Smart Auto Assign uses enrollment information that's already in TeamSideline to propose rosters. In this release, it works out the rosters inside TeamSideline. Your enrollees' information isn't sent to an outside AI service.
What it uses
| Information | What it's used for |
|---|---|
| Birth date, and the offering's Age As Of Date | The Age as of criterion |
| Gender on the player's account | The Gender criterion |
| Grade on the player's account | The Grade criterion |
| The account an enrollee registered under | Keep families together |
| Offering, enrollee type, and volunteer type | Which division and team role |
| Current team rosters | Keeping existing assignments, and balancing teams |
| Background check status, if your organization filters coaches | Which volunteers can be placed |
What it doesn't use
It doesn't read special requests, comments, enrollment fields, custom fields, addresses, contact details, medical information, or payments. Names show on the page, but they aren't used to decide where anyone goes.
What's saved
- The proposal. While a proposal waits, TeamSideline saves it with each proposed enrollee's name, age, gender, grade, and offering. It's deleted when you commit or reset. A proposal that's never committed or reset stays saved.
- Run records. TeamSideline keeps a record of each run so support can answer questions about it. The record holds enrollment, account, and team numbers with ages, genders, and grades. It doesn't hold names or contact details.
Who can see it
- Admins in your organization who can open the Smart Auto Assign tab can see the waiting proposal.
- TeamSideline support staff can see run records when they help you.
