To pay officials, set pay rates on the Payment Schedule, mark each worked game Payable on Post Game Reports, then run a Batch Payment for a date range and confirm it. The Pay Rate At Batch Creation setting decides whether pay is priced when a game is marked Payable or when the batch is created.
Applies to: Org admins with access to Officials Management · Officials module · Game officials
Where: Schedules > Officials Management > Payments (Batch Payments and Payment Schedule), Assignments > Post Game Reports, and Configurations
Step 1: Set the pay rates
- 1. Go to Schedules > Officials Management > Payments and click Payment Schedule.
- 2. Choose the Organization, Role and Level of Play. Until you do, the page says "Please select an Organization, Role, and Level of Play."
- 3. Enter the Payment Amount for each Age Group.
- 4. Click Save.
To pay one official a different rate, open the official from Officials Management > Officials, click the Payment Schedule tab, and enter the amount in the Official Override column. An override takes the place of the standard rate for that official.
Step 2: Choose when pay is priced
Go to Schedules > Officials Management > Configurations and set Pay Rate At Batch Creation:
| Setting | Pay is priced | If you change a rate after a game is marked Payable |
|---|---|---|
| Yes (the default) | From the current Payment Schedule when you create the batch | The batch uses the new rate. For example, a game marked Payable at $40 is paid $45 if you change the rate to $45 before running the batch. |
| No | When the game is marked Payable | The batch keeps the rate from when the game was marked Payable. The same game is paid $40. |
Click Save after changing it. The setting affects batches you create from then on.
Step 3: Mark worked games Payable
- 1. Go to Schedules > Officials Management > Assignments and click Post Game Reports.
- 2. Choose filters such as Date Range, League, Division, Official or Payable, and click Update.
- 3. Set Payable for each assignment the official worked.
- 4. Click Save.
Step 4: Run the batch payment
- 1. Go to Schedules > Officials Management > Payments. The Batch Payments page opens.
- 2. Click Run Batch.
- 3. Choose the Organization (if you pay for more than one) and Sport Type, enter a Batch Name, and set the Date Range of the games to pay.
- 4. To also pay Payable games from before the date range that haven't been paid yet, check Include Prior Outstanding Balances.
- 5. Click Run.
The batch includes every assignment that is marked Payable, isn't already in a batch, and has a game date in the range, or before it when Include Prior Outstanding Balances is checked.
Step 5: Review and confirm the batch
- 1. Find the batch in the list. It shows the Batch Name, Start Date, End Date, # Games and Batch $ Amt.
- 2. Expand it to see each payment: Official Name, Date, Game, Role/LOP and Payment Amount.
- 3. If something is wrong, click the delete icon to remove the batch, fix the rates or Payable settings, and run it again.
- 4. When it's right, click the green check (Confirm). The payments are added to each official's account balance.
A confirmed batch can't be deleted.
If it doesn't work
- The batch shows no officials. No games in the date range are marked Payable, they're already in another batch, or the Organization or Sport Type doesn't match. Mark the games Payable and run the batch again.
- A game won't save as Payable. There's no Payment Schedule amount for that role, level of play and age group. Add one in Step 1.
- An official was paid a different amount than you expected. Check Pay Rate At Batch Creation, whether the official has an override, and whether the rate changed after the game was marked Payable. Delete the batch and run it again if it isn't confirmed yet.
Good to know
- With Pay Rate At Batch Creation set to Yes, each payment in a new batch is priced from the current schedule, using the official's override if they have one. An assignment with no matching schedule amount keeps the amount it already has.
- Confirmed batches never change when you change a rate later.
- Officials see their account balance on their profile when they sign in.
