Officials can request (self-assign) games, but games are only visible to officials once the division has roles enabled and the games have been published. This article walks through the setup.
Note: You cannot publish individual games. Instead, you control which Divisions are available and publish games through a specific date.
Step 1: Enable Roles for the Division
For games to be visible to officials, each division must have official roles defined.
- Go to Schedules > Officials Management > Assignments.
- On the Assignment Summary tab, select the League and Schedule, set the Status Through date, then click Update.
- In the division table, click the pencil (edit) icon next to the division you want to set up.
- On the Roles tab, select the Role Name and whether the role is Required, then click Add.
- Repeat for each role and each division that should be available for requests.
The number of roles added to a division determines how many officials can request each game. Each role added creates one request slot, so if you add the same role twice (for example, two Base Umpire roles), two officials will be able to request that game.
Step 2: Publish the Games
Officials assignments must be published before officials can view or request games.
- Go to Schedules > Officials Management > Assignments.
- Click the Publish Through Update button to publish the available games through the desired date. Only games up to that date will be visible for officials to request.
Step 3: Confirm Official Approvals
Officials with division-specific roles will only see games available for their configured divisions. You can review or update what an official is approved for on the official's record:
- Go to the official's profile and scroll to the Approved For section.
- Click Add Approval to add the Sport, Role, Level of Play, Gender, and Age Group combinations the official is approved for. Or use the Approval Profile to add a Profile of Approved For configured via Schedules > Officials Management > Configurations.
Controlling How Requests Are Confirmed
You can control whether an official's request is automatically confirmed or comes in as a pending request for the assigner to review.
- Go to Schedules > Officials Management > Configurations.
- In the General section, find the Auto Confirm Request setting.
- Yes – an official's request automatically goes to Confirmed.
- No – the request comes in as a pending request that must be confirmed by the assigner.
Once setup is complete, officials can request games from their customer account in a browser or through the TeamSideline app
Note: Officials will only see games in divisions that match their approved roles and divisions.
Note: If officials report they cannot see any games, verify that roles have been added to the division and that games have been published through the desired date.
