To run a draft night, load each player's tryout scores into a player custom field, then show the program's Assign To Roster page on a shared screen with the scores next to each name and the list sorted by score. As each team picks, drag the player onto that team; every drop saves right away.
Applies to: Admins · All plans · Youth Registration, Adult Registration and Youth & Adult Registration programs
Where: Administration > Configurations > Custom Fields; Administration > Import Data; Programs > Manage Programs > (program) > 4 Rosters > Assign To Roster
Step 1: Load the scores
- Go to Administration > Configurations > Custom Fields and click Add Custom Field.
- Enter a Field Name for one score, such as Overall Score, choose Player in Category and a text type in Field Type, and enter a Max Length, such as 3.
- In Public Access, choose Hidden so families don't see the scores, and click Save. Repeat for each score you want to show, such as Pitching Score or Hitting Score.
- Go to Reports > Report Exports and export the Enrollment Information report for the program with the Player Id - TeamSideline column and the players' names.
- In the file, add a column with each player's score, keep the Player Id - TeamSideline column, and save the file as a CSV file.
- Go to Administration > Import Data, click Player Custom Field Import, choose the file and the score's custom field, and finish the import. Each import fills one field, so repeat for each score.
Sort compares scores as text, lowest first. Enter every score with the same number of digits, such as 08 and 12. To put the best players at the top, import a rank instead, with 01 for the best player. The import steps are in How to do a Player Custom Field Import, under Related articles.
Step 2: Set up Assign To Roster for the draft
- Go to Programs > Manage Programs, open the program's 4 Rosters page and click Assign To Roster.
- In Highlight, check the score fields (custom fields start with (c)) and click Update. Each player's scores show in parentheses after their name.
- In Sort, choose the score field to rank players by.
- Optional: under Step 1: Add Filters, click Add Filter to narrow the list, for example by Offerings or Age As Of. Custom fields can't be used as filters.
- Under Additional Options, choose Enrollee Info on Click, so the information box doesn't open when the pointer rests on a name.
Step 3: Run the draft
- Show the Assign To Roster page on a screen everyone can see, such as a projector or a shared screen on a video call.
- Click the arrow next to the division to show its teams.
- As each team makes its pick, drag the player from the list on the left onto that team. The drop saves right away.
- To undo a pick, drag the player back to the list on the left.
What you'll see
The player leaves the unassigned list and appears under the team, and the team's Staff and Players counts go up. Filter Results shows how many players are still waiting. Players with no score in the sort field are listed last.
If it doesn't work
- A team won't take a drop. Its roster is locked. Unlock it on 4 Rosters.
- A player isn't in the list. Their registration is waitlisted or canceled, they're already on a team, or a filter hides them.
- No scores show after a name. That player has no value in the field, or you didn't click Update after checking the fields in Highlight.
- The order looks wrong, for example 10 before 9. Sort compares text. Import the scores again with the same number of digits.
- Imported corrections didn't change the scores. Existing values are kept unless you choose Overwrite Existing Data when you import.
- The score field isn't in Highlight or Sort. The lists offer enrollment fields (e) and Player, Parent, Account and Internal Enrollment custom fields (c). Create the score as a Player custom field.
Good to know
- Teams are listed alphabetically in each division and can't be reordered on this page. To show them in draft order, start each team's name with a number, such as 01 and 02, before the draft. The new names show everywhere the team appears.
- Everyone watching sees the screen. Highlight only what you're happy to show: Highlight also offers fields such as Account Balance and Internal Comments.
- If a team's site is already published, each player you drop is added to it right away, so families can see picks as they happen. Publish team sites after the draft.
- Drag and drop is the page's default. If you see checkboxes instead, click Toggle Mode under Additional Options.
