Only people on your team's roster, and your organization's admins, can see your Team Site's roster with phone numbers and email addresses. Family & Friends see names but never contact details, and the public can't open a Team Site at all. Your organization can also limit contact details to team staff, and team staff can hide one person's details with Privacy Required.
Applies to: Parents, players, coaches and team staff; org admins for the Privacy setting · All plans · Team Sites, on the web and in the TeamSideline app
Where: Team Site > (your team) > Roster; admins: Programs > Configurations > Team Sites > Privacy
Who sees what on the roster
| Who | Names | Phone numbers and email addresses |
|---|---|---|
| Team staff (Coach, Assistant Coach, Manager, Team Parent, Site Coordinator) | Yes | Yes, everyone's |
| Players and parents on the roster | Yes | Yes, except for people marked Privacy Required. With your organization's Staff Only setting, everyone added from registration is marked. |
| Family & Friends who follow the team | Yes | No |
| Your organization's admins | Yes | Yes |
| Anyone else | No: a Team Site needs a TeamSideline sign-in | No |
The same rules apply on the Roster page, on each person's details page and when someone opens a member's details in the TeamSideline app. Team Sites, sign-in included, use a secure (HTTPS) connection.
Your organization's Privacy setting (admins)
One setting decides whether roster members see each other's contact details on the Team Sites your organization publishes.
- Go to Programs > Configurations > Team Sites.
- In Privacy, choose Staff Only (phone numbers and email addresses are hidden from everyone except team staff) or Staff and Roster Only (everyone on the roster can see them).
- Click Save. You'll see "Configurations have been saved."
The setting is applied to each person when they're added to a Team Site: when you publish the site, and when people you assign later are added to it. Changing it doesn't change people already on Team Sites; team staff can still tick or untick each person's box afterward. Staff and Roster Only is the starting choice.
Hide one person's contact details (team staff)
- Open your team's Team Site and click Roster.
- Click the Edit icon (pencil) on the person's row.
- Tick Privacy Required.
- Click Save.
What you'll see: "Member updated." Players and parents who aren't staff no longer see that person's phone numbers or email address; staff still do. If your organization lets members edit their own details, players and parents can tick Privacy Required on their own entry, or their child's, from the person's details page. Otherwise, ask your team staff to do it.
Reach other families without sharing numbers
In the TeamSideline app, team members can send each other direct messages and start group chats, so families can reach one another without exchanging phone numbers or email addresses. Your organization's admins can read team chats, direct messages included.
Public information about your team
A Team Site's roster is never public. Separately, your organization decides for each division whether the team names in its public standings link to a team page that lists the team's staff and players by name. That's Show Public Team Info under Schedules > Leagues & Divisions > (division) > 1 Configuration > Display. New divisions start with No, and anyone can open that page when it's Yes.
If it doesn't work
- You changed Privacy, but members still see each other's details. The setting reaches only people added after the change. Ask team staff to tick Privacy Required for each person, or edit the members yourself from the team's site.
- Your organization uses Staff Only, but someone a coach added on the Team Site shows their details. People added with Add To Roster on the Team Site start with Privacy Required unticked. Edit the person and tick it.
- A coach can't change the Privacy Required box. Your organization's Roster Edit setting is None, so team staff can't edit members. An admin can make the change, or change Roster Edit to Limited or Everything.
- Family & Friends ask why they can't see phone numbers. Family & Friends never see contact details, whatever the Privacy setting. Someone who needs them should be on the roster, for example as a parent.
Good to know
- On teams a coach creates on TeamSideline, there's no organization Privacy setting: team staff set Privacy Required for each person.
- Privacy Required hides phone numbers and email addresses only. Names, roles, jersey numbers, positions, photos and backgrounds stay visible to everyone who can open the roster.
- A coach's Print View and Player Export include contact details, since team staff can see everyone's.
