Four volunteer types can be placed on a team with Assign To Roster: Coach, Assistant Coach, Team Parent and Manager. A volunteer registered with any other type, such as Board Member or Scorekeeper, stays on the registration only, with no team, no team site and no team in the TeamSideline app.
Applies to: Admins · All plans (Team Registration plus Roster: Enhanced plan and higher) · Youth Registration, Youth & Adult Registration and Team Registration plus Roster programs
Where: Programs > Manage Programs > (program) > 2 Configuration > Volunteers (2b Roster Configuration in Team Registration plus Roster programs), then 4 Rosters > Assign To Roster
Which types go on a team
| Program | Volunteer types you can put on a team | How they get on the team |
|---|---|---|
| Youth Registration, Youth & Adult Registration | Coach, Assistant Coach, Team Parent and Manager, once you add them under 2 Configuration > Volunteers | You drag them onto a team on Assign To Roster. Each type becomes the same role on the team. |
| Team Registration plus Youth Roster or Adult Roster | Coach, Assistant Coach, Team Parent and Web Site Coordinator (Site Coordinator on the roster), once you add them under 2b Roster Configuration > Volunteers. Each team's Manager is the person who registered it. | They're added to the team's roster and accept the roster invitation. Admins can add all four roles; team managers can add Players and Coaches only. |
| Adult Registration, Team Registration and camps | None. These programs have no Volunteers section. | In Adult Registration programs, adults register as players and are placed on teams as players. |
Why other types can't go on a team
The Volunteer Type list is one list that TeamSideline keeps for all organizations. You choose types from it for each program, but you can't add, rename or remove types in the list. On Assign To Roster, a team role comes only from Coach, Assistant Coach, Team Parent or Manager, so any other type, whatever its name, has no role on a team. Use these for team staff:
- Head coach: Coach. There's no separate head coach type. The first Coach you assign to a team that has no contact becomes the team's contact on the division's 2 Teams page.
- Team mom and other parent helpers
- Junior or student coaches: Assistant Coach or Coach. See the related article on registering a player as a junior coach.
- Board members, scorekeepers and other helpers who aren't on a team: their own type. Their registrations still show the type on your registration reports and dashboards.
How to change a volunteer's type
First make sure the program has the type you want. On the program's 2 Configuration page, under Volunteers, click Add Volunteer, choose the Volunteer Type (and a Background Check if you use one) and click Add. Both ways below offer only the program's types.
A volunteer who isn't on Assign To Roster
- Go to Customers > Account Management, find the volunteer's account and open Enrollments.
- Click the Edit Enrollment icon on the volunteer registration.
- In Volunteer Type, choose Coach, Assistant Coach, Team Parent or Manager.
- Click Save.
What you'll see: "Enrollment updated." The volunteer now appears in the unassigned list on Assign To Roster, ready to place on a team.
Changing a team member's type on Edit Enrollment: a volunteer who is on a team whose team site is published can be changed only to one of the four team types, and their role on the team changes with it. Otherwise the note beside Volunteer Type reads "Will not change existing roster or team site assignments.": the registration changes, but a role they already have on a team doesn't, so change their type on Assign To Roster instead.
If it doesn't work
- A volunteer isn't listed on Assign To Roster. Their type isn't one of the four (change it as above), they're already on a team, their registration is waitlisted or canceled, or a filter hides them.
- The type you want isn't in the Volunteer Type list. Add it to the program under 2 Configuration > Volunteers first.
- Some types are grayed out in Volunteer Type on Edit Enrollment. The volunteer is on a team whose team site is published, so only the four team types can be chosen.
- There's no Volunteers section on 2 Configuration. Adult Registration, Team Registration and camp programs don't have one.
- Someone added with Volunteer Quick Add isn't in the unassigned list. Quick Add's Role list has all of the program's types. Change their type to one of the four.
- "To add a Volunteer, you need to make a 'Volunteer Type' selection." Choose a Volunteer Type before you click Add.
Good to know
- Each volunteer registration goes on one team. To put a coach on a second team, give them a second volunteer registration.
- Volunteer Quick Add on Assign To Roster (Enhanced plan and higher) registers a volunteer without checkout.
- A volunteer placed on a team gets that role on the team's site: right away if the site is already published, or when you publish it on 5 Team Sites.
- The red X next to a type in the program's Volunteers list removes that type from the program.
- In Team Registration plus Roster programs, Manager isn't offered on 2b Roster Configuration, because each team's manager is the person who registered it.
