When using the Officials Module it is important for this process to be followed:
- The Scheduler should create a schedule.
- The Scheduler should finalize the schedule.
- Once the schedule is final, the Scheduler can tell the Assigner to use the Officials Module to assign games.
When using the Officials Module it is important how the Scheduler edits games.
How to edit/reschedule game so Official moves with the rescheduled game:
If you are rescheduling the game immediately (same time as cancelling it):
- On the 4 Create Schedule page, use the page inline edit options (Date/Time/Location). Use the toggle view button to see date/time/location separately.
- Making the change using the inline edit options will not generate a new Game Number so the Official will stay attached to the Game.
If you are wanting to cancel games first, then reschedule the game:
- Go to Schedules > Multi-Game Cancel
- Select games you want to cancel and then click Update
- When you are ready to reschedule the games -- go to Schedules > Leagues & Divisions > (Click the Division) > Edit Scores
- Change the Disposition from "Canceled" to "Not Played"
- Hit Save
- On the Leagues & Divisions - 4 Create Schedule page, use the page inline edit options (Date/Time/Location). Use the toggle view button to see date/time/location separately.
- Making the change using the inline edit options will not generate a new Game Number so the Official will stay attached to the Game.
How to edit/reschedule game so Official is removed from the rescheduled game:
- On the Create Schedule page use the chevron icon
on the right side of each game row to reschedule games.
- This method created a new Game Number and the Official is removed from the rescheduled game.
Note: Do not use the Create Schedule page inline edit options.
Following is a list of what occurs when using different game change methods when the Officials Module is in use.
Scheduler uses Block a Week:
- When the Block a Week function is used the assignment updates to the new date and the assignment is shown as Pending to the Assignee.
Scheduler Cancels game:
- If a Scheduler cancels a game and reschedules it the system sends the Official an email letting the Official know the game was cancelled.
- The email does not let him know the game was rescheduled.
- When a game is cancelled and rescheduled, the Officials assignment shows the new date as pending.
Scheduler runs Auto Resolve: Auto Resolve keeps each game's Game Number, so officials stay attached to the games it moves. When the scheduler approves the proposed schedule, assignments on moved games get the new date, time, and location. Confirmed assignments go back to Pending. Requested and Pending assignments keep their status. Officials see the change in their next daily assignment update email, if those emails are on.
If a game in the schedule already has a result, Auto Resolve saves its changes without a proposal. Assignments update the same way as after a Calc & Save.
Tip: Run Auto Resolve before officials are assigned, so fewer assignments change.
