To bring ActiveNet registrations into TeamSideline, create a program with one offering for each ActiveNet activity, link each offering to its activity on the program's ActiveNetwork Configuration page, and click the green play icon to start syncing.
Applies to: Admins · Enterprise plan with the ActiveNetwork module · Youth Registration, Adult Registration, Team Registration and Team Registration plus Roster programs
Where: Programs > Manage Programs > (program) > 2 Configuration > ActiveNetwork Configuration
Before you start
- TeamSideline connects your ActiveNet account for you. If a program's 2 Configuration page has no ActiveNetwork Configuration button, contact TeamSideline Support.
- Only activities that are open in ActiveNet can be linked. TeamSideline refreshes your activity list once a day, so a new activity can take up to 24 hours to appear.
- Give each activity at least one custom question in ActiveNet. Registrations from an activity without one may not come across.
- Create enrollment fields for the custom questions you want to keep, as How to map ActiveNet, Amilia or Rec Tech custom questions to enrollment fields explains. For team registrations, also see How to set up a team registration program that syncs from ActiveNet, Amilia or Rec Tech.
Step 1: Create the program
- Go to Programs > Manage Programs and click Add Program.
- Choose the Registration Type: Youth Registration, Adult Registration, Team Registration, or Team Registration plus Youth or Adult Roster Registration. Choose the Sport and any other options shown, such as Pricing Type, and click Next.
- On 1 Setup, enter the Program Name (for example, Youth Soccer), Program Season and Program Description.
- In Program Duration, enter dates that end after the last day you expect registrations. Once the program's end date passes, TeamSideline pauses its ActiveNet links.
- Click Save. The 2 Configuration page opens.
New programs start hidden, so families can't register in TeamSideline. If you'll make the program visible, for example so coaches can register as volunteers, first set Max # of Enrollments on 1 Setup to 1 and leave Enable Waitlist at No. The sync ignores this limit, and once the first registration has synced, anyone who tries to register a participant directly sees "This program is full and not accepting additional enrollments at this time." Volunteer registrations aren't limited by it.
Step 2: Add an offering for each activity
- Under Offerings, click Add Offering.
- In Offering, type a short name for the activity, such as U6, Grades 7-8 or Minors.
- In Regular Reg. Fee, enter 0. Families pay in ActiveNet.
- In Reg. Duration, set Starts to today and Ends to the last day you want registrations to sync. Syncing stops when the Ends date is reached; the Late Reg. Duration dates aren't used.
- Click Add. Repeat for each activity.
Step 3: Add enrollment fields and the Coach volunteer type
- Under Enrollment Fields, click Add Enrollment Field.
- Choose the Enrollment Field. Set Enrollment Type to Player (General in Adult and Team Registration programs), Offering to All, New vs Returning to Both, Required to No and Use Previous to No. Click Add, and repeat for each field.
- If you'll sync coaches, click Add Volunteer under Volunteers, choose the Volunteer Type "Coach and" click Add.
Step 4: Link each offering to its activity
- Under Offerings, click ActiveNetwork Configuration.
- For each offering, click in Player Activity (Team Activity in team programs), type part of the activity's name or number, and choose it. Activities are listed as name - number.
- Optional: set a Volunteer Question or Volunteer Activity for coaches (see below). Set them now: once an offering has synced, its lists are locked.
- Click Save. You'll see "Results saved and Offering Activities updated successfully." Each linked row shows Paused under Last Sync.
- Click the green play icon (Start or Resume Sync) on each row. Last Sync shows Pending until the first sync runs, then its date and time.
What you'll see: Enrollments / Volunteers counts each offering's registrations and synced coaches, and the registrations appear on the program's 4 Rosters page. Each offering syncs again about every 24 hours; click Sync Next on a row, or Sync All, to queue a sync right away.
Bring in volunteer coaches
From a coach question (Youth Registration)
Map the ActiveNet question that asks whether a parent will coach to an enrollment field with the Enrollment Type Player, then choose that field in the offering's Volunteer Question list. When the answer is Yes, the family's parent is added to the offering as a Coach volunteer. The question must be a User Entry or Single Selection - Dropdown question in ActiveNet. TeamSideline recognizes it only when the field's Field Name or Side Description has no spaces, so word the question as one word, such as Coach, and give the field the same name.
The screenshot shows the ActiveNetwork Configuration page with a coach enrollment field chosen in an offering's Volunteer Question list.
From a separate coach activity (Youth and Adult Registration)
If coaches sign up in their own ActiveNet activity, choose that activity in the Volunteer Activity list of one offering only. Everyone registered in it is added to that offering as a Coach volunteer, and you can still assign them to any team with Assign To Roster. Answers to that activity's questions go to enrollment fields with the Enrollment Type Volunteer.
The screenshot shows a coach sign-up activity chosen in one offering's Volunteer Activity list.
Coaches can also register directly in TeamSideline, in the same program: make the program visible, keep Max # of Enrollments at 1 and set volunteer registration dates. Volunteers who register in a different program can't be assigned to this program's teams.
How TeamSideline matches families
- The parent on a youth registration is the family's Head of Household in ActiveNet, whoever paid. Without one, it's the payer if the payer is an adult in the family, and otherwise the first adult in the family. So a Yes to the coach question makes the Head of Household the Coach, even if someone else will coach; add the right person as a volunteer in TeamSideline instead.
- A parent's email comes from their ActiveNet record. If it's blank, TeamSideline uses another family member's (the Head of Household's, the payer's, then others'), so a child's or spouse's email can end up on the account. Correct it on the parent's record in TeamSideline.
- An existing TeamSideline account is used when the first and last name match and the email address or a phone number matches. Coaches from a coach activity are matched the same way, under their own name, so make sure each coach's ActiveNet record has their own email address.
Use a different email from an E-mail question (optional)
If families register in ActiveNet with an email address you don't want in TeamSideline, add a User Entry custom question whose text is exactly E-mail (capitalization and spaces don't matter), then turn on Override Email:
- On the ActiveNetwork Configuration page, click Enrollment Configurations.
- Set Override Email to Yes and click Save. You'll see "The Enrollment Configurations have been updated."
For each new registration (other than coach volunteers) with a valid answer, TeamSideline replaces the account's email address with the answer. The family still signs in with the email address from ActiveNet. To keep the answer as an enrollment field too, name the field E-mail. A question worded Email or Parent E-mail isn't used.
Good to know
- Only registrations that are Enrolled in ActiveNet are copied. Withdrawals and refunds in ActiveNet don't sync: cancel the enrollment in TeamSideline too.
- Each activity can be linked to only one offering in a program, as a Player or Volunteer Activity.
- To check or fix a sync, see ActiveNet sync troubleshooting: not syncing, activity missing, linkage grayed out.
- ActiveNet's own screens and settings aren't covered here. For help with ActiveNet itself, contact ActiveNet.
