Programs > Configurations > Team Sites holds the settings for every team site you publish from your programs: the welcome email, reminders and attendance polls for league games and practices, a link to your Downloads, what team staff can change on the roster, and who sees contact details. Each setting applies to all your programs; there's no per-program version.
Applies to: Org admins whose role includes the Team Sites configuration page · All plans · Team sites published from a program's 5 Team Sites page
Where: Programs > Configurations > Team Sites
Change the settings
- Go to Programs > Configurations > Team Sites.
- Change the settings described below.
- Click Save. You'll see "Configurations have been saved."
Announcement
| Setting | What it does |
|---|---|
| Announcement Email (Yes, No) | Yes: when you publish a team site, every roster member gets an email with the subject "Announcement", sent from the account of the admin who publishes, explaining how to reach the team site on the web and in the app. No: no email is sent, so members aren't told. Either way, a "Welcome to the (team name) Team Site!" announcement is posted on the site for 21 days. |
People added to a team after its site is published don't get this email. Publishing a team again after archiving it creates a new site and sends the email again when the setting is Yes.
Events
| Setting | What it does |
|---|---|
| Game Reminder (Off, 0 to 7) | The reminder email for league games on your team sites, in days before the game. 0 sends it on the day of the game, early in the morning; 1 to 7 send it that many days (24 hours each) before the start time. Off sends none. |
| Game Poll (Yes, No) | Adds an attendance poll to league games, so families can answer whether they're coming. The game reminder must be on. |
| Practice Reminder (Off, 0 to 7) | The same reminder for practices from your league's practice schedule. |
| Practice Poll (Yes, No) | The attendance poll for those practices. The practice reminder must be on. |
| Default Response (Attending, Not Attending, Maybe, No Response) | How a member who hasn't answered a poll is counted ("Default poll response with no update"). It's copied to each team site when the site is published. |
The reminder and poll settings are defaults for every league game and league practice on your team sites, including sites already published, unless team staff changed that event's reminder or poll on the team site. An event also keeps the settings it had once its reminder email has gone out or someone has answered its attendance poll, so a later change here doesn't reach it. Events that team staff add themselves have their own reminder setting. Reminder emails go to roster members with an email address; members who turned off reminders in their profile don't get them.
Files
| Setting | What it does |
|---|---|
| Show Link (Yes, No) | Yes adds "Public Downloads for (organization name)" to each team site's Files page, linking to your organization's public Downloads page, so rules and maps you post at Content > Downloads are one click away. The app lists your organization's downloads with the team's files too. If your website is live on Editor 2.0, the web link opens your website's home page instead; the app still lists the downloads. |
Roster
| Setting | What it does |
|---|---|
| Roster Edit: Everything | Team staff can add people with Add To Roster, edit members, and delete people who were added on the team site. Members who came from your registrations can't be deleted there. Members can edit their own details. |
| Roster Edit: Limited | Team staff and members can edit details such as phone numbers, jersey number, position, background, picture and the privacy box, but not names or team roles, and staff can't change email addresses. Nobody can add or delete people on the team site. |
| Roster Edit: None | Only your admins can change roster details on the team site. Team staff and members can't edit them, even their own. |
| Privacy: Staff Only | Each member's phone numbers and email address are hidden from everyone except team staff. |
| Privacy: Staff and Roster Only | Everyone on the roster can see members' phone numbers and email addresses. |
- Roster Edit applies right away to all your team sites. With Limited or None, staff see "Note: The Add To Roster button has been disabled by" your organization, with a link to your Contact Us page. Admins who open a team site from the admin site aren't limited by it.
- Privacy is applied to each person when they're added to a team site: at publishing, and when people you assign later are added. Changing it doesn't change people already on team sites. Team staff can still check or uncheck a member's privacy box while Roster Edit is Everything or Limited. Family & Friends and the public never see contact details.
If it doesn't work
- "The game reminder must be enabled to have a poll." or "The practice reminder must be enabled to have a poll." Set the reminder to 0 to 7, or set the poll to No, and save again.
- Families didn't get the welcome email. Announcement Email was No when the site was published, or they were added later. Email the team from Communications > Send Communication instead.
- A coach can't add a player on the team site. Roster Edit is Limited or None. Set it to Everything, or assign the player to the team on the program's Assign To Roster page.
- A changed Default Response or Privacy didn't reach existing team sites. Both are applied when a site is published or a person is added, not afterward.
- A changed reminder or poll setting didn't reach some events. Those events have their own settings: team staff changed them, their reminder email already went out, or someone answered their attendance poll. Team staff can still change the reminder or poll for each of those events on the team site.
- You're looking for Check-In Form or Event Type. Older guides list them on this page; it no longer shows them.
Good to know
- Team staff can change one event's reminder or attendance poll on the team site, for example to turn the reminder off for a single game.
- Team sites that coaches create themselves in the app (standalone teams) don't use the Roster Edit or Privacy settings.
