Answers to common questions about assigning rosters with Drag & drop and Smart Auto Assign.
The two ways to assign
What's the difference between Drag & drop and Smart Auto Assign? With Drag & drop, you place each enrollee yourself, and each drop saves right away. With Smart Auto Assign, you set rules for each division, and TeamSideline proposes rosters for you to commit. See Drag & drop vs. Smart Auto Assign.
How do I get Smart Auto Assign? Contact support@teamsideline.com. When it's on, the Assign To Roster page shows a Smart Auto Assign tab. Administrators and Registrars can use it. Custom admin roles need the AI Auto-Assignment permission.
Which programs can use it? Youth, Adult, and Youth & Adult registration programs. Team Registration programs use the Assign Teams page instead, and camps don't have rosters.
Where did Toggle Mode go? When Smart Auto Assign is on, Toggle Mode is hidden and Assign To Roster always uses drag and drop. Organizations without Smart Auto Assign still have Toggle Mode under Additional Options.
Does Smart Auto Assign send my enrollees' information to an AI service? No. In this release, it works out rosters inside TeamSideline. See How Smart Auto Assign uses your data.
Running Smart Auto Assign
Does running it change my rosters? No. It makes a proposal. Your rosters change only when you click Commit Assignments.
How long does a run take? It usually starts within a minute and runs in the background. The page refreshes every 10 seconds until the run ends.
Do I get an email when it's done? No. Come back to the Smart Auto Assign tab to see the result.
Why is Run AI Assignment grayed out? No division is set up yet, a run is already in progress, or a team site in the program is published. If a proposal is waiting, you'll see Commit Assignments and Reset Assignments instead.
Can two admins use it at the same time? Each admin has their own setup, but a program has one proposal at a time. Anyone who opens the tab can commit or reset it, so agree on who runs it.
Why don't I see the setup a colleague made? Setups are saved for each admin. Set up the divisions again under your own login.
Results
Can I undo a commit? No. To change rosters after a commit, use Drag & drop. To throw a proposal away before you commit, click Reset Assignments.
Can I change the proposal before I commit? Not the proposed enrollees. They can't be dragged until you commit. Commit first, then fine-tune with Drag & drop.
Why were some enrollees left unassigned? The teams were full at the Roster Max, a family couldn't fit together on one team, or the division had no teams. Add teams or turn on Create missing teams, then place the rest with Drag & drop.
Who gets left out when there isn't room? Smart Auto Assign picks a mix that matches the whole group's ages, grades, and genders. It doesn't go by registration date.
Does it honor friend, buddy, or coach requests? No. It doesn't read special requests or comments. Place those players with Drag & drop after you commit.
Does it put siblings on the same team? Yes, if Keep families together is set to Yes. It groups enrollees from the same account in the same division. See How to keep families together on rosters.
Does it respect locked rosters? No. Leave divisions with locked rosters out of your setup. Drag & drop does respect locks.
Can it create teams? Yes, if Create missing teams is set to Yes. New teams are named Team 1, Team 2, and so on, and they're added when you commit. Rename them on the division's 2 Teams page.
Does it email families or coaches? No, and neither does Drag & drop. Families and coaches hear about their team when you publish team sites.
Drag & drop
Is there a roster limit? No. Drag & drop doesn't limit team size, so watch the counts next to each team, like (Staff: 2, Players: 12).
Why can't I drop anyone onto a team? The roster is probably locked. Unlock it on the 4 Rosters tab.
How do I see an enrollee's details? Hold the pointer over their name for about a second. To open details with a click instead, choose Enrollee Info on Click under Additional Options.
Can a player be on two teams? Yes, with a second enrollment. See How to Double Roster a Player or Assign a Player to More Than One Team.
Why doesn't a coach appear in the list? Their volunteer type may not be Coach, Assistant Coach, Team Parent, or Manager. Their enrollment may not be accepted yet. Or your organization hides coaches who haven't passed a background check. See Troubleshooting roster assignment.
