To bring answers to your ActiveNet, Amilia or Rec Tech registration questions into TeamSideline, create an enrollment field whose Side Description (or Field Name) is the question's exact text, and add the field to the synced program. Each sync copies the answer into the matching field. Questions without a matching field are skipped.
Applies to: Admins · Enterprise plan with the ActiveNetwork, Amilia or Rec Tech module · Programs linked to ActiveNet, Amilia or Rec Tech
Where: Programs > Configurations > Enrollment Fields, then Programs > Manage Programs > (program) > 2 Configuration > Enrollment Fields
How a question finds its field
- TeamSideline compares the question's text with the Field Name and the Side Description of each enrollment field in the program.
- Capitalization, spaces, tabs and line breaks are ignored. Everything else must match exactly, including punctuation. For example, the question What is your child's shirt size? matches a Side Description of What is your child's shirt size?, but not What is your child's shirt size (without the question mark).
- Rec Tech also treats curly and straight apostrophes in question text as the same.
- The field must be in the program's Enrollment Fields section, for the enrollment type being synced and for All offerings or the linked offering.
- Only Text and Drop Down List fields receive answers. Multi-line Text, Check Box, Date, Time, Email, Phone and File fields are skipped.
- Answers longer than 200 characters are cut to 200.
Choose the field type
| Question in the other system | TeamSideline field |
|---|---|
| Free text (ActiveNet User Entry) | Text |
| Single-choice drop-down | ActiveNet: Drop Down List or Text. The answer is copied as is, even if it isn't one of your choices. Amilia and Rec Tech: Drop Down List. The answer is saved only when it matches one of the field's Drop Down List Values; capitalization and spaces at either end don't matter. |
| Radio buttons | Text |
| Multiple choice (ActiveNet check boxes or list box) | Text. The choices are separated by commas. |
| Yes/No (Rec Tech) | Text, saved as Yes or No. |
| Other question types (Amilia, Rec Tech) | Text. File uploads aren't copied. |
Step 1: Create the enrollment field
- Go to Programs > Configurations > Enrollment Fields and click Add Enrollment Field.
- In Field Name, enter the name families and reports will see, up to 50 characters. Adding the system's name, as in Shirt Size - Active, makes mapped fields easy to spot.
- Choose the Field Type: Text or Drop Down List (see the table).
- In Side Description, paste the question exactly as it appears in the other system, up to 250 characters. In ActiveNet, use the Custom Question's own text, not its title.
- For Text, enter a Max Length from 1 to 200. For Drop Down List, type each choice in Item under Drop Down List Values, spelled exactly as in the other system, and click Add after each one.
- Click Add (Save if you added drop-down choices). You'll see "The Enrollment Field has been added."
The screenshot shows a new Text enrollment field: its Field Name, the Field Type Text, the custom question pasted into Side Description, and a Max Length.
Step 2: Add the field to the synced program
- Go to Programs > Manage Programs, click the program and open 2 Configuration (2a Team Configuration in Team Registration plus Roster programs).
- Under Enrollment Fields, click Add Enrollment Field.
- Choose the Enrollment Field, and the Enrollment Type being synced: Player in Youth Registration programs, General in Adult and Team Registration programs, or Volunteer for an ActiveNet coach activity.
- Set Offering to All, New vs Returning to Both, Required to No and Use Previous to No, and click Add.
- Repeat for each question.
What you'll see: after the next sync, new registrations show the answers on the enrollment's Edit tab and in the Enrollment Information report.
Questions with a special job
- Coach question (Youth Registration): map it like any other, then choose its field as the offering's Volunteer Question on the integration page. A Yes answer (Yes or True in Amilia and Rec Tech) adds the family's parent as a Coach volunteer. In Rec Tech, a Volunteer Question stops the registrations answered No from syncing at all, so don't set one on an offering players register for. ActiveNet has an extra wording rule, explained in ActiveNet: How to set up a program that syncs registrations.
- Team name (Team Registration, ActiveNet and Amilia): a question that contains the words team name names the team and needs no enrollment field. Rec Tech sends its own team name instead. See How to set up a team registration program that syncs from ActiveNet, Amilia or Rec Tech.
- E-mail (ActiveNet only): with Override Email turned on, an E-mail question can replace the family's email address. See ActiveNet: How to set up a program that syncs registrations.
If it doesn't work
- Answers are blank. Compare the field's Side Description with the question character by character (a missing question mark or a different apostrophe is enough), check that the field is in the program for the right Enrollment Type and offering, and check the field type. For Amilia and Rec Tech drop-downs, check that every choice is in the field's Drop Down List Values.
- Older registrations have no answers. A sync never updates a registration it has already copied, so registrations that synced before you fixed the field stay blank. Enter their answers on the enrollment's Edit tab.
- "Duplicate Field Names are not allowed." Another active field has that Field Name. Use a different one.
- "Duplicate 'Item Name' or 'Item Value' values are not allowed." That drop-down choice is already in the list.
Good to know
- Follow-up questions that appear only after a particular answer (sub-questions) aren't supported. Ask each question you need as its own question.
- In ActiveNet, give each activity at least one custom question, or its registrations may not come across.
- The Field Type can't be changed after a field is created; create a new field instead.
- One enrollment field can be added to many programs, so the same field works every season.
