To add a family that doesn't have an account yet, search for them first on Customers > Account Management > Search, then click Add Account and enter the account holder: the parent, or the adult participant, who will sign in. On a youth registration site, then add each child with Add Player and any second parent or guardian with Add Parent on the new account's Account Overview. To register them for a program, use Place Order afterward.
Applies to: Admins whose role includes the Add Customer and Add Parent/Player permissions · All plans · All registration sites (Add Parent and Add Player: sites that register youth participants)
Where: Customers > Account Management > Search > Add Account, then the account's Account Overview > Add Player or Add Parent
Search first
- Go to Customers > Account Management > Search.
- Type the person's Last Name, First Name or Email Address.
- To include deactivated accounts, click the link under the search boxes that shows how many more fields there are (for example "Show 7 more fields.") and check Include Inactive?
- Click Search.
If the person is listed, click their name to open their existing account instead of adding a new one. Deactivated accounts are marked [Inactive]. If you see "No results found.", add the account.
Add the account holder (Add Account)
- On the Search page, click Add Account. The Add Account page opens.
- If your organization has associated organizations, choose one in the first box. It's required, and it's labeled with your organization's name for them.
- Enter the Email Address the person will sign in with. It's optional unless your organization requires it.
- Enter the First Name and Last Name.
- Enter the Street Address and the City, State, Zip (a 5-digit ZIP code).
- Enter Phone 1 with all 10 digits and choose its type. Phone 2 and Phone 3 are optional.
- Fill in any other fields your organization shows, such as Date of Birth, Gender, Company Name or the questions under Primary Member Information. If Address Validation is shown and you've checked the family's proof of address, check Validated and enter the date.
- Click Add.
What you'll see: "New Account added. If an Email Address was provided and they do not have a TeamSideline Account, a TeamSideline account was created and an Email sent with their temporary password." The new account's Account Overview opens, with the person listed under Account Members as (Primary Account Holder).
Add children and other parents (youth sites)
- On the account's Account Overview, click Add Player. The button uses your organization's word for participants, so it may read differently.
- Enter the child's First Name, Last Name, Date of Birth (month, day and year) and Gender. All four are required.
- If Player Grade is shown, choose the child's grade. It's required when it's shown.
- Fill in anything else your organization shows, such as Birthday Validation, Profile Image or the questions under Additional Information.
- Click Add. You'll see "New Player added." (with your organization's word for participants), and the child is listed under Account Members.
- Repeat for each child.
For a second parent or guardian, click Add Parent on the Account Overview. It has the same fields as Add Account, plus Same As Primary? to use the account holder's address. Two parents in your organization can't share an email address. The details are in How to add a second parent or guardian to a family account (admins and parents).
Register them or place an order
Click Place Order on the account's Account Overview, then Add Enrollment. The full steps, including what an admin can override, are in How to register a participant or place an order for a customer (admin Place Order).
What the family gets
- If the email address you entered has no TeamSideline login yet, TeamSideline creates one and sends a "New Account" email with that address and a temporary password. They sign in on your website with it.
- If the email address already has a TeamSideline login, for example from another organization or because the person is one of your admin users, the account is linked to that login and no email is sent. They sign in with the password they already have.
- Without an email address, the account holder can't sign in or get emails from your site until you add one with the Edit Member icon on the Account Overview.
Add an account, add a parent, or merge?
- A family that's new to your organization: Add Account.
- A second parent or guardian who has no account with you: Add Parent on the family's account.
- Someone who already has an account, even under another email address: don't add a second one. Open the existing account, or merge the two accounts. Duplicate Accounts: When to Merge, When to Add a Parent, and When to Escalate helps you decide, and How to merge duplicate customer accounts (Merge Accounts) has the steps.
If it doesn't work
- "This email address is already in use by one of your existing account members. Please access the existing member instead of creating a new member or use a unique email address for this new member." A parent on an account in your organization, active or deactivated, already uses that address. Search for the address with Include Inactive? checked and open that account. If one family now has two accounts, merge them. If it's a different person, use that person's own email address.
- "Email Address is required." Your organization requires an email address for every parent (Customers > Configurations > General, Email set to Required).
- "The format of the Email Address you entered has a problem." Retype the address instead of pasting it, and check for typos. The message may suggest a correction.
- "Phone 1 field appears to be incomplete." Enter all 10 digits.
- "City: Only letters, spaces, apostrophes, and periods are allowed." or "City: Zip Code was added in City text box." Put only the city's name in the City box.
- "Street Address: One or more characters you entered could not be accepted." Remove characters such as % ; & = and apostrophes.
- "The format of the zip code appears to be invalid." Enter the 5-digit ZIP code, numbers only.
- "Birth month is required.", "Birth day is required.", "Birth year is required." or "Gender is required." (Add Player) Choose the full date of birth and the gender.
- "Player Grade is required." Choose the child's grade.
- Add Account is grayed out. Your admin role doesn't include the Add Customer permission.
- Add is grayed out on the Add Account page. Your role has neither the Add Parent/Player nor the Edit Parent/Player permission.
- Add Parent and Add Player are grayed out on Account Overview. Your role doesn't include the Add Parent/Player permission.
- There's no Add Parent or Add Player button. Your organization is set up for adult-only registration, where each adult has an account of their own. Use Add Account for each adult.
Good to know
- When you add a person, their names are saved with a capital first letter and lowercase after it, so "SMITH" is saved as "Smith" and "mary-ann" as "Mary-Ann". To fix the capitals afterward, open the person with Edit Member: a name you edit is saved exactly as typed.
- Player Grade appears only when Player Grade is set to Yes on Customers > Configurations > General and your role includes the Player Grade permission.
- Address Validation appears for the account holder only when Address Validation is set to Yes on Programs > Configurations > General.
- A card payment in Place Order needs the primary account holder to have an email address.
