Open the email in Communications > Communication Logs and look at its Email Recipients table. Sent shows when each recipient's email provider accepted the message, and Opened and Clicked (Enhanced, Elite and Enterprise plans) show when the recipient first opened it or clicked a link. Automatic emails are on the System Log tab, and team site emails on the Team Site Log tab.
Applies to: Admins with access to Communication Logs · All plans (Opened and Clicked: Enhanced, Elite and Enterprise) · Emails and texts sent from your admin site, automatic system emails and team site emails
Where: Communications > Communication Logs (tabs: Communication Log, System Log, Team Site Log, Team Site Chat Log)
Check one email you sent
- Go to Communications > Communication Logs. The Communication Log tab lists emails sent from Send Communication.
- Set the Date Range (the last 30 days are shown at first). To narrow the list, type part of the Subject.
- Click Update.
- Click the email's subject.
- To find one person, type their email address, or part of it, in the box under To Address in the Email Recipients table.
- Read their row, using the table below.
What you'll see: the email's details page with its Date/Time, Status, Distribution To (the lists it went to), Subject, the Message and the Email Recipients table, one row per address. If the communication also went out as a text, the Text Message and a Text Message Recipients table (Phone Number, Sent, Delivered, Status) appear too. Times are shown in your organization's time zone.
What the recipient columns mean
| Column | What it tells you |
|---|---|
| Email Id | Click it to open the email exactly as that person received it, in a new tab. |
| To Address | The address the email went to. |
| Created | When the email was added to TeamSideline's send queue. |
| Sent | When the recipient's email provider accepted the email. Blank means it hasn't been delivered: it's still waiting to go out, the receiving server delayed or bounced it, or a filter stopped it. |
| Opened | The first time the recipient viewed the full email. A click also counts as an open. |
| Clicked | The first time the recipient clicked a link in the email. |
| Filter Type | An email filter on the address, such as Bad or Opt Out. TeamSideline doesn't send to filtered addresses, so Sent stays blank. |
Opened and Clicked
- Opened and Clicked dates appear on the Enhanced, Elite and Enterprise plans. On Core, the column headings show an upgrade icon ("This feature is part of an upgraded package.") instead.
- Read Tracking records "When a recipient views the full email, first date and time are recorded." Click Tracking records "When a recipient clicks any link in the email, the date and time are recorded." Both are on for every email unless your site shows the Read Tracking and Click Tracking boxes on Send Communication's send options and you untick them.
- Some email apps don't report opens. A blank Opened doesn't prove the email wasn't read, but a Sent time shows it reached the person's email provider; from there it may be in a spam or junk folder.
Automatic emails and team site emails
Each tab of Communication Logs has its own filters. Set them and click Update.
- System Log: emails TeamSideline sends automatically, such as order confirmations, payment plan notices and Auto Coach Scoring requests. Filter by Date Range (the last 7 days at first), Message Type and To Address (enter a whole email address). Columns: Email Id, To Address, Message Type, Sent, Read and Filter Type.
- Team Site Log: emails sent from team sites, including the announcement sent when a team site is published. Filter by Date Range, Sender Address, To Address and Team Name. Columns: Email Id, Team Name, Sender Address, To Address, Sent, Opened and Filter Type.
- Team Site Chat Log: App Chat messages, filtered by Date Range, Sender Name and Team Name, with the Message and when it was Sent.
The tabs you see depend on your admin role.
Emails that haven't gone out yet
- An email scheduled with Delay Sending Until shows the status Pending/Holding Until and the date and time it will go out. Click its pencil (Edit) to change the Delay Sending Until time, subject or message, then click Save ("Communication updated."). Click Cancel Communication to stop it, and click OK to confirm "Are you sure you want to cancel this communication "[subject]"?".
- Its subject becomes a link to the details page once TeamSideline has processed it.
Export the log
- Go to Reports > Report Exports and open Communication Log.
- Choose a Subject (or All Subjects) and a Date Range.
- Under Include, tick Emails, Text Messages or both.
- Tick the Columns you want and choose an Export Type.
- Click Export. Click Save Report to keep these choices, or Reset to start over.
If it doesn't work
- "Invalid date range." The start date is after the end date, or one is empty. Fix the dates and click Update.
- "Invalid to address." On System Log or Team Site Log, To Address must be a complete email address.
- The email isn't in the list. Widen the Date Range, clear the Subject box, or check another tab: automatic emails are on System Log and team site emails on Team Site Log.
- The subject isn't a link. The email hasn't been processed yet, or it's still scheduled (Pending/Holding Until).
- Filter Type shows a filter. The email wasn't sent to that address. See What does the red flag next to an email address mean? and How to remove an email filter (red flag) as an admin.
- "The communication cannot be updated, since it is currently being processed." The scheduled email has started sending, so it can't be edited.
- Export shows "You must select at least one of the available Include checkboxes." or "You must select at least one Field before exporting report." Tick Emails or Text Messages, and at least one column.
Good to know
- An address that bounces gets a Bad filter automatically (auto-replies don't count), and a recipient who marks your email as spam gets a Marked As Spam filter. Later emails skip those addresses until the filter is removed.
- Communication Logs list what was sent. Replies to your emails and texts aren't stored there.
- To send an email again, see How do I forward an email that has already been sent out?
- Encourage coaches to email their teams through TeamSideline so the messages are logged where you can check them.
