To register and roster a new coach, make sure the coach has an account, give them a volunteer enrollment as a Coach in the program, then assign that enrollment to a team on Assign To Roster. On the Enhanced plan and higher, Volunteer Quick Add on Assign To Roster creates the enrollment, and the account if needed, in one step.
Applies to: Admins · All plans (Volunteer Quick Add: Enhanced, Elite and Enterprise) · Youth Registration and Youth & Adult Registration programs
Where: Customers > Account Management > Search, and Programs > Manage Programs > (program) > 4 Rosters > Assign To Roster
Before you start: add the Coach type to the program
- Go to Programs > Manage Programs and click the program's name.
- Click 2 Configuration.
- In the Volunteers section, check that Coach is listed. If it isn't, click Add Volunteer, choose Coach in Volunteer Type (and a "Protect Youth Sports" Background Check if you use one), and click Add.
Only four volunteer types get a role on a team when you assign them: Coach, Assistant Coach, Team Parent and Manager. There's no Head Coach type, so use Coach. Other types, such as Jr. Coach, Practice Coach or Team Mom, can be used for registration but cannot be assigned to a Team Roster, so their enrollment would be informational only.
Step 1: Find or create the coach's account
- Go to Customers > Account Management > Search and search for the coach by name or email.
- If you find them, click the account holder's name to open the account. The coach must be an adult (parent or guardian) member of the account, not a player.
- If there's no account, click Add Account and create one for the coach. See How to Create/Add Customer Account.
If you'll use Volunteer Quick Add, you can skip this step.
Step 2: Register the coach as a volunteer
Option A: Place Order (all plans)
- On the coach's account, click Place Order.
- Click Add Enrollment.
- Choose the coach as the Enrollee and Volunteer as the Enrollment Type.
- Choose the Program, the Offering they'll coach, Coach in Enrollment Selection, and the Registration Period if asked.
- Click Add, then Checkout.
- Complete any enrollment pages and click Next on each.
- To skip the confirmation email, untick Send Confirmation Email to Customer. Click Place Order.
For more on admin orders, see How to Place an Order for a Customer.
Option B: Volunteer Quick Add (Enhanced plan and higher)
- In the program, click 4 Rosters, then Assign To Roster.
- Click Volunteer Quick Add.
- Choose Coach in Role, and choose the Offering.
- Under Volunteer, choose Use Existing Adult and pick the person, or choose Or Add a New Volunteer and enter their First Name, Last Name and Email (Phone Number is optional).
- Click Add. You'll see "The volunteer was added successfully."
Quick Add creates a volunteer enrollment with no checkout, so the coach isn't asked your program's enrollment fields or terms. Use Existing Adult lists the parents of players in this program. If a new volunteer's first name, last name and email match an adult already in your organization, that adult is used instead of a new account.
Step 3: Assign the coach to a team
- On the Program's 4 Rosters tab, click Assign To Roster. It opens in drag-and-drop view unless you switched it before: click Toggle Mode for the checkbox steps below, or drag the coach onto the team. Organizations with Smart Auto Assign have no Toggle Mode and always drag and drop.
- In Step 2: Select Enrollees, tick the coach. Volunteers are listed with their type after their name, such as Coach.
- In Step 3: Select Roster Assignment, choose the Division and the Team.
- Click Assign. You'll see "Roster Assignments completed."
For filters, highlights, + Add Division and + Add Team, and switching between drag and drop (the default) and checkboxes with Toggle Mode, see How To Assign Rosters. If the team has no team contact yet, the first Coach you assign becomes its contact on the division's 2 Teams page. If the team's site is already published, the coach is added to it automatically.
Fix a coach registered under the wrong volunteer type
- On Assign To Roster, point to the coach's name to open Volunteer's Information. If Additional Options is set to Enrollee Info on Click, click the name instead.
- Click the edit icon next to Volunteer Type.
- Choose the type and click the green check mark to save.
Only the program's Coach, Assistant Coach, Team Parent and Manager types are offered. If the one you need is missing, add it on the Program's 2 Configuration tab under Volunteers first.
If it doesn't work
- Volunteer isn't in the Enrollment Type list. The Enrollee is a player record, or no program has volunteer types. Choose the adult member, and add the Coach type on 2 Configuration.
- There's no Volunteer Quick Add button. It needs the Volunteer Quick Add permission (Enhanced, Elite and Enterprise plans; part of the Administrator, Registrar and Volunteer Coordinator roles) and a Youth Registration or Youth & Adult Registration program. Use Place Order instead.
- "Please select either the Use Existing Adult or Add a New Volunteer button." Choose one of the two Volunteer options. "Please select a volunteer role." and "Please select an offering." mean Role or Offering is empty.
- The coach isn't listed on Assign To Roster. Only accepted enrollments that aren't on a team yet are listed, so clear any filters in Step 1: Add Filters and accept a waitlisted enrollment first. If your organization uses Protect Youth Sports background checks with the coach filter, volunteers appear only after their background check is approved, unless you have a background check admin role.
- "You must select at least one enrollee to assign.", "A Division assignment is required." or "A Team assignment is required." Tick the coach and choose both a Division and a Team.
- The coach is on the team but not as Coach. They registered under another volunteer type. Change it as described above.
Good to know
- Admin Place Order isn't limited by an offering's registration or Volunteer Reg. dates, so you can register a coach after volunteer registration has closed.
- To put a coach on a second team, give them a second volunteer enrollment. See How to put a coach or player on more than one team (one enrollment per team).
- For a teen or other junior coach, see How to register a player (minor or aged-out) as a volunteer or junior coach.
- Adult Registration programs have no Volunteers section. In Team Registration plus Roster programs, coaches don't register this way: add them to the team's roster with the Coach role, as in Admins: give a coach roster edit access (Team Registration plus Roster).
