To publish team sites for a Youth, Adult or Youth & Adult Registration program, assign players and staff to teams with Assign To Roster, then click the green Publish Team Site icon for each team on the program's 5 Team Sites page. Youth Registration teams need at least one player and one staff member before the icon appears; Adult and Youth & Adult teams need only a player.
Applies to: Admins with the Team Sites permission · All plans (publishing Youth Registration teams without staff: Enhanced, Elite and Enterprise) · Youth Registration, Adult Registration and Youth & Adult Registration programs
Where: Programs > Manage Programs > (program) > 5 Team Sites
Before you start
- Review Programs > Configurations > Team Sites, or click Team Sites Configuration on the 5 Team Sites page. It sets the Announcement Email sent when you publish, game and practice reminders and polls, Roster Edit (what team staff can change on the site's roster) and Privacy, which is applied when a site is published.
- Publishing can't be undone. To close a team site later, archive it.
Step 1: Assign players and staff to teams
- Go to Programs > Manage Programs and click the program's name.
- Click 4 Rosters, then Assign To Roster.
- To work with only players or only volunteers, click Add Filter in Step 1: Add Filters and add the Enrollment Type filter.
- In Step 2: Select Enrollees, tick the players and volunteers for a team. In Step 3: Select Roster Assignment, choose the Division and Team, then click Assign.
- When your teams are assigned, click 5 Team Sites.
On a team, staff means volunteers assigned as Coach, Assistant Coach, Team Parent or Manager. For filters, highlights and Toggle Mode, see How To Assign Rosters.
Step 2: Publish the team sites
- On 5 Team Sites, teams are listed by division. When a team meets the publishing rules, a green Publish Team Site icon appears in its Team Site column:
(the screenshot shows this green icon).
- Click the icon. To publish every ready team in a division at once, click the green Publish Team Sites icon on the division's row.
- Click OK to confirm.
When Announcement Email is Yes, the confirmation reads "Click OK to confirm publishing of this team site. Upon publishing, based on current Team Site configurations all roster members will receive an announcement from the current signed in account. This action can not be undone." When it's No, the middle sentence is left out.
Step 3: Publish schedules to the team sites
1. When a division's schedule is ready, click the green icon under Practice, Regular, 2nd Half or Playoff on a team's row. The same icons on the division's row publish to every published team in the division.
2. The icon turns gray once that schedule is published, for example "Regular Schedule Published".
The team site is linked to the division's schedule, so later game changes show on the team site without publishing again. Playoff publishes all of the division's playoff brackets.
Step 4: Open a team site
After a team is published, click the orange house icon (Open Team Site) next to the team name; the screenshot shows this house icon. The site opens in a new browser tab. If you aren't a member of that site yet, you're added to it as League Administrator so you can view it.
Which teams can be published
| Program type | Before the Publish Team Site icon appears |
|---|---|
| Youth Registration | At least one player and one staff member (Coach, Assistant Coach, Team Parent or Manager). With the Team Site Publish Without Staff permission (Enhanced, Elite and Enterprise), players alone are enough. |
| Adult Registration, Youth & Adult Registration | At least one player. No staff needed; signed-in roster members can make themselves Site Coordinator. |
| Team Registration, Team Registration plus Youth or Adult Roster | At least one staff member (anyone on the team roster who isn't a player, such as the manager who registered the team). Players aren't required. |
| Master and dependent programs | Team sites aren't available. |
What happens when you publish
- The team site is created with the team's players (and, for youth players, their parents or guardians) and its staff. You're added as League Administrator.
- The site opens with a "Welcome to the team name Team Site!" announcement, shown for 21 days.
- When Announcement Email is Yes, everyone on the team gets an email titled "Announcement", sent from your account. It explains how to reach the team site on the web (by signing in on your organization's website) or in the free TeamSideline app with the same email and password. When it's No, no email is sent.
- The Publish Team Site icon turns gray ("Team Site Published"), and icons appear under Practice, Regular, 2nd Half, Playoff and Archive.
- An orange link icon appears at the end of the row. It means the team site's roster is linked to your program (Team Sync).
How Team Sync keeps team sites up to date
- While a site is linked, players and staff you assign to the team on Assign To Roster are added to the team site automatically, and people you remove or move to another team are taken off it.
- You don't need to publish again after roster changes.
- Changes made on the team site's own roster stay on the team site. They don't change registrations or your program's rosters.
If it doesn't work
- A team has no Publish Team Site icon. It doesn't meet the rules in the table yet, usually because it has no players or, in a Youth Registration program, no Coach, Assistant Coach, Team Parent or Manager. Volunteers registered under other types don't count. Assign them, then reopen 5 Team Sites. A gray icon means the site is already published.
- "Before you can publish team sites, you need to create the divisions and teams for this league, and assign staff and players." The program's league has no divisions or teams yet.
- "This program type does not currently support Team Sites." Master, Camp, and dependent programs can't publish team sites.
- "Cannot publish schedule because there are no events. Please confirm the schedule has been created and is ready to be published." The division doesn't have that schedule yet, or the team has no practices. Create it, then publish again.
- Teams with only players don't get the icon in a Youth Registration program. Publishing without staff needs the Team Site Publish Without Staff permission, part of the Administrator and Registrar roles on the Enhanced, Elite and Enterprise plans. If you have a different admin role, ask an admin who manages users to add one of those roles, or contact TeamSideline support.
- The division row has no Publish Team Sites icon. In Youth Registration programs it appears only when a team in the division has a staff member. Publish players-only teams with each team's own icon.
Good to know
- On the Enhanced, Elite and Enterprise plans, you don't need TeamSideline support to turn on publishing without staff: Administrators and Registrars already have it.
- Archive closes a team's site and clears its published status. Publishing the team again creates a new site; anything added to the old site isn't copied over.
- Team sites published from 5 Team Sites belong to your program. Coaches can't rename or archive them or publish schedules to them; those are admin tasks.
