the Officials import don't need the link. They create an account (or sign in) on your website with the email address on their official profile, and the profile connects to it automatically. An official with no email address on their profile can't be connected to an account.
- In the TeamSideline app, officials can enter the code instead of using the link: Account > Official Self Registration.
- Setting Enable to No stops new registrations; officials who already registered keep their profiles.
