An admin role is a set of permissions, and an admin can do everything any of their roles allows. The roles you can assign are the standard roles that come with your organization's plan and modules, plus any custom roles TeamSideline has set up for you, so your list may differ from another organization's.
Applies to: Admins who manage users (changing roles needs the Assign User Roles permission) · All plans; the roles available depend on your plan and modules · Admin site
Where: Administration > Manage Users > Users > (user) > Roles
How roles work
- An admin's access is everything their roles allow, added together. Unchecking one role removes only what none of their other roles still gives them.
- A role never adds features your plan or modules don't include.
- Administrator includes nearly every permission your plan and modules allow. While someone has it, unchecking a narrower role takes nothing away, and you can't add filters to them.
- Two areas need their own role, even for Administrators: Billing for the subscription invoice pages, and a background check role for the Background Checks dashboard.
- Admins added with Add User start with every role on your list, Administrator and Billing included. Uncheck the ones they don't need.
- Your organization must always keep at least one admin with the Billing role.
- Every admin counts toward your plan's admin limit, whatever their roles: 5 on Core, 10 on Enhanced, 20 on Elite, and no practical limit on Enterprise. TeamSideline staff don't count.
Change an admin's roles
- Go to Administration > Manage Users > Users.
- Click the Edit icon next to the admin and open the Roles tab, or choose Roles from the More Options menu at the end of their row.
- Check the roles they need and uncheck the rest. To limit what someone can do, uncheck Administrator too.
- Click Save.
What you'll see: "The user has been updated." The Roles column on Manage Users lists each admin's roles. An admin who is already signed in gets the change within an hour, or as soon as they sign out and back in.
Which roles your organization sees
The Roles tab lists, in alphabetical order, only the roles set up for your organization. Standard roles come with these parts of TeamSideline:
| Roles | Come with |
|---|---|
| Administrator, Billing, Communicator, Report Viewer | Every organization |
| Registrar, Scheduler, Scorekeeper, Volunteer Coordinator | A Core, Enhanced, Elite or Enterprise plan, or the older scheduling and registration modules |
| Fundraiser | A plan, the Raise module, or the older Player Registration, Team Registration or Facility Management modules |
| Content Editor, Page Editor | Your website module (Editor 2.0 or the legacy content editor) |
| Officials Administrator, Officials Coordinator, Officials Treasurer | The Officials module |
| Facility Viewer, Facility Ordering | The Facility module (Facility Reservation) |
| Location Administrator | The Advanced Scheduling module, or the older Multi-Org Scheduling module |
A role that isn't described below is a custom or special-purpose role set up for your organization. If a role you need is missing, contact TeamSideline Support.
What each standard role allows
| Role | What it allows |
|---|---|
| Administrator | Nearly everything your plan and modules include: Customers, Facility Reservation, Programs, Schedules, Communications, Content, Raise, Reports and Administration, including Manage Users. It doesn't include the Billing role's invoice pages or the Background Checks dashboard. |
| Billing | Administration > Subscription: the Summary with the Pay Invoice button when an invoice is due, Invoices and Payment Gateways. Billing admins are your organization's billing contacts, so they get TeamSideline's invoice and payment emails and the unpaid-invoice notice on Home. It doesn't include Manage Users. |
| Communicator | Communications, including Contact Us Tickets, and communication reports in Reports > Report Exports. |
| Content Editor | The Content menu for your website. |
| Facility Ordering | Customers, plus customer and facility reservation reports in Report Exports. |
| Facility Viewer | The facility calendars under Facility Reservation > Facilities, plus facility reservation reports in Report Exports. |
| Fundraiser | Everything in Raise: the Raise tab (Dashboard, campaigns and Raise settings) and the Raise Donations and Raise P2P dashboards. Administrator also includes Raise; no other standard role does. |
| Location Administrator | Schedules > Locations, including Manage Locations and the Multi Location Calendar. An associated organization filter limits it to that organization's locations. |
| Officials Administrator | Everything in Officials Management, communications to officials, officials and communication reports in Report Exports, view-only Standings pages and Administration > Associated Organizations. It doesn't include Manage Users. |
| Officials Coordinator | The Officials and Assignments pages of Officials Management, except changing an official's status or what they're approved for; communications to officials; officials and communication reports; view-only Standings pages. |
| Officials Treasurer | Like Officials Coordinator, but with Payments in Officials Management and without Auto Assign: it can edit officials and handle their payments but can't change an official's status or what they're approved for. |
| Page Editor | Content > Page Edit only. |
| Registrar | Customers, Programs, Facility Reservation, Schedules, Communications, Content and Reports. It doesn't include Administration, Raise or the Background Checks dashboard. |
| Report Viewer | Reports: Report Exports, Report Viewer and Report Dashboards, except the Background Checks, Raise Donations and Raise P2P dashboards. |
| Scheduler | Schedules, Communications and Content, plus Report Exports except customer reports. |
| Scorekeeper | Entering game scores from a division's Standings page (Edit Scores), plus schedule and content reports in Report Exports. |
| Volunteer Coordinator | Customers > Volunteer Management, plus volunteer reports in Report Exports. |
Limit an admin to certain reports
- On the admin's Roles tab, uncheck every role except Report Viewer and click Save.
- Open their Filters tab and click Add Filter.
- Choose the Category Report (a Report Exports report) or Saved Report (one of your saved reports), choose Has Access To in Filter Type, choose the report in Filter and click Add.
- Repeat for each report they should see.
The Report and Saved Report filter categories are available on the Enhanced plan and up. For more about filters, see Why can't I add a filter to an admin? (Administrator role overrides other roles).
Custom roles
- TeamSideline Support can set up a custom role for your organization, such as a narrower version of a standard role or a background check role for the Background Checks dashboard. Email support@teamsideline.com with what the role should allow.
- Custom roles appear on the Roles tab with the standard roles, and new admins get them too.
If it doesn't work
- "At least one admin must have the Billing role." You unchecked Billing for your only Billing admin. Give Billing to another admin first.
- "You must select a role for this user before saving." Keep at least one role checked. To take away all access, remove the admin instead, as How to remove an admin or reduce their access explains.
- "You cannot login because your administrator has not assigned you any roles." The admin's roles give no access under your current plan and modules, for example because their only role came with a module your organization no longer has. Give them a standard role.
- There's no Roles tab or Roles option. Your role doesn't include Assign User Roles. Ask an admin who has the Administrator role.
- An admin can still do something you took away. Another of their roles still allows it (Administrator allows almost everything), or they haven't signed in again since the change.
- A Billing admin can't open Manage Users or other pages. Billing covers only Administration > Subscription. Add the roles they need.
Good to know
- Reports > Report Exports and Reports > Report Viewer are separate permissions. Most roles include only certain Report Exports reports; add Report Viewer to give someone Report Viewer and Report Dashboards.
- If a module is removed from your organization, the roles that came only with it disappear from the list and from every admin who had them.
- Role changes are recorded, with the roles added and removed, in Administration > Manage Users > Activity Log (Enhanced plan and up).
- Scorekeeper is for people who enter scores on the admin site. Coaches who report their own scores through Auto Coach Scoring don't need an admin role.
- Adding admins and helping them sign in are covered in How to add, edit or remove admin users (Manage Users). To leave an organization yourself, see How to deactivate your own admin account.
