Adding people to your team's roster doesn't email them. To invite parents and players, add each person to the Roster with their email address, then send the team a Communication from Communications > Send Communications. Anyone who isn't registered with TeamSideline gets a note in that email asking them to register, so they can see the team's calendar, announcements and roster.
Applies to: Coaches, managers and other team staff · Standalone team sites (teams created with Create Team on TeamSideline.com) · Web
Where: TeamSideline.com > Teams > (your team) > Roster > Add To Roster, then Communications > Send Communications
Step 1: Add your team to the roster
- Sign in at TeamSideline.com, click Teams and open your team.
- Click Roster, then Add To Roster.
- Enter the person's First Name and Last Name, and check their Role(s), such as Player, Parent or Coach.
- Enter their Email Address. They'll register and sign in with this address, so check it carefully.
- For a parent on a youth team, choose their child in the Parent of list. Add the players first so they appear in that list.
- Click Save. Repeat for everyone on the team.
What you'll see: "This member has been added. When you are done adding members, click the Communication Tab to communicate the Team is using TeamSideline. When the Communication is sent, if they are not already registered, we will include a note asking them to register with TeamSideline. When they register they can see the Team Home Page Calendar, Team Announcements, Roster, and Contact information." No email has been sent yet.
Step 2: Send the team a Communication
- Click Communications > Send Communications.
- In Team, choose your team. If you're on only one active team, it's already chosen.
- In To, choose Entire Team. You can instead choose Staff, or Specific Individual(s) and check names in the list.
- Enter a Subject and a Message. Tell your team you're using TeamSideline, and ask them to register with the email address this message was sent to.
- Optional: use Attach File to add one file of up to about 10 MB.
- Click Send.
What you'll see: "Your message has been queued for processing and will be sent out shortly."
What your team receives
- An email with the subject "(your subject) | (team name) Communication | TeamSideline.com". It comes from TeamSideline under your name, and replies go to your email address.
- Anyone whose address doesn't belong to an active TeamSideline account also gets an "Important Note!" with a link to register. It's added to every Communication until they've registered and activated their account.
- An attached file arrives as a link to the file, not as an email attachment.
- If you track team payments on your team site, each person's email also lists their outstanding payments.
What your team members do next
- Click the register link in the email, or go to TeamSideline.com, click Sign In and then Create a new account.
- Register with the same email address entered on the roster, and accept the terms shown.
- Open the "Activate Your Account" email and click Activate Your Account.
- Sign in. Your team appears under Teams.
Registering is optional. Members who don't register still get your Communications and any event reminder emails, and can answer attendance polls from those emails. Only registered members can see the team's calendar, announcements and roster.
See who has registered
On the Roster, a gold lock icon next to an email address marks a registered member ("This icon indicates a registered member of this Roster. Members who have not registered can not see the Team Calendar or any Event related information."). To remind the others, send another Communication. The note asking them to register is included each time.
If it doesn't work
- "You have selected Staff although there are no team staff members with email addresses to send to." No staff entry on the roster has an email address. Add one, or choose Entire Team.
- "If you are sending to a specific individual, please select the individual from the list." Check at least one name under Specific Individual(s).
- "You have selected recipients without selecting the Specific Individual(s) To type." Choose Specific Individual(s) in To, or uncheck the names.
- "Please enter a subject for your message." or "Please enter the message you want to send in the Message field." Fill in both fields.
- Someone isn't in the Specific Individual(s) list. Their roster entry has no email address. Edit the entry and add it.
- "You have attempted to add a duplicate email to this roster." That address is already on another roster entry, for example the player's. Each address can be on only one entry, so edit the existing entry instead.
- A red flag next to an email address. "This email address is either invalid (entered wrong), or, is not accepting TeamSideline emails." Check the address with the member and correct it.
- A member registered but doesn't see the team. They used a different email address from the one on the roster. Edit their roster entry to the address they registered with, or ask them to sign in with the address on the roster.
- A member sees "The email address you have entered is being used. If this is your correct email address, click the Sign In link. If you do not remember your password then use the Forgot Password link on the Sign In page." They already have a TeamSideline account, for example from a league. They should sign in with it instead of registering again.
Good to know
- Adding or editing someone on the roster never emails them. Your Communications do.
- Pictures pasted into the Message are removed. To share a picture or document, use Attach File.
- There's no text message option on team sites. Team-site texting was replaced by chat in the TeamSideline app.
- Communications > Sent lists the Communications you sent in the last three months. Click a subject to see the Date/Time, Status, who it went to (Distribution To) and the Text.
- Any registered member of the team can send a Communication to it, not only staff.
- Use Family & Friends for people who aren't on the roster, such as grandparents. Players, parents and staff should register instead, so they get full access to the team.
- If a league or organization published your team site, the organization manages the roster and can email the team when it publishes the site. You can still send Communications.
