To move a registration to a different program, open the enrollment, click the Transfer tab, choose the new Program and Offering, and click Transfer. The old enrollment is canceled and the same person is enrolled in the new program at no charge, so add a Misc - Debit or Misc - Credit if the two programs cost different amounts.
Applies to: Org admins with the Transfer Enrollment permission · All plans · Accepted player, adult and volunteer enrollments (not team registrations or Youth Camp programs)
Where: Customers > Account Management > Search > (customer) > Enrollments > Edit Enrollment > Transfer
Before you start
- Same program, different offering: don't transfer. Change the Offering on the enrollment's Edit tab instead. That doesn't change the price or the payment plan, so add a Misc - Debit or Misc - Credit for any difference; a payment plan never charges more than the balance left. A volunteer's Volunteer Type is changed on the Edit tab too.
- Accepted enrollments only. Accept or cancel a waitlisted enrollment first.
- Same person, same kind of registration. A player stays a player and a volunteer stays a volunteer. An adult registration can't be turned into a volunteer enrollment; cancel it and register the person again.
- Same account. You can't transfer a registration to another person or another family's account. Cancel it and register the right person with Place Order. If a player is in the wrong family account, contact TeamSideline Support.
- No teams or camps. Team registrations and Youth Camp programs can't be transferred. To move a player to another team in a Team Registration plus Roster program, see the related article below.
Transfer an enrollment
- Go to Customers > Account Management > Search, find the customer and click their name.
- Click Enrollments, then the Edit Enrollment icon (pencil) on the enrollment.
- Click the Transfer tab. If the person is on a team, you'll see "This enrollment is assigned to a roster and will be removed if you transfer this enrollment."
- In Program, choose the new program.
- In Offering, choose the offering. [Full] after a name means it has reached its Max # of Enrollments. If the program's waitlist is turned on, a Waitlist box ("Add enrollment to the waitlist.") appears so you can waitlist the person instead.
- For a volunteer, choose the volunteer type in Enrollment Selection. Players and adults don't need one.
- Click Transfer, then OK on "Are you sure you want to transfer this enrollment?".
- If the new offering has add-ons, a page lists them under Add-On To This Enrollment. Check Add, or enter a Qty or Amount, for each add-on the person should have, choose any options, and click Save. Required add-ons are already checked.
What you'll see: "Enrollment transferred." and the customer's Enrollments page, where the old enrollment shows as canceled and the new one is in the new program. TeamSideline may also warn you, for example "This program is full." or that the person's age, gender or address doesn't match the new offering. Warnings don't stop the transfer.
What moves and what doesn't
| Item | After the transfer |
|---|---|
| Enrollment answers, accepted terms, photo | Copied to the new enrollment (the photo only when both programs collect one). Check the Edit tab for any questions the new program asks that the old one didn't. |
| Team or roster spot | Removed. Assign the person to a team in the new program. |
| Add-ons on the old enrollment | Canceled, with no credit. Add them again on the Add-On To This Enrollment page. |
| Money | Nothing is charged or refunded. The old enrollment is canceled without a credit, and the new enrollment, with any add-ons you add during the transfer, costs $0 on the account. What the family paid stays on the account. The card payment stays with the original order, so the new enrollment shows $0.00 paid; to refund that payment later, use Add Transaction > Refund/Void - Credit Card and choose the original order. |
| Payment plan | Canceled automatically before its next payment, because the old enrollment is canceled. Anything still owed stays on the account. |
Balance the account
- The new program costs more, or you added an add-on the family didn't have before: add a Misc - Debit for the difference with Add Transaction on Account Overview.
- The new program costs less: add a Misc - Credit for the difference. To give the money back, refund it (see the partial refund article), or leave it as a credit for a future registration.
- The family was on a payment plan: set up a new plan with Add Payment Plan on Account Overview (Enhanced, Elite and Enterprise plans), or have the family pay the balance.
If it doesn't work
- There's no Transfer tab. Your admin role needs the Transfer Enrollment permission, the enrollment isn't Accepted (it's waitlisted or canceled), or it's a team registration or a Youth Camp program.
- The program you want isn't in the Program list. The list leaves out the enrollment's current program, archived programs, Youth Camp programs, and programs that don't take this kind of registration, such as an adult program for a youth player.
- The offering you want isn't listed. It's for a different kind of registration, such as an adult offering for a youth player, or, if your organization has associated organizations, it isn't offered to this customer's organization.
- "Please select a Program.", "Please select an Offering." or "Please select an Enrollment Selection." Fill in the field named.
- "This enrollment has been cancelled." It was already canceled or transferred. Go back to the Enrollments page.
- An error on the Add-On To This Enrollment page, such as "Please select a Size." (the message names the add-on's option). An add-on you checked needs an option or text. Fill it in, or uncheck the add-on.
Good to know
- TeamSideline doesn't email the family about a transfer. Let them know yourself.
- For an adult registration, the Program list also offers Team Registration programs, but a transfer there keeps it an adult registration with no team. To enter a team in another program, register the team with Place Order instead.
- Offerings are listed whether or not registration is open, so you can transfer someone into a closed offering.
- If you transfer someone onto a waitlist in a program that defers waitlist fees, accepting them later adds the program's fee to the account. Lower the Fee Amount on the Accept tab if the family already paid.
- To charge one group a different price after registration opens, you can register them in a separate private program at that price and then transfer each registration into the main program, so everyone ends up on the same rosters. What the family paid stays paid, because the transfer itself costs nothing.
- Sponsorships can be transferred too (choose the sponsorship in Enrollment Selection), but only into Youth Registration and Youth & Adult Registration programs, the program types with a Sponsorships section on 2 Configuration. To move one into an Adult Registration program, cancel it and have the sponsor register in the new program.
