Raise donations are card payments through your Payrix gateway, so they're deposited with your other card payments. To reconcile, compare the Raise Donations dashboard, which shows what donors gave, with your Payrix settlement reports, which show what was deposited.
Three amounts to know
| Amount | Where you see it | What it is |
|---|---|---|
| Donation | Raise Donations dashboard (Amount), donation pages, Raise Dashboard | What the donor chose to give. This is what counts toward your goal. |
| Amount charged | The donor's receipt and thank-you page | The donation plus any processing fee passed on to the donor |
| Net Amount | Raise Donations dashboard | The donation, less refunds, less the card processing fee estimated from your service fee settings |
Reconcile a campaign
- Go to Reports > Report Dashboards > Raise Donations.
- Choose the campaign and set a Date Range for the period you're checking.
- Check Include refunded transactions so refunds are listed, then click Apply.
- Review the Amount, Refunded, and Net Amount columns.
- Match deposits in Reports > Report Viewer > Settlements By Date Range – Payrix. For individual transactions and card fees, use Reports > Report Exports > Settlement Item Detail.
Where donations appear in TeamSideline
- Each donation is an order on the donor's customer account, described as "Donation: [campaign name]." TeamSideline matches the donor by email address, or creates a new customer.
- The payment goes through the campaign's Payrix gateway and settles like any other card payment.
- Donation pages and the Raise Dashboard count donation amounts only. Processing fees never count toward a goal.
Why the numbers might not match
- Processing fees paid by donors are part of the charge and the deposit, but not the amount raised.
- Payrix card fees and refunds are subtracted from deposits before they reach your bank.
- Refunds lower the amount raised. The card fee isn't returned, so a fully refunded donation shows a negative Net Amount.
- Campaign gateways: a campaign set to a different Payrix gateway deposits to that gateway's account.
- Timing: the dashboard uses your organization's time zone, and Payrix deposits on its own schedule, weekly by default.
- Donor counts include refunded donations, even though the refunded money doesn't count.
