Admins with the Billing role can see your TeamSideline subscription invoices on Administration > Subscription > Invoices, and pay an unpaid invoice with the Pay Invoice button on the Subscription page. The button opens the TeamSideline billing portal in a new tab, already signed in. You can also pay from the link in your invoice email.
Applies to: Billing contacts and org admins with the Billing role - all plans (Core, Enhanced, Elite, Enterprise) and older packages billed through Chargebee - TeamSideline subscription billing
Where: Administration > Subscription > Summary (Pay Invoice) and Administration > Subscription > Invoices
Who can pay and see invoices
- Only admins with the Billing role see the Invoices tab and the Pay Invoice button. The Administrator role on its own doesn't include them.
- New admins get every role, including Billing, when they're added. Your organization must always keep at least one admin with the Billing role.
- Admins with the Billing role are also added as billing contacts in TeamSideline's billing system, so they receive invoice and payment emails. To change who gets them, add or remove the Billing role on Administration > Manage Users.
How to pay an unpaid invoice in TeamSideline
1. Sign in at Admin Sign In and go to Administration > Subscription. The Summary tab opens.
2. Click Pay Invoice. The button appears only when an invoice is due or past due.
3. The billing portal opens in a new tab, already signed in to your organization's billing account. No login code is needed.
4. Pay the invoice by card or bank account (ACH). You can also save a payment method so future renewals are paid automatically on your renewal date.
5. Close the portal tab when you're done.
What you'll see after you pay
- The Pay Invoice button is gone the next time you open the Subscription page, as long as nothing else is due.
- The unpaid invoice notice on Home clears on its own. The message count at the top of the page can take up to 15 minutes to update.
- The invoice shows as Paid on the Invoices tab, and you get a receipt by email once the payment is processed.
How to view and download invoices
1. Go to Administration > Subscription and click the Invoices tab.
2. Find the invoice. The list shows your 50 most recent invoices, newest first, with the Invoice #, Customer, Date, Due Date, Status, Total and Amount Due. An amount still owed shows in red.
3. Click the download icon on the invoice's row to save it as a PDF.
Status is Paid, Payment Due, Not Paid (past due), Voided or Pending. An invoice that has been issued but isn't due yet may show as "posted". Use Refresh to reload the list. To pay, use Pay Invoice on the Summary tab; the Invoices tab has no pay button.
Other ways to pay
- Invoice email: Every renewal invoice email, sent to your billing contact, has a payment button labeled Pay Now or Pay Your Renewal.
- Check: Mail Payment on the Subscription page shows the mailing address. Checks take longer to arrive and must be matched by hand, so pay online when you can.
A processing fee of 2.95% applies when paying by credit card. ACH bank payments have no card fee.
What happens if an invoice isn't paid
- While an invoice is due or past due, admins with the Billing role see this notice on Home: "Your organization has an unpaid TeamSideline invoice. You can pay it by credit card from Administration > Subscription using the Pay Invoice button. This message will disappear automatically once the payment goes through." The X hides it for a day.
- If the subscription is canceled for non-payment, your TeamSideline site is turned off automatically. Visitors, families and admins are sent away from the site, and admins can't sign in. An email titled "Your TeamSideline site has been deactivated" goes to the Email Address set under Communications > Configurations > Contact Us. If that field is blank, no email is sent, so keep it current.
- When payment is received, the site turns back on automatically and the same address gets "Your TeamSideline site has been reactivated".
Because admins can't sign in while the site is off, pay from your invoice email or contact support@teamsideline.com.
Why bank Bill Pay and mailed checks can cause problems
Bank bill-pay services, such as Bank of America Bill Pay, often mail TeamSideline a paper check instead of paying electronically.
- Your bank may show the payment as cleared before it reaches us. A cleared status at your bank doesn't mean the payment has been received and applied to your invoice.
- Mail takes time. A mailed check may arrive after your renewal is due, which can lead to an unpaid notice or your site being turned off.
- Checks aren't matched automatically. They have to be found and applied by hand, which adds delay.
If you already paid by bill pay or check and got a past-due notice, don't assume the renewal is complete. Gather proof of payment, such as a screenshot from your bank with the date and amount, and send it to support@teamsideline.com so the payment can be located and applied. Billing details can only be discussed with a listed site admin or billing contact, so a bookkeeper should include an admin on the request.
Best practice for future renewals
- Pay online and save a payment method on file so renewals process automatically on your renewal date.
- Keep your billing contact and site administrator information up to date so renewal notices reach the right person.
If it doesn't work
- There's no Pay Invoice button. Nothing is due, or you don't have the Billing role. Ask an admin to give you the Billing role, or pay from the invoice email or billing portal.
- There's no Invoices tab. You need the Billing role.
- "Unable to open the payment portal at this time. Please try again later." The billing portal didn't respond. Try again in a few minutes, or use the link in your invoice email.
- "Unable to open the payment portal for this organization." Your organization's billing account couldn't be found. Contact support@teamsideline.com.
- "Unable to load invoices at this time. Please try again later." The invoice list couldn't be loaded. Click Refresh, or try again later.
- "Unable to download invoice PDF at this time. Please try again later." or "Unable to generate download link for this invoice." The PDF couldn't be created. Try again later, or download the invoice from the billing portal.
- "No invoices found for this organization." No invoices are on file yet for your organization.
