If your organization takes registrations in ActiveNet, Amilia or Rec Tech, TeamSideline can copy them into a TeamSideline program about once a day, so you can build rosters, Team Sites and schedules from them. The sync is one-way: TeamSideline copies each registration once and never sends anything back.
Applies to: Admins · Enterprise plan with the ActiveNetwork, Amilia or Rec Tech module · Youth, Adult and Team Registration programs
Where: Programs > Manage Programs > (program) > 2 Configuration > ActiveNetwork Configuration, Amilia Configuration or Rec Tech Configuration
How the sync works
- You link each offering in a TeamSideline program to one activity in the other system, on the program's integration page: the ActiveNetwork Configuration, Amilia Configuration or Rec Tech Configuration button under Offerings on 2 Configuration. A new link starts paused and syncs only after you click its green play icon.
- The first sync copies every registration the activity already has, so you can link an activity at any time after its registration opens. For example, if registration opens on August 1 and you link the activity on September 1, the first sync brings in everyone who registered since August 1.
- The first sync isn't instant. It can take one to six hours, depending on how many activities your organization is syncing at once, so large organizations should start it at the end of the day and let it run overnight.
- After that, each linked offering syncs again about every 24 hours. Someone who registers today appears after the offering's next sync. To pull new registrations sooner, use Sync Next or Sync All.
- An offering stops syncing when its Reg. Duration Ends date is reached (the Late Reg. Duration dates aren't used), when the program's Program Duration has ended (TeamSideline then pauses the program's links overnight), when the program is archived, or when you pause it.
What a sync brings in
- A family account. TeamSideline uses an existing account when a parent's first and last name match and their email address or a phone number matches too. Otherwise it creates a new account.
- The participant and an enrollment in the linked offering, recorded as a $0 order with the payment note "Order processed in external system." The family pays in the other system.
- Answers to custom questions that match an enrollment field in the program. See How to map ActiveNet, Amilia or Rec Tech custom questions to enrollment fields.
- Coaches, in Youth Registration programs: a Yes answer to the question you choose as the offering's Volunteer Question adds the family's parent as a Coach volunteer.
- Teams, in Team Registration programs: each registration becomes a team, with the person who registered as its manager. See How to set up a team registration program that syncs from ActiveNet, Amilia or Rec Tech.
What a sync doesn't do
- It doesn't update or remove a registration it has already copied. A new email address, a corrected answer, a withdrawal or a refund in the other system doesn't reach TeamSideline, so make the same change in TeamSideline. If a participant moves to another activity that's linked to an offering, they're added to that offering as well, and their first enrollment stays.
- It can bring a change in as a new registration. When a change in the other system creates a new registration record (in ActiveNet, a changed order gets a new receipt), TeamSideline treats it as new. It skips it when the same participant is already enrolled in that offering on the same family account; otherwise, and always for teams, you'll see a duplicate to clean up in TeamSideline.
- It doesn't send changes back. What you change in TeamSideline stays in TeamSideline.
- It doesn't email families. Each new parent gets a TeamSideline sign-in under the email address from the other system and sets a password with Forgot your password? on your website's Sign In page. The only email a sync can send is the optional welcome email to team managers.
- It doesn't take payments, and synced enrollments don't start TeamSideline Workflows.
The integration page
| Column or icon | What it means |
|---|---|
| Player Activity (Team Activity on ActiveNet team programs) | The activity linked to the offering. No Linkage means none is linked. |
| Enrollments / Volunteers | The offering's accepted player or adult enrollments, including ones you add in TeamSideline, and its synced coaches. Team programs show Enrollments only. |
| Last Sync | The date and time of the offering's last sync, in your organization's time zone. Pending means a sync is queued, Paused means the offering won't sync until you resume it, and No Linkage means no activity is linked. |
| Sync All (button) | Queues every linked offering that isn't paused to sync right away. |
| Sync Next (green arrows) | Queues one offering to sync right away. It's grayed out while the offering is paused. |
| Pause Sync (blue pause) and Start or Resume Sync (green play) | Pauses or resumes one offering. |
Once an offering has synced a registration, its activity can't be changed: the lists on its row are grayed out. Each activity can be linked to only one offering in a program.
Good to know
- TeamSideline sets up the connection: staff enter your ActiveNet, Amilia or Rec Tech account details, and your programs' 2 Configuration page then shows your integration's button. If it's missing, contact TeamSideline Support.
- Program types: ActiveNet links Youth Registration, Adult Registration, Team Registration and Team Registration plus Youth or Adult Roster Registration programs. Amilia and Rec Tech also link Youth & Adult Registration programs, where participants under 18 come in as youth and everyone else as adults. Youth Camp Registration programs can't be linked.
- TeamSideline refreshes its list of your activities (and, for Amilia and Rec Tech, your programs) once a day, so a new one can take up to 24 hours to appear.
- If an offering's activity must change after it has synced, TeamSideline Support can reset the offering. A reset voids every enrollment in the offering, including ones added in TeamSideline, and takes those people off rosters and Team Sites. The next sync copies the activity's registrations again, and you assign rosters again.
- Support can't change anything in ActiveNet, Amilia or Rec Tech. Registrations, refunds and family details there are managed in that system.
