How to run a roster report
- Go to Reports > Report Viewer.
- In Report, choose the report, for example Basic Roster Print Out, and click Go.
- Choose the League, Division and Team. You can choose several of each.
- Click Preview.
- Print with the printer icon in the viewer's toolbar, or choose a file type in the export list to download the report.
Only active leagues are listed; archived leagues aren't. Players are sorted by first or last name, as set in Sort Order under Rosters on Programs > Configurations > General.
What each report lists
- Basic Roster Print Out: Coaches (Name, Role, Email Address, Phone) and Players (#, Name, Jersey Size, Guardian, Email Address, Phone), with both parents or guardians and up to three phone numbers each, marked (C) cell, (H) home or (W) work. It lists youth and adult registrations. For where # and Jersey Size come from, see How to Create Rosters with Jersey Numbers and Jersey Sizes.
- Safe Roster Print Out: a Team Roster page for a coach to hand the referee before a game, with the team's details and Team ID; Coaches with Role, Name, Phone, Email, RMA, RMA Exp. and Status; Players from youth registrations with Jersey No., First, Last, Birth Date and Player State ID; and registrar signature lines.
- Detailed Roster Print Out: coaches with their title, address, email and phone numbers, and participants from youth registrations with their birth date and both parents or guardians (Parents 1 and Parents 2) with addresses, emails and phone numbers. It has no jersey column. Each person's CC (Concussion Compliance) line reads Yes when your organization fills in a custom field named Player CC or Coach CC.
- Emergency Medical Auth: one form per player from youth registrations, with the parent or guardian, phone numbers, emergency contact, physician, insurance company and policy number, allergies and medical conditions, and Parent/Guardian Signature and Date lines.
- Roster Waiver: for the rosters on each division's 2 Teams page, including rosters that team managers or admins enter for Team Registration teams. It shows the team contact and each member's Name, Role, Email, Address, Phone and a Signature line, under your organization's title and waiver text. Teams that registered but aren't in a division yet are listed as Unassigned. People assigned from individual registrations show with their name and role only.
RMA on the Safe Roster Print Out: RMA is the reference number of the coach's most recent approved background check, as the background check service returned it, and RMA Exp. is that check's expiration date. Status reads Cleared until the check expires. It's blank when the check has expired or the coach has no approved check.
Which rosters the reports read: Basic, Safe and Detailed Roster Print Out and Emergency Medical Auth list people placed on teams from their registrations: with Assign To Roster in individual registration programs, or by enrolling from a roster invitation in Team Registration plus Roster programs. Coaches appear when they're on the team through a volunteer registration. Rosters typed in for Team Registration teams aren't on these four reports; use Roster Waiver or the Rosters (non-individual registration) export for them.
Print from the team's roster page
Go to Programs > Manage Programs, click the program, click 4 Rosters and click the team's name. Depending on the program, the page has:
- Print View (individual registration programs): a printer-friendly page, in a new window, with the staff and players (with guardians, emails and phone numbers) and the team's practices and schedule. It has no photos.
- Picture Roster (Enhanced, Elite and Enterprise): a PDF with each player's registration photo, jersey number and date of birth, the staff, and a QR code that opens the roster online. See How to print a Picture Roster (admins and coaches).
- Print Roster (Team Registration programs): the team's roster as a PDF, or the Roster Waiver when the program's Roster Report Type is Waiver. In Team Registration plus Roster programs, Print Roster prints a photo roster when the program's Enable Member Pass is Yes.
- Print Member Passes: shown when the program's Enable Member Pass is Yes and a member pass is selected.
What coaches and team managers can print
- On your organization's website: a coach who signs in with the team's contact or alternate email sees the team under Team Information. Its Roster section downloads PDFs for that team: Detailed Roster Report, Safe Roster Report, Emergency Medical Auth Forms and, when your plan includes it, Picture Roster. It shows when Enable Coach Sign-In and Show Rosters are Yes on Schedules > Configurations > General and people are assigned to the team.
- Team managers in Team Registration programs: on their roster under Manage Rosters, Print Roster prints their roster, or the Roster Waiver when the program's Roster Report Type is Waiver. In Team Registration plus Roster programs, Player Cards prints the photo roster when Enable Member Pass is Yes.
- On a Team Site: team staff can click Print View on the Roster page for a PDF of the team site roster (names, roles, emails and phone numbers, no photos or jersey numbers), or Player Export for a spreadsheet file. See How to print or export a Team Site roster and calendar.
Spreadsheet exports
- Enrollment Information: build your own roster for individual registration programs from the columns you choose, such as Assignment - Team Name and an enrollment field like a shirt size.
- Rosters (non-individual registration): the rosters on each division's 2 Teams page, including Team Registration rosters. Teams must be in a division to be included.
- Roster Enrollment (Enhanced, Elite and Enterprise): registrations on Team Registration plus Roster teams. See How to run the Roster Enrollment Report.
If it doesn't work
- A roster report isn't in the Report list. The Report Viewer roster reports come with the Enhanced, Elite and Enterprise plans, and your admin role or report filters may leave a report out. Ask an admin who manages users.
- The report shows no players. No one is assigned to the team yet, or the roster was entered for a Team Registration team: use Roster Waiver or the Rosters (non-individual registration) export. Safe Roster Print Out, Detailed Roster Print Out and Emergency Medical Auth list youth registrations only.
- Status is blank for a coach on the Safe Roster Print Out. The coach's check has expired or the coach has no approved check. Open the coach's account and click Enrollments. If the check in the Background Checks section has a Refresh icon, click it and confirm "Are you sure you want to refresh this background check?" to ask the background check service for an update.
- The # or Jersey No. column is blank. Each report reads the number from its own field; see How to Create Rosters with Jersey Numbers and Jersey Sizes.
- There's no Picture Roster button. It comes with the Enhanced, Elite and Enterprise plans, and your admin role must include it. On other plans, contact TeamSideline Support.
- A coach doesn't see the Roster section. Check the Coach Sign-In settings and the email the coach signs in with (see What coaches and team managers can print).
Good to know
- To change the title and text on the Roster Waiver or Emergency Medical Auth, or hide street addresses on the Roster Waiver (Show Street Address), use Reports > Configurations > Customize: choose the Report, click a row's Edit icon, change it and click Save.
- The Report list also has scoresheets, game cards and member passes, which aren't covered here.
- Printed rosters hold families' phone numbers, email addresses and birth dates, so share them only with team staff. Anyone who scans a Picture Roster's QR code can open that roster without signing in until the program is archived.
