To take money off a registration fee, use a coupon: the family enters the code at checkout, or you apply it when you place the order for them. To give one family money they can spend on anything in an order, including add-ons, add a Misc - Credit to their account; they can use it at checkout once Apply Credit is set to Yes under Programs > Configurations > General.
Applies to: Admins · All plans (Multi-Program Coupons and assigned coupons: Enhanced plan and up) · Registration programs
Where: Programs > Manage Programs > (program) > 2 Configuration > Coupons; Customers > Account Management > Search > (customer) > Add Transaction
Coupon or Misc - Credit?
| Question | Coupon | Misc - Credit |
|---|---|---|
| What does it lower? | The registration fee of each eligible registration in the coupon's program and offerings. Never add-ons. | The family's account balance, so it can pay registration fees, add-ons and anything else in an order. |
| Who applies it? | The family enters the code at checkout, or you click Apply Coupon when you place the order. | The family checks the credit box at checkout. When you place the order, the credit already on the account covers what it can. |
| How much? | A percent or a fixed dollar amount per registration. The fee never goes below $0. | Any amount you enter. |
| Typical use | Promotions, early-bird or group codes. | One family: a goodwill credit, money kept on account, or waiving an add-on fee. |
Discount with a coupon
- Go to Programs > Manage Programs, open the program and click 2 Configuration.
- In the Coupons section, click Add Coupon.
- Enter a Description and choose one or more offerings in Offering.
- Enter the Discount as a percent or a dollar amount, not both.
- Optional: set Expires.
- Enter a number of Single Use Codes (up to 100), or a Multiple Use Code of at least 5 letters or numbers.
- Choose Usage (One Per Order or Each Line Item) and click Add.
What you'll see: the coupon and its codes in the Coupons list. At checkout the family types the code in Coupon Code, clicks Apply and sees "The coupon code "(code)" has been applied to your order." When you place an order for a family, click Apply Coupon on the Checkout page instead.
Give a credit with Misc - Credit
- Go to Programs > Configurations > General, set Apply Credit to Yes ("Enables Credit Balance usage on Checkout") and click Save. You only need to do this once.
- Go to Customers > Account Management > Search, find the family and click the name to open Account Overview. If the family has no account yet, click Add Account to create one.
- Click Add Transaction.
- In Transaction Type, choose Misc - Credit and enter the Amount.
- Optional: add Comments. The family can see them.
- Click Add.
What you'll see: the credit on the family's account. When the family checks out, the page says "Your account has a credit balance of (amount)." and they check Yes, apply my account credit to this order. The credit pays for up to the whole order; anything left stays on the account.
When you place the order for the family yourself, Checkout shows "Available account credit" next to Amount Paid but has no box to apply it. Enter only what the family pays now in Amount Paid (for example, choose Other and $0.00 if the credit covers everything). The credit already on the account offsets the new charges.
If it doesn't work
- A discount "didn't apply." Check the order first: on Account Overview, click the View Order icon. The item shows any "Coupon Discount" or "Sibling Discount". Another coupon or a sibling discount may already have brought the registration fee to $0. Discounts never take a fee below $0, and each registration takes one coupon.
- "The coupon code "(code)" is not valid for any of the items in your order." Nothing in the order is a registration in the coupon's program and offerings. Coupons don't discount add-ons or volunteer registrations.
- "The coupon code "(code)" has already been redeemed." That single-use code was used. Give the family another one.
- "The coupon code "(code)" has expired." Change Expires on the coupon, or create a new coupon.
- "The coupon code "(code)" is invalid." Check the spelling. Codes belong to your organization only.
- "The coupon code "(code)" is already applied to your order." A One Per Order coupon is used once per order. Choose Each Line Item to discount every registration.
- The family doesn't see the credit box at checkout. Apply Credit is set to No, or the account has no credit left (an amount the family owes uses it up). The box also doesn't appear when a family pays a balance.
- "You must select the number of single use codes or define a multiple use code for this coupon offer." Enter Single Use Codes or a Multiple Use Code before you click Add.
- There's no Coupons section on 2 Configuration. Programs with Tiered Pricing or Variable Pricing can't use coupons, or your admin role doesn't include coupons.
Good to know
- A percent coupon is a percent of the registration fee before other discounts. A coupon and a sibling discount can both apply to the same registration.
- Apply Credit is one setting for your whole site. The same switch is on Facility Reservation > Configurations > General.
- Multi-Program Coupons (Programs > Configurations > Multi-Program Coupons) and coupons assigned to one family are included in the Enhanced plan and up.
- To waive an add-on fee, use a Misc - Credit; see the companion article Why doesn't a coupon discount an add-on fee? (use a Misc - Credit).
