TeamSideline has no Resend or Forward button. To send a communication again, open it in Communications > Communication Logs, copy its message, and paste it into a new communication on Communications > Send Communication, addressed to the same lists or to the people who need it.
Applies to: Org admins whose role includes Send Communication and Communication Logs · All plans · Emails sent from Send Communication, plus automatic and team site emails
Where: Communications > Communication Logs; Communications > Send Communication
Resend a communication
- Go to Communications > Communication Logs.
- Set the Date Range (the last 30 days show at first) and, if you like, type part of the Subject. Click Update.
- Click the communication's subject. The subject is a link once the communication has been processed, or if it was canceled.
- On the details page, note the Distribution To line, which names the lists it went to.
- Select the text under Message and copy it (Ctrl+C, or Command+C on a Mac).
- Go to Communications > Send Communication, check the same lists or the people who need it, and click Next.
- On Create Your Message, enter the Email Subject and paste the text into the Email Message (Ctrl+V, or Command+V).
- Click Send Now, or click Next to attach a file or add a team link, and then click Send.
What you'll see: "Your email will be sent out shortly." and the new communication at the top of Communication Logs, as a separate entry from the original.
Send it to one more person
To send the copy to someone who isn't on any list, such as a parent who joined late:
- On Send Communication, click Add Contact.
- Enter the Contact Name and Email Address (Phone Number is optional) and click Add. You'll see "Your Personal Contact has been added."
- Click the arrow next to Personal Contacts, check the person, click Next and paste your message as above.
Personal contacts are yours alone and stay on the list for your next sends.
Forward a copy from your own inbox
- If you got a copy, because you were on a list you checked or your address is on the Communication BCC list (Communications > Configurations > General), you can forward it from your email program.
- A forwarded copy still has your unsubscribe link at the bottom. If the person you forward it to clicks it, your address is unsubscribed from your organization's emails, so delete that line before you forward, or resend from Communication Logs instead.
- To get a copy of every communication from now on, add your address with Add Communication BCC on Communications > Configurations > General.
Automatic and team site emails
- Emails TeamSideline sends automatically, such as order confirmations, are on the System Log tab of Communication Logs. Emails sent from team sites are on the Team Site Log tab. Which tabs you see depends on your admin role.
- Set the tab's filters and click Update. On System Log, a To Address must be a whole email address.
- Click the Email Id to open the email as that person received it, on a View Email page in a new tab. Copy the text you need into a new communication on Send Communication.
Save it as a template for next time
If you'll send the same message again, such as a rainout notice or a season reminder, save it once and reuse it:
- On Create Your Message, enter the Email Subject and message, then click Save As Template. You'll see "Communication Template Saved."
- Next time, click Retrieve Template, choose it in Template and click Apply. Its subject and message fill in.
Templates are listed under Communications > Communication Templates, where Add Communication Template creates one from scratch. A template keeps the subject and message only, not the recipients, the text message or attachments.
If it doesn't work
- The subject isn't a link. The communication hasn't been processed yet, or it's scheduled for later (Pending/Holding Until). A scheduled send can still be changed with its pencil (Edit) on Communication Logs, so there's no need to resend it.
- The communication isn't in the list. Widen the Date Range or clear the Subject box. Automatic emails are on System Log and team site emails on Team Site Log. Communications are kept for about two years, then deleted.
- "Invalid date range." The start date is after the end date, or one is empty.
- "We have detected an embedded image. Embedded images are not supported in all email clients. Remove the embedded image and use the Image Manager to upload and insert the image." A picture came along with the pasted text as an embedded image. Delete it and insert it again with the Image Manager.
- "Subject is required to save draft." Enter the Email Subject before you click Save As Template.
- There's no Add Contact button on Send Communication. It shows only when your admin role includes the program registration lists. Add the person to a Custom Contact List instead, or ask an Administrator.
- The person still doesn't get it. Their address may have an email filter, such as Opt Out, Bad or Marked As Spam. A filtered address doesn't get a resent email either. Open the original in Communication Logs and check the Filter Type column in Email Recipients.
Good to know
- Attachments, team links and the text message aren't part of the copied text. Attach the file again with Attach A File on Send Options (one file, up to 10 MB), check Team Schedule Link or Team Roster Link again, and retype the text in Text Message.
- A sent communication can't be recalled or edited. Only a scheduled send that's still pending can be edited or canceled.
- A resend is a new communication, so its emails count against your email credits for the subscription year again.
- Before resending to everyone because one person missed it, check whether it reached them; see How to check whether an email was delivered or opened (Communication Logs), below.
