A Team Site roster holds only the details entered on the Team Site itself: names, roles, email addresses, phone numbers, jersey numbers, positions, photos and backgrounds. Registration details, such as addresses, birth dates, grades, schools and the answers to your enrollment questions, aren't roster fields, whatever your Roster Edit setting allows. Your organization can share them with a team's coach or manager as a printable form on the Team Site, or as a roster report.
Applies to: Coaches and other team staff, and the admins they ask · All plans · Team Sites your organization publishes
Where: Team Site > (your team) > Roster (admins: Programs > Configurations > Team Sites for Roster Edit)
What a Team Site roster holds
| Field | Notes |
|---|---|
| First Name, Last Name | Up to 25 characters each |
| Role(s) | Player, Manager, Coach, Assistant Coach, Team Parent, Site Coordinator, and Parent on youth teams |
| Email Address | Optional on the Team Site. Whoever signs in with it sees the team. |
| Phone 1 to Phone 3 | Optional; all 10 digits |
| Privacy Required | Hides that person's phone numbers and email address from players and parents who aren't staff |
| Jersey # | Up to 3 characters |
| Position | Up to 50 characters |
| Parent of | Links a parent to their player |
| Photo, Background | A picture, and up to 2,500 characters about the person |
Who can change each of these depends on your organization's Roster Edit setting (Everything, Limited or None), which is explained in Who can edit a Team Site roster? (Roster Edit settings). No Roster Edit setting adds fields to this list.
What isn't on the roster
- Addresses, birth dates, grades and schools from registration.
- Answers to your enrollment fields and custom fields, such as emergency contacts or medical notes, and any documents families uploaded.
- Jersey numbers and sizes collected at registration. The Team Site's Jersey # is a separate field: a number typed there isn't copied from registration and doesn't reach your organization's reports. See How to Create Rosters with Jersey Numbers and Jersey Sizes.
The coach's Print View and Player Export on the Team Site use the Team Site's own fields too. Player Export lists each player's First Name, Last Name, Player Number (the Jersey #), Player Email and Family Email.
How a coach can get registration details
- A form on the Team Site. Your organization can deploy a Mail Merge form, such as an emergency contact form, to its Team Sites. Each team's copy covers the players on its roster, and it's listed under Forms on the Team Site's Roster page ("This table lists roster forms available to print."), for the team's Coach and Manager. See How to deploy Mail Merge forms to Team Sites (such as emergency contact forms).
- A roster report. An admin runs a report for the team, such as the Detailed Roster Print Out (both parents' addresses, emails and phone numbers) or the Safe Roster Print Out (birth dates and coaches' background check status), and shares it. See Which roster report should I use? (Basic, Safe or Detailed Roster Print Out, Roster Waiver, Picture Roster).
Rosters team managers enter on your organization's website
For a team whose roster the team manager enters under Manage Rosters on your organization's website, the Edit Roster page asks for each person's address and phone numbers as well as their name, role and email address. It also shows any Roster custom field whose Public Access is Editable, so team managers, and coaches who can edit the roster, fill those in for each person.
TeamSideline Support can make Role, Email, Address or Phone # required on that page, and on your admin roster pages, for your whole organization (the Role Required, Email Required, Address Required and Phone # Required settings). These settings don't change the Team Site roster, where Email Address stays optional.
If it doesn't work
- A coach set to Everything still can't see addresses or grades. That's expected: Roster Edit decides what team staff can change on the Team Site, not which fields exist. Ask your organization to deploy a form to the Team Site, or for a roster report.
- An Assistant Coach, Team Parent or Site Coordinator doesn't see the Forms section. Only the team's Coach and Manager see deployed forms, and only when your organization has deployed one to that team's published Team Site.
- The jersey numbers on the Team Site don't match your reports. They're separate fields. Enter the numbers in your registration field to print them on reports, as the jersey number article explains.
- A team manager can save a roster member with no email address. Email Required is off for your organization. Ask TeamSideline Support to turn it on.
- A Roster custom field isn't on the Edit Roster page. Its Public Access is Hidden. Set it to Read Only or Editable under Administration > Configurations > Custom Fields; see Custom Fields settings reference (Administration > Configurations > Custom Fields).
Good to know
- Team staff see everyone's phone numbers and email addresses on the Team Site roster; other members don't see those of people marked Privacy Required. See Who can see my team's roster and contact information?.
