Admins archive a program's Team Sites on the program's 5 Team Sites page, then archive the program itself on 1 Setup. A program can't be archived while any of its teams still has a published Team Site or schedule. Archiving the program also archives its league, and nothing is deleted.
Applies to: Org admins whose role includes Manage Programs (1 Setup) and Team Sites (5 Team Sites) · All plans · Registration programs and the Team Sites published from them
Where: Programs > Manage Programs > (program) > 5 Team Sites; Programs > Manage Programs > (program) > 1 Setup
Archive a program's Team Sites
- Go to Programs > Manage Programs and click the program's name.
- Click the 5 Team Sites tab. Teams are listed by division.
- In the Archive column, click the green icon in a team's row (tooltip "Archive Team Site"), then click OK in "Are you sure you want to archive the (team name) Team Site?"
- To archive every Team Site in a division at once, click the green icon in the Archive column of the division's row instead (tooltip "Archive Team Sites"), then click OK in "Are you sure you want to archive all Team Sites in this division?"
- Repeat for each team or division until no team shows an Archive icon.
What you'll see: the team's Open Team Site icon and its Archive icon disappear, and the green Publish Team Site icon comes back if the team still has the players and staff it needs.
Archive the program
- Archive the program's Team Sites first, as above.
- On the program, click the 1 Setup tab.
- At the bottom, under Archive Program, check Yes, archive this program.
- Click Save.
What you'll see: "Program has been saved." and the Manage Programs page. The program is now on Programs > Archived Programs, and its league on Schedules > Archived Leagues.
What archiving a Team Site does
- The site closes for everyone on its roster. It leaves their team lists on TeamSideline.com, in the TeamSideline app and on your website's Team Sites menu, and its team chat leaves the app.
- Its events leave everyone's calendars, and its reminder emails stop. Members can still open the site, read-only, under Archived Teams on TeamSideline.com.
- The team's published status is cleared on 5 Team Sites, including its Practice, Regular, 2nd Half and Playoff schedules.
- Publishing the team again creates a new Team Site with the program's current roster. Nothing from the old site carries over: events added on the team site rather than from your league schedule, attendance, announcements, files, pictures and people added on the team site stay with the archived site. Publish the team's schedules again too. If Announcement Email is Yes in your Team Sites settings, the roster gets the announcement email again.
- Don't archive a Team Site just to update its roster. A site with the orange link icon picks up roster changes from your program automatically.
What archiving a program does
- The program moves from Manage Programs to Archived Programs, and its league is archived with it.
- The league's divisions come off your website's schedules and the Master Schedule, including the Master Schedule's team list. Hiding a division's schedule with its eye icon doesn't take its teams off that list; archiving the program does.
- Nothing is deleted. Enrollments, payments and the program's setup are kept, and you can un-archive the program on Archived Programs. Un-archiving brings back the program and its league but not its Team Sites: publish those again on 5 Team Sites, which creates new sites.
If it doesn't work
- "All the team sites associated with the program "(program name)" must be archived prior to archiving this program. To do this, click on the "Team Sites" link above and archive each team site." At least one team in the program's league still has a published Team Site or schedule. Open 5 Team Sites, archive every team that shows an Archive icon, then check Yes, archive this program on 1 Setup and save again. Hiding a team doesn't count, and 5 Team Sites has no visibility (eye) icon. If the message stays and no team shows an Archive icon, contact TeamSideline Support.
- A team has no Archive icon. Its Team Site isn't published, so there's nothing to archive.
- There's no Archive Program section on 1 Setup. The program is already archived (look on Programs > Archived Programs), or it's a new program that hasn't been saved yet.
- A coach asks how to archive their team. Coaches can't archive Team Sites you published; you archive them here. A team a coach created on TeamSideline.com or in the app is archived by its own staff: see How to archive a Team Site (Team Sites can't be deleted).
- A family only wants an old team off their own list. They can hide it themselves, without affecting anyone else: see How to hide or unhide a team (web and TeamSideline app).
Good to know
- Archive rather than delete: archived programs, leagues and Team Sites keep their history.
- Only admins whose role includes Team Sites can archive or republish your program's Team Sites. Coaches and families can't undo an archive from the team side.
