Team Sync keeps a team site you publish from your program in step with your registrations. Once a team's site is published, players and staff you assign later are added to it, people you remove or move come off it, and changes to their family accounts show on it, all without publishing again. It works for every registration type. Anything added only on the team site stays on the team site.
Applies to: Admins and team staff (coaches and team managers) · All plans · Team sites published from a program's 5 Team Sites page (Youth, Adult, Youth & Adult, Team Registration and Team Registration plus Roster programs)
Where: Programs > Manage Programs > (program) > 5 Team Sites
How to tell a team site is linked
On 5 Team Sites, a published team has an orange link icon at the end of its row. It means the site's roster is linked to your program, so changes flow to it automatically. Every team site you publish from 5 Team Sites is linked. A published team without the icon was published before Team Sync existed for its program type: its members are copies, so the changes below may not reach it.
What flows to a linked team site
| What you change | What happens on the team site |
|---|---|
| Assign a player, or a volunteer as Coach, Assistant Coach, Team Parent or Manager, on Assign To Roster | They're added with that role. A youth player's parents and guardians on the family account are added too. |
| Remove someone from the team, or move them to another team | They come off this team's site, and join the new team's site if it's published. |
| Cancel an enrollment with Remove from Roster set to Yes | They come off the site. With No, they stay on the roster and the site. |
| Change a volunteer's type on their enrollment | Their role on the team site changes. |
| Add a parent or guardian to a family account | They join the team sites of that family's players. |
| Change a name, email address or phone number on a family account | The team site shows the new details, unless that field was changed on the team site. |
| Team Registration plus Roster: an invited player accepts and registers | They're added when their registration is complete. |
| Team Registration: the team manager adds a roster member or edits one | The member is added or updated. |
| Games and practices, once you've published a schedule to the team | New and changed games and practices show without publishing again. |
Roster changes reach the team site as soon as they're saved. The TeamSideline app shows them the next time it loads the person's teams, for example after they reopen the app.
What stays on the team site
- People added on the team site's own roster. Someone added with Add to Roster on the team site has no enrollment, so they're never on your program's 4 Rosters page and don't get the emails you send to Team Rosters. To put someone on the team properly, register them or assign them on Assign To Roster.
- Edits made on the team site. Changing a linked member's name, email address or phone number on the team site changes only the team site. Your organization's records keep the old details, and that field stops following the family account. When a League Administrator opens the member, an icon next to the field says "This field has been updated on the Team Site overriding the Organization information." Jersey number, position, background and photo exist only on the team site.
- The team site's own content. Announcements, chat, files, pictures, attendance, polls and Family & Friends belong to the team site.
- Linked members can't be deleted on the team site. Their delete icon is grayed out. Remove them on Assign To Roster, or cancel the enrollment with Remove from Roster set to Yes.
Email addresses and sign-in
- A person sees the team site, in the app and on your website, when they sign in with the email address on their family account: a parent's or guardian's for a youth player, their own for an adult player or a volunteer. On a Team Registration roster, it's the email on the team roster.
- To change someone's email address, change it on their family account in Customers > Account Management, not on the team site. An email address changed only on the team site doesn't match their sign-in, so the team can drop out of their app, and your Team Rosters emails still go to the address on the account.
- The first time someone signs in, they confirm their email address once, from a "Validate Your Email Address" email. It can land in spam or junk.
- The welcome announcement email goes out only when a site is first published, and only when Announcement Email is Yes. People added later get no email: they sign in and the team is there.
When games show
Published games stay linked to the division's schedule. Unplayed games show on team sites and in the app only while the division's schedule is visible (the eye on Schedules > Leagues & Divisions) and within the division's Show # of Sched. Wks setting. Games in TBD time slots show once they're given a real time. Games with a result always show.
Archiving and publishing again
Archive closes a team's site. Publishing the team again creates a new linked site with your program's current roster, but nothing from the old site: announcements, chat, files, pictures, Family & Friends and people added on the team site aren't copied. A linked site never needs republishing to pick up roster changes, so don't archive it just to refresh it.
Teams created in the TeamSideline app
A team that a coach creates in the app, or with Create Team on TeamSideline.com, is a standalone team site. It isn't linked to your program and gets no roster or schedule from it. Coaches and families should use the team site you publish from 5 Team Sites.
If it doesn't work
- Someone you assigned isn't on the team site. Check that the team has the orange link icon and that a volunteer's type is Coach, Assistant Coach, Team Parent or Manager. Then check the email address on their family account: that's the one they must sign in with.
- The team site shows an old email address or phone number. It was changed on the team site. Open the member and look for the override icon, then put the details back to match the family account, or update the family account.
- Someone you removed is still on the team site. They were added on the team site's own roster. A coach or League Administrator can delete them there.
- Games are missing from the team site or the app. Check that the schedule was published to the team on 5 Team Sites, that the division's schedule is visible, and the Show # of Sched. Wks setting.
- A published team has no link icon. It was published before Team Sync. Contact TeamSideline Support before you archive it: publishing again starts a new site without the old content.
Good to know
- Nothing done on a team site changes enrollments, your program's rosters or family accounts.
- What team staff can change on the site's roster depends on Roster Edit in Programs > Configurations > Team Sites.
