Team sites are created from a registration program: add divisions and teams, assign players and staff to the teams, then publish each team's site on the program's 5 Team Sites page with the green Publish Team Site icon. Once a site is published, the orange house icon (Open Team Site) next to the team opens it.
Applies to: Org admins with the Team Sites permission · All plans (publishing Youth Registration teams without staff: Enhanced, Elite and Enterprise) · Youth, Adult, Youth & Adult, Team Registration and Team Registration plus Roster programs
Where: Programs > Manage Programs > (program) > 5 Team Sites
Before you start
- Review Programs > Configurations > Team Sites (or the Team Sites Configuration button on 5 Team Sites). It sets the Announcement Email, game and practice reminders and polls, Roster Edit (what coaches can change on the roster) and Privacy (who sees roster contact details), which is applied when a site is published.
- Publishing a team site can only be undone by archiving the Team Site. Archiving a Team Site resets it, so any changes made directly on the Team Site will be reverted.
Create team sites, start to finish
- Create the registration program in Programs > Manage Programs. TeamSideline creates a league with the program's name in Schedules > Leagues & Divisions.
- Add at least one division and one team to that league, in Leagues & Divisions or with + Add Division and + Add Team on the program's Assign To Roster page.
- In the program, open 4 Rosters and click Assign To Roster.
- Assign players and staff to teams: Step 1: Add Filters to narrow the list, Step 2: Select Enrollees, then Step 3: Select Roster Assignment to pick the team.
- Open 5 Team Sites. Teams are listed by division.
- Click the green Publish Team Site icon in the Team Site column for a team. To publish every ready team in a division at once, click the green icon on the division's row.
- Click OK to confirm.
- When a schedule is ready, click the green icon under Practice, Regular, 2nd Half or Playoff to publish it to the team site.
Steps 2 to 4 are for individual registration programs (Youth, Adult, Youth & Adult). In Team Registration programs, check each team's roster on the program's 4 Rosters page before publishing.
Which teams can be published
| Program type | Before the Publish Team Site icon appears |
|---|---|
| Youth Registration | At least one player and one staff member on the team. With the Team Site Publish Without Staff permission (Enhanced, Elite and Enterprise), players alone are enough. |
| Adult Registration, Youth & Adult Registration | At least one player. No staff needed; signed-in roster members can make themselves Site Coordinator. |
| Team Registration, Team Registration plus Youth or Adult Roster | At least one staff member (anyone on the team who isn't a player, such as the manager or coach). Players aren't required. |
| Master and dependent programs, Camp Registration | Team sites aren't available. |
What you'll see
- After publishing, the team's Publish icon turns gray ("Team Site Published") and the orange Open Team Site house icon appears; it opens the Team Site in a new browser tab. Icons also appear under Practice, Regular, 2nd Half, Playoff and Archive.
- An orange link icon means the team site's roster is linked to the program, so roster changes you make in the program flow to the site automatically. Changes coaches make on the team site's roster stay on the team site and don't change your registrations.
- The new site opens with a "Welcome to the team name Team Site!" announcement, shown for 21 days.
- When Announcement Email is Yes, everyone on the roster gets an email titled "Announcement", sent from your account, explaining how to reach the site on the web or in the TeamSideline app.
If it doesn't work
- There's no Publish Team Site icon for a team. The team doesn't meet the rules in the table above, usually because it has no players or no staff member yet. Assign them on Assign To Roster, then reopen 5 Team Sites.
- "Before you can publish team sites, you need to create the divisions and teams for this league, and assign staff and players." The program's league has no divisions or teams yet. Add them (step 2).
- "This program type does not currently support Team Sites." Master, Camp, and dependent programs can't publish team sites.
- "Cannot publish schedule because there are no events. Please confirm the schedule has been created and is ready to be published." The division doesn't have that schedule yet. Create it on the division's 4 Create Schedule page (or add practices), then publish again.
- A coach can't rename or archive the team site, or publish games to it. On a site published from 5 Team Sites, those are admin tasks: publish schedules and archive from 5 Team Sites.
Good to know
- Organization team sites vs standalone team sites: a site you publish from 5 Team Sites is linked to your program, its roster and the schedules you publish. A coach can also create a standalone team site with Create Team on TeamSideline. A standalone site isn't connected to your registrations or rosters, and you can't manage it from 5 Team Sites, but its staff can add your league's schedule with Manage Linked Schedules on the site's Events page.
- The Team Site Publish Without Staff permission comes with the Enhanced, Elite and Enterprise plans and is part of the Administrator and Registrar roles. Ask TeamSideline support if your admin role doesn't have it.
- Archive closes a team's site and clears the team's published status on 5 Team Sites.
- Every plan includes team sites, with no limit on how many you publish.
- Deploy Forms on 5 Team Sites makes Mail Merge forms available to staff on chosen team sites (choose the Form, Division and Team, then click Deploy).
- Team sites aren't pages on your organization's public website. To show team information there, add pages with your website editor.
