To let families change an answer after they register, set Can Be Edited to Yes on that enrollment field in the program's Enrollment Fields section. Families then update it from Edit Enrollment in their account. Can Be Edited comes with End User Enrollment Edit, which is included in the Enhanced, Elite and Enterprise plans.
Applies to: Org admins · Enhanced, Elite and Enterprise (End User Enrollment Edit) · All registration programs
Where: Programs > Manage Programs > (your program) > 2 Configuration > Enrollment Fields
Let families edit a field
If the field doesn't exist yet, create it first: see How to create an enrollment field and add it to a program, under Related articles.
A field you're adding to the program
- Go to Programs > Manage Programs, click the program's name and open 2 Configuration (2a Team Configuration or 2b Roster Configuration in Team Registration plus Roster programs).
- In Enrollment Fields, click Add Enrollment Field.
- Choose the Enrollment Field and its other settings as usual (Enrollment Type, Offering, New vs Returning, Required, Use Previous).
- Set Can Be Edited to Yes. It starts at No.
- Click Add.
A field the program already asks
- In the program's Enrollment Fields section, click the Edit icon (pencil) on the field's row.
- On Edit Enrollment Field, set Can Be Edited to Yes.
- Click Save.
What you'll see: the Can Be Edited column in the Enrollment Fields table shows Yes for that row (separators show "-"). The setting belongs to this program's row, so the same field can be editable in one program and locked in another.
What families see
- On My Account > Enrollments, an Edit Enrollment icon (pencil) appears on a registration that is accepted (not waitlisted or canceled), isn't archived, and is in a program with at least one field set to Can Be Edited for that kind of registration. Programs that take an enrollment photo show the icon too.
- The Edit Enrollment page shows only the fields set to Can Be Edited that apply to that registration: its enrollment type, its offering (or All) and whether it was a new or returning registration. The family changes the answers and clicks Save, and sees "Enrollment updated."
- File fields work the same way: families can upload a new file or remove one.
The family's own steps are in How to update your Enrollment Information and Enrollment Photo.
Fill in answers missing from earlier registrations
When you add a field to a program, or widen it to more offerings, after families have registered, their registrations have no answer for it: nobody is asked again. To fill the gaps:
- Find who hasn't answered: the field is a column in the Enrollment Information report.
- If the field is set to Can Be Edited, ask those families to add their answer from Edit Enrollment, for example with Communications > Send Communication.
- Or add the answer yourself: open the customer's account, go to Enrollments, click Edit Enrollment on the registration, fill in the field on the Edit tab and save. Admins see every field there, editable or not.
A family can't see a field limited to another offering, or to new registrants when they were returning (or the other way around), so fill those in yourself.
Lock a field again
To stop changes, for example once registration closes, set Can Be Edited back to No on Edit Enrollment Field and click Save. Families can no longer change that answer, and the answers already given stay.
If it doesn't work
- There's no Can Be Edited setting or column. Your organization's plan doesn't include End User Enrollment Edit (it isn't in the Core plan), or your admin role doesn't include it. Contact TeamSideline Support if you're on the Enhanced plan or higher and still don't see it.
- A family doesn't see the Edit Enrollment icon. The registration is waitlisted, pending or canceled, the program or registration is archived, or no field in the program is set to Can Be Edited for that kind of registration.
- A family doesn't see a field on Edit Enrollment. The field isn't set to Can Be Edited, or its Offering or New vs Returning setting doesn't match their registration.
- The field is in a custom section that TeamSideline set up for you. Those fields have their own Can Be Edited setting, which TeamSideline manages. Contact TeamSideline Support to change it.
Good to know
- Families can't write in an enrollment's Internal Comments: only admins see that box. For parents' notes such as coach or carpool requests, add a field such as a Multi-line Text field, and set it to Can Be Edited so they can update it later.
- Copying a program keeps each field's Can Be Edited setting.
