An official sees a game under Request Assignments only when the game's division has official roles and a Published Through date on or after the game, the official is approved for the game's sport, role, level of play, gender and age group with a status that's Assignable, and a spot for that role is still open. The Officials Management menu appears on your website only after the official signs in there with the email address on their official profile.
Applies to: Admins and officials · Officials module (all plans) · League and program divisions with game schedules
Where: Admins: Schedules > Officials Management > Assignments, and Schedules > Officials Management > Officials. Officials: your organization's website > Officials Management > Request Assignments
Step 1: Check the division (admins)
- Go to Schedules > Officials Management > Assignments.
- On Assignment Summary, check the league in the League list, choose the Schedule and click Update.
- Find the division and look at Published Through. If it's blank, officials can't request any of the division's games. If it's earlier than a game's date, they can't request that game.
- To set it, click the Edit icon (pencil) on the division's row, open the Publish Through tab, choose the Published Through date and click Save. To set many divisions at once, click Publish Through Update above the filters instead.
- Open the division's Roles tab and check that at least one role is listed. If it says "There are no official roles defined for this division.", choose a Role Name, set Required and click Add.
What you'll see: "Published Through date updated." and the date in the division's Published Through column. Officials can request the division's games dated on or before that date. Each role you add is one official per game, so add a role twice to let two officials request it.
The Role Name list shows only roles for the league's sport (its Sport Type). If a league's sport is Other, first add roles with the Sport Other: on Schedules > Officials Management > Configurations, click Add Role in the Roles section.
Step 2: Check the official (admins)
- Go to Schedules > Officials Management > Officials, search for the official and click the View Official icon. If they aren't listed, click "Show 3 more fields.", tick Include Hidden and search again.
- Check Status. Officials are offered games only when their status has Assignable ticked in the Statuses section of Configurations.
- Check Approved For. A row, or an Approved For Profile, must match the division: the league's sport, a role the division uses, the division's level of play and age group, and its gender (an approval for All matches any gender). To add one, click Add Approval, choose the Sport, Role, Level of Play and Gender, move the age groups to Approved For, and click Add.
- Check Email. The official signs in with this address. The Alt. Email doesn't connect their account.
- Check Availability Blocks and Location Blocks. Games during a blocked time or at a blocked location aren't offered.
A division's Gender, Age Group and Level Of Play are on its 1 Configuration > Display page under Schedules > Leagues & Divisions.
Why one game isn't listed
- Its date is after the division's Published Through date.
- Every spot for that role is taken. A Pending, Requested or Confirmed assignment holds its spot, so a requested game stays unavailable to other officials until the request is withdrawn, deleted or rejected.
- The official already has an assignment at an overlapping time.
- The game is canceled, is in a TBD time slot, or is more than a day old. Byes are never listed.
To see games whose spots are all taken, officials set Unavailable to Show and click Search. Those games show a red Unavailable icon instead of the green Request check mark.
If the official doesn't see the Officials Management menu
- Sign in on your website with the official email. The menu, with Officials Profile, Assignments, Request Assignments, Post Game Reports and Manage Blocks, appears after the official signs in with Sign In on your organization's website using the Email on their official profile. Without a TeamSideline account for that address, they click Create a new account on the sign-in page.
- Signed in with another address, such as a family account. They see their family's teams but not their assignments. Sign out and sign in with the official email. Each official needs their own email address: if two officials share one, both profiles go to the same sign-in.
- Admins who also officiate. Signing in on the admin sign-in page doesn't load the Officials Management menu. Sign out, then sign in with Sign In on your website.
- Added or changed after they signed in. If you added the official, or changed their Email, after they last signed in, they sign out and back in.
- Two official records with the same email. The official sees a Profile list on Assignments and Request Assignments and must choose the right one. Delete the duplicate on its Official Overview if it has no assignments; otherwise give it a status that isn't Assignable and has Hide ticked.
In the TeamSideline app
The app offers the same games to request as the website. It shows officiating only for organizations where the person's account is connected to an official profile whose status isn't marked Hide. That connection is made by email when the person signs in on your website, so if the app shows no assignments, sign in once on your website with the official email, then sign out of the app and sign in again.
If Schedules > Officials Management is missing (admins)
- Officials Management comes with the Officials module, which TeamSideline adds to your site. Contact TeamSideline to add it. If the menu doesn't appear once it's added, sign out and back in.
- Your admin role must include Officials Management. If the Edit icon on Assignment Summary is missing, your role doesn't include officials configuration. If Publish Through Update and the Publish Through tab are missing, it doesn't include Publish Through Update. Ask an Administrator to update your role.
If it doesn't work
- "There are no games available." Nothing matches the search. Search with All Locations, All Roles and All Types and no Game Date. If the list is still empty, work through Steps 1 and 2.
- "Your request was not successful. You have reached your maximum games for this day." The official already has as many Pending, Requested and Confirmed assignments that day as Max Requests Per Day allows (Configurations).
- "Your request was not successful. The availability of the game has recently changed." Another official took the last spot first. Choose another game.
- "Your request was not successful. Please refresh your page and try again." The game is no longer open to that official, for example because its spots were taken or their availability changed. Refresh and search again.
Good to know
- Published Through controls only what officials can request. Games an assigner assigns them appear on their Assignments page whatever the date.
- With Auto Confirm Request set to Yes (Configurations), a request is confirmed at once. With No, it stays Requested until an assigner confirms or deletes it on Admin Assignments.
- If your officials work for several associated organizations, Auto Confirm Request and Max Requests Per Day are set for each one under Administration > Associated Organizations, and games are offered only at locations whose associated organization has had its officials settings saved.
