Admins who have the Manage Users permission add, edit and remove the people who can use your organization's admin site on Administration > Manage Users > Users. Click Add User, enter the person's name, email address and a first password, and click Add. New admins start with every role, so uncheck the ones they don't need on their Roles tab. The red X removes an admin.
Applies to: Org admins with the Manage Users permission (the Roles tab also needs Assign User Roles) · All plans; up to 5 admins on Core, 10 on Enhanced, 20 on Elite, and no practical limit on Enterprise · Admin site
Where: Administration > Manage Users > Users
Add an admin
- Go to Administration > Manage Users > Users and click Add User.
- Enter First Name, Last Name and Email Address. Use the address the person will sign in with: it can't be changed on Manage Users later.
- In Password, enter a first password that is unique to this person: 6 to 15 characters, with at least one letter and one number, and no <, > or &.
- Click Add.
- Click the Edit icon next to the new admin, open the Roles tab, uncheck the roles they don't need and click Save.
- Tell the person they've been added. TeamSideline doesn't send them a password, so click their email address in the list to write to them, and ask them to set their own password with Forgot your password? on your Admin Sign In page. Don't put a password in an email.
What you'll see: "New user has been added." The person is listed with every role your organization has, Administrator and Billing included, and "Has not signed in" under Last Activity.
If the person already has a TeamSideline login
Parents, coaches and admins of other organizations already have one. What Add User does depends on the address:
- Most addresses: their own name and password are kept: "New user has been added. Note: This user is an existing TeamSideline user so their existing password has been retained. If they have forgot their password, they can send a Forgot Password request when Signing In." If you typed a different name, the note says the name and password you entered were not applied.
- An address on your organization's own website domain, such as a shared role address: the name and password you entered replace theirs: "New user has been added. This is an existing TeamSideline account on your organization's domain, so their name and password have been updated to what you entered."
- A login that was never activated is activated, and the password you entered becomes theirs.
- Someone who is already an admin here isn't added again: "This is a duplicate user and has not been added." For an address on your domain, the name and password you entered are still applied: "This user is already an administrator for this organization. Their name and password have been updated to what you entered."
Edit an admin
- Click the Edit icon next to the admin, or choose User, Roles or Filters from the More Options menu at the end of their row.
- User tab: the Email is display-only. To move an admin to a new address, add the new address with Add User and remove the old account. Admins can also change their own address on their User Profile.
- First and last names can be edited, and a Reset Password button appears, only for addresses on your organization's own website domain. Reset Password asks "Are you sure you want to reset this users password?", then creates a random password and shows it once: "Password has been reset to: (password)". Give it to the person privately and ask them to change it on the Password tab of their User Profile. For other addresses, the person updates their own name and uses Forgot your password?.
- Roles tab: check or uncheck roles and click Save: "The user has been updated." While someone has Administrator, unchecking a narrower role takes nothing away.
- Filters tab: limits an admin to certain associated organizations, content, transactions, reports or sport types. Add Filter is hidden while they have the Administrator role; see Why can't I add a filter to an admin? (Administrator role overrides other roles).
Remove an admin
- On Administration > Manage Users > Users, click the red X (Delete) next to the admin.
- Click OK on "Are you sure you want to delete the user "(name)"?".
Removing someone ends their access to your admin site only. Their TeamSideline sign-in, their family account and their access to other organizations aren't affected. The red X doesn't appear on your own row: ask another admin to remove you, or see How to deactivate your own admin account. For what removal does and how to reduce access instead, see How to remove an admin or reduce their access. To bring someone back, add them again with Add User: they start with every role again.
Help a new admin sign in
- New admins sign in at Admin Sign In on your organization's website, not Sign In, with the email address you added.
- At their first sign-in to your admin site they're asked to accept the Admin Terms ("Please review and accept the admin site terms to proceed."). Someone you add back sees "You have been added to this organization since you last accepted. Please review and accept the (documents) again to confirm your access." Each organization asks separately.
- If they don't know their password, they click Forgot your password? on Admin Sign In; see How to change or reset your admin password.
- "Login failed. Please make sure your email address and password were entered correctly, and try again. Note: Passwords are case sensitive." The password is wrong, or that address isn't a current admin of your organization, for example because they were removed or added under another address. Check the list on Manage Users.
- "You cannot login because your administrator has not assigned you any roles." They're an admin, but their roles give no access. Check their Roles tab.
- Someone says they were approved but can't get in. Only an admin of your organization can add them, here on Manage Users. Check that they're listed with the address they're using. If no one in your organization can add them, contact TeamSideline Support, which can check their sign-in and send a reset link but never sends passwords.
- Role changes and removals reach someone who is already signed in within an hour, or as soon as they sign out and back in.
If it doesn't work
- Add User is grayed out, with "The (plan) plan supports a maximum of (number) administrators. Adding more users requires an upgraded plan." Remove an admin you no longer need, or upgrade your plan. Older subscription packages have their own limits, and the message names the package.
- "Please enter the First Name.", "Please enter the Last Name.", "Please enter the Email Address." or "Please enter the Password." Fill in every field.
- "Your password must be at least 6 characters long and a maximum of 15 characters, contain at least one alpha character and one numeric character. It cannot contain the characters "<", ">", or "&"." Choose a password that follows these rules.
- "The format of the Email Address you entered has a problem." Type the address instead of pasting it.
- There's no Manage Users menu, or no Roles tab. Your role doesn't include Manage Users (or Assign User Roles). Ask an admin in your organization who has it; in a multi-site organization, that may be your central office.
- An admin can't find a page or button that other admins see, such as Schedules > Leagues & Divisions or its Add Division button. Their roles don't include it. On their Roles tab, check a role that includes it and click Save (see What does each admin role allow?). They get it within an hour, or when they sign out and back in.
- "At least one remaining admin must have the Billing role." or "At least one admin must have the Billing role." Give the Billing role to another admin first.
- "You must select a role for this user before saving." Keep at least one role checked, or remove the admin instead.
- A red flag next to an admin's email address. TeamSideline isn't sending email to that address; see What does the red flag next to an email address mean?.
Good to know
- TeamSideline staff don't count toward your admin limit, and Last Activity shows when each admin was last active.
- Adding, editing and removing admins and password resets are recorded in Administration > Manage Users > Activity Log (Enhanced plan and up).
- An admin's sign-in is their one TeamSideline login: the same email address and password work on your public website, team sites, the TeamSideline app and any other organization they manage.
- A family account and admin access are separate: deleting or deactivating someone's family account doesn't remove their admin access, and removing an admin doesn't touch their family account.
